SUBFRIENDLY CAMPUS SUGGESTIONS
We've gathered substitute feedback to find out key indicators to improve our efforts. Our goal was to use these results to help our department create an environment that will support our substitutes, campuses, office managers, and administrators. Based on the results we have gathered some campus best practices from STEDI.org, to progress even further.
To be Sub-friendly please be sure to:
- Welcome substitutes on your campus with a warm greeting.
- Acknowledge substitute questions and concerns.
- Request Dallas ISD Substitute Badge with employee ID number.
- Ensure the substitute employee clock-in and out for each assignment.
- Thank the substitute employee for their day of service.

ABSENCE MANAGEMENT (FORMERLY AESOP) HIGHLIGHTS
Please note that Absence Management is only view-able in Google Chrome and Mozilla Firefox. It will not work in Internet Explorer.
ACCEPTABLE EMPLOYEE TITLES IN THE ABSENT MANAGEMENT SYSTEM
Staff members can management their official titles in their Absent Management account this school year! As a beginning of the school activity, have each staff member log-into their portal. ACCOUNT<TITLE<ADJUST THE TITLE, according to the acceptable employee titles (click HERE to view titles).
The above activity is critical to reduce confusion with substitute employees accepting the correct assignment at the campus!
2017 - 2018 ACTIVE SUBSTITUTE EMPLOYEES
We have created a comprehensive list of all active substitute employees. If your campus is expecting a vacancy and a substitute employee is needed please review. It is critical for campuses to vet for appropriate fit of substitute employees as it relates to the campus direct need(s) and specific(s) for students.

We are currently experiencing less than desired fill rates and would like to invite you to accept an assignment at (insert campus name).
Our campus offers substitute support by way of (insert support systems at the campus). If you are interested, please contact (insert contact name and information) as soon as possible. Our school is located at (insert address). We look forward to meeting with you soon to support our students!

Principal’s Closing
TRS UPDATE FOR ALL RETIRED SUBSTITUTES
TRS is deploying a new reporting system for the new school year 17-18. As part of their requirements, Dallas ISD is required to report the actual hours worked for all the employees that have retired from TRS and have been rehired to work for the district.
In order to capture this information correctly, the retired employees will need to clock in and out every day in the biometric clock.
- Retired substitutes – make sure that you clock in and out when you perform services at any campus.
- Retired Support employees – should already be clocking in and out, please make sure to continue using the biometric clock every day.
- Retired Biweekly employees - should already be clocking in and out, please make sure to continue using the biometric clock every day.
- Retired Professional employees – are required to clock in and out every day to capture the actuals hours worked in order to submit the information to TRS.
- Retired Part time employees - are required to clock in and out every day to capture the actuals hours worked in order to submit the information to TRS.
This process goes into effect September 1, 2017 so we can report the actual hours.

We've collected survey data from over 650 substitutes to create the most effective substitute feedback questions possible, and we have included them below for your convenience.
- Was a clear lesson plan provided?
- Were you provided with appropriate resources to fulfill your job duties (contacts, emergency plan, keys, seating charts, school maps, etc.)?
- How well did you feel welcome and supported by campus staff?
- Did you have support for students with behavioral challenges?
