Choice Weekly Update
September 27, 2019
Membership for Vouchers (MV)
- The submission phase of this data collection closed on September 25. Records may now be submitted only if they do not create a conflict.
- If your school has no conflicts, sign-off is available. In the STN Application Center, go to the data verification tab and then choose collection management. Compare the information to your school's data for accuracy, then click the box to sign-off.
- Once sign-off is done, print the MV summary form. In the STN Application Center, go to the data verification tab, choose Choice Scholarship, then click on MV summary report.
- When the MV summary form has the required signatures, upload the form. In the STN Application Center, go to the administration tab, then choose upload signed summary report.
Endorsement Forms
Endorsement Forms are available to download for all students with approved Choice Scholarship applications and will remain available to download until October 16. The signed form must be uploaded in the STN Application Center between September 26 and October 16. A payment will not be made for any student who does not have a signed Endorsement Form uploaded by the deadline.
Endorsement Forms are only uploaded once per school year for a student who remains at the same Choice school for both the fall and spring semesters. Failure to upload an Endorsement Form may result missing a student’s payment for the full 2019-2020 school year.
Curricular Material Reimbursement
Qualifying nonpublic schools may apply for curricular material reimbursement for the 2019-2020 school year. Both student level AND claim data must be submitted between October 1 and October 31.
IDOE will calculate the reimbursement amount for each school corporation, charter school, and nonpublic school based on the number of eligible students reported on the "Summary of Costs and Reimbursement Claim Form 2019-2020 School Curricular Material Costs and Eligible Student Counts" and the student level data submitted electronically between October 1 and October 31. The deadline to submit this data is October 31.
Officials should review the curricular material data layout (DOE-TB). The data layout provides specific instructions for submitting student level data and a reimbursement claim.
The Reimbursement Claim Form Memo and Instructions are located here and in the Nonpublic School Community/Curricular Material Reimbursement/Curricular material Reimbursement 2019-2020 folder.
Please direct questions regarding curricular material reimbursement to doetextbooks@doe.in.gov.
2019 Graduates
Do not wait to submit GR 2019 data for students who did not participate in summer testing. All graduate records not awaiting summer test scores should be submitted.
Summer Test Scores
IDOE anticipates receipt of summer test scores on October 1. The Office of School Accountability requests that schools do not wait until scores are loaded to report remaining GR records. All GR records that were not waiting for summer test scores should have already been submitted.
To accommodate a faster completion of GR data submission, if individual student scores have been returned to the school to support awarding a diploma to a student, please reach out to SchoolAccountability@doe.in.gov or contact Brenda Erbse at berbse@doe.in.gov for directions to complete GR data requirements.
NEW: Graduate INTERS Report
There is a new report in the STN Application Center to assist schools with the new GR-INTERS validations. If a student is reported as using either the CTE Concentrator or Industry Certification graduation pathways, then the system will be looking at the INTERS data for confirmation. The report can be found under the Data Verification tab > Reports > Graduate > INTERS Reported.
This report shows the students for whom your corporation reported RT/EM during the 2018-2019 school year AND who have INTERS data in the most recently received file. The file is being updated regularly.
- If a student who was reported on your RT/EM is not showing up on the report, then the INTERS file has no data for that student. Please work with your CTE provider to correct the issue.
- If the student is showing a "Yes" in either the Perkins4 or the Perkins5 columns, then that student is eligible for the CTE Concentrator graduation pathway.
- If the student has a "Yes" in the Certification Result column, then that student is eligible for the Industry Certification graduation pathway.
The deadline for meeting 2019 graduation requirements is September 30. The GR report closes at 4:00 p.m. on October 4.
