Here we go!!
We have officially started the school year and we begin our journey. It was great being able to see students in the hallways reconnecting with friends and catching up with teachers. This is a special time of year. I always enjoy the fall with the shifting of seasons, starting a fresh new school year complete with plans and goals for how this year will be stronger and better.
I am hopeful that you are capturing your time with some form of relaxation, recreation, and time with family. I got into the woods with my kids and also enjoyed hosting a few play dates for the kids. I was able to clean up a bit, do some slow cooking, and enjoy a few movies. The slight shift in weather made a cozy afternoon feel welcome. I hope your weekend met your needs.

OPEN HOUSE CALENDAR CHANGE - No Open House 10/9 in observation of Yom Kippur. Rescheduled for 10/3
Spanish Translation - If you need documents translated into Spanish please go through the district language translation services. We have several Spanish speaking staff who are more than happy to help out in a pinch, but we also need to honor their job descriptions and providing direct translation services to staff impedes with their ability to do their own job. We have specific people in the district who have been hired to do this. Please make sure your connect with them for your translation needs.
The library and front office do not offer copy services. Please make your copies a day or two ahead of time. You may also want to make a few extra copies to ensure that you will have plenty, in case some are lost or students just need extra.
It is best practice to be present when you are printing or making copies. Sometimes things go wrong, the paper jams, the copier runs out of paper or toner, or someone else needs to use the machine. You cannot address these problems if you are not present. Please do not start a copy or print job and leave the machine running unsupervised. Do not send print jobs to a copier from another room. We understand that teachers have to be in class and sometimes will not have time to stay for a particularly knotty jam. Let us know so we can help.
The front office copier is prioritized for front office use. That means that front office staff, administrators, and counselors have first priority on the copier. These staff members often serve families and students on the family's schedule. Family members are working a visit to the school around their work and life schedules. It is important for office staff to have quick access to the copier in order to serve our families effectively. If you need to use the front office copier, please keep your jobs small or break up large jobs into multiple smaller ones to give office staff the opportunity to serve our families quickly without waiting for a large job to finish.
Library and office staff are happy to call for service on a machine. If you encounter a problem, fix it or tell someone so we can address it quickly. Our physical proximity to the machines means that we are familiar with the machine's history and are most likely to be the ones interacting with the service technician when they arrive.
Please help us keep the library copy room a student-free area with the exception of trained library aids. No students may use the library machines.
Student use of the front office machine is limited to trained TAs.
Back to School Memo Installment #1
In an effort to cover our Back to School memo, I am sharing installments with each weeks staff bulletin. Please use a modicum of effort to review and understand each installment so that you can be familiar with these important and required rules and provisions.
2019-20 Summary of Financial Procedures for Staff As a public entity, we are held to a high standard of stewardship for public resources. We each have a duty to care for the public trust. Moreover, our records can be subject to review, under the public records act, at any time. We are required to exercise prudent judgment so as to maintain proper stewardship of taxpayer dollars.
Travel, meals, entertainment, food, and employee reimbursements are common areas for public scrutiny and investigation, particularly in these times. Moreover, with limited resources, the district needs to ensure that as many resources as possible are targeted toward the classroom.
The attached summary of Financial Procedures provides guidance to staff who are not primarily assigned to staff with financial roles. Staff with financial roles, including administrators, secretaries and financial clerks, must review the comprehensive guidelines 2019-20 Financial Procedures for Schools and Departments.
Please remember that a signature stamp is not allowed for any use.

Green Hall Passes - 504 Accomodations
This last week Nita Halstead sent a detailed email regarding he use of green hall passes for students with 504 accommodations. Please be sure to acquaint yourself with this protocol as it is very efficient and important for the student hat their needs are met in a timely way.
These passes look just like our regular bright green hall passes except that they are laminated, list the student's name, designate the areas the student is allowed to go to, and show a time limit for their breaks.
The idea behind this pass is that some students suffer from levels of anxiety/panic attacks/medical issues that make it extremely difficult for them to wait to take a break or even, in some cases, to verbally ask for one. The pass is intended to let them leave the room briefly to practice self-management skills and/or take care of their immediate needs after making eye contact with a teacher and flashing the pass (or using whatever method they have set up with an individual teacher). The goal is to get them out of class quickly so that whatever challenge they experience can be addressed before it becomes unmanageable.
Students with green passes do not get any exceptions when it comes to keeping track of attendance. All but a couple of students have a 5 or 10 minute limit on their passes. In cases where a student might need more than 10 minutes, they have been instructed to let an adult (teacher, front office, counselor, or nurse) know so that the adult can inform their teacher and Kym Ramsing, Attendance.
Please take attendance normally—which includes noting when students leave and do not come back to class in a timely manner. Picture Make-Ups
Picture make-ups will be from 7:30 am to 1:00 pm in the cafeteria. This day is for students who have not received a photo or an ID card. Students who paid for an ASB membership, but did not receive an ID card with the ASB seal will not be excused from class for make-ups, but are welcome to visit the picture station before school, during a free period, or at lunch.
This is not a retake day. Picture Retake Day will be October 7 for students who are unhappy with their picture.
Students must go to their classes for attendance and must request a hall pass from their teacher to be excused to get their picture.
- Seniors: Come before school, during a free period, or at lunch.

- Sophomores: 2nd period
- Juniors: 3rd period

Kudos
Helen Haberman - I want to thank Helen for her excellent ability to reach out make connections with staff. In addition to being charismatic and caring about staff, she is also looking out for their best interests. I am so thankful to your outreach Helen and championing what is best for students.
Kevin Summerfield and Guy Okili Da Graca - I want to thank Kevin for his help and support with our new Campus Monitor Guy Okili Da Graca in becoming familiar with the layout and culture here at Churchill. I am thrilled for both individuals as we have a growing capacity to meet students needs with this new structure. Kevin is now working with students in closing their achievement gap and Guy is continuing Kevin's good work in creating and sustaining a positive student climate at Churchill.
Counselors, Registrar, and Admin. - Many thanks go our to all the counselors (Court Wirth, Nita Halstead, Katy McAullife, and Casey Tiemann), our registrar, Trisha Jackson, and admin Casandra Kamens, for your hard work getting students registered and scheduled into classes and dealing with the onslaught of phone calls and emails that come with the surge of culminating needs at the beginning of the year. Your focus has been on making sure students and parents needs are being met. The hours and time you put into this has been considerable. Thank you.
