Audits Introduction
An Audit allows a site to scan all tags in a room, issued to staff or student, and quickly identify missing items, and where those misplaced items should be located.
Our goal for this audit is to verify the established list of assets expected to be in a room or issued to staff/students on a site. Simultaneously, capture asset locations when they have moved from their expected location.
Audit Tab Overview
Open the Audits Tab
Locate this years audit
Ex: SiteName Year Audit
We will be using the Ag Science Facility site for this example.
Site District Audit Details
This will be the page where you will be working on completing your site audit.
On this page you will see that we are only auditing rooms for this site.
Status
This will display the specific status the room audit is in.
- New - This room has not started its audit
- In Progress - This room has assets scanned but not fully complete
- Scan Complete - This room has all assets scanned
- Closed - This room has all assets scanned, notes were created if needed, and has been submitted for approval by the district administrator
Scanned Assets
This will display what kind of scan is conducted in the room audit.
- Inventory - Displays how many assets are in the room
- Verified - Displays how many correct assets were scanned in the room
- Found - Displays how many items were scanned in another room during the audit
- Missing - Displays how many items have not been scanned
- Misplaced - Displays how many items were scanned in a room they are not inventoried to
How to start your site audit
- Search for the room you would like to start on
- Click on the green pencil to edit the room
- In the Room Audit, scan the asset tags in the box that says Enter Tag...
** If assets need to be initialized (ex. Presentation Stations) you may do so at this time by clicking Initialize Room Inventory **
As you scan the asset tags in, your missing audit totals should be going down and your verified audit totals should be going up.
- When you are done scanning, click the flag in the top right corner to complete room audit
- Move on to next room to continue the site audit until all rooms are labeled Scan Complete
- Once all rooms status are marked Scan Complete, click Approve Audit to submit Audit
If you ever need to go in and change or add to a room that is labeled Scan Complete, you can click on the orange back arrow to reopen the location for scanning.
If you accidentally scan or type in the wrong asset tag, you may go in and remove that asset tag by expanding the product arrow and clicking the orange back arrow.
After fixing this, click the flag to mark the room as Scan Complete.
Misplaced/Missing Items
If you have any misplaced or missing assets, you will need to add notes on why the item was scanned as misplaced.
Under Actions of the complete room audit, click on Audit Details
Under Actions, click the notepad and pencil to add note
Enter notes of why asset was misplaced/missing in that room and click Ok
