September 2019 ~ A New Year Has Begun!

You Survived!

The month of September is almost over...and we're all still standing! Miracle? Or a shameless amount of coffee consumption? LOTS of COFFEE. Hey, we don't judge! But we do want to congratulate everyone on a busy first month! Curriculum Nights, Open Houses, Event Planning, Membership Drives, Spirit Wear Sales, Fun Runs, Walk-A-Thons...you've done some if not all of these this first month! So give yourself a hand, pat each other on the back, and get ready for October!

Have You Joined Us On Facebook?

If you are a PTA officer or committee chair, please make sure to join our page for important information, discussions, and more! A lot of great info is shared on this closed group page. It's also a great way to network with other units, share ideas, and ask for help.

Reminder: Standards of Affiliation (SOA) Due December 1st!

All units that have completed the SOA requirements will receive their letter of Good Standing from Michigan PTA in MemberHub. Not sure what the requirements are? Check it out:

Officers
Each year, officers should be updated in MemberHub. When Michigan PTA contacts officers, only the current year officers are pulled by the system. If we can’t contact the leaders responsible for business, we can’t service the unit properly.

Members
Each Michigan PTA Unit is asked to submit names and payments for Michigan and National PTA dues. Some units report they don’t have Members. Every officer and committee lead is required by the bylaws to be members of your unit. One member, one vote, one card.
Entering names into MemberHub does NOT make the person a member. Members have to be entered specifically as members and not just people. Also, processing members through MemberHub does NOT automatically send payments to Michigan PTA. The President or Treasurer has to release the payment.

Unit Dues
Unit renewal dues of $40 which covers the administrative costs of processing standards of affiliation are due each year on June 1st.
Some units are not aware that the dues increased about five years ago (from $25).

Bylaws
Every new unit must submit the latest Michigan PTA bylaws AND the minutes of the meeting where they were approved, to MemberHub. Until Michigan PTA reviews bylaws, those are the rules that govern the unit. Bylaws must be updated every three years. Units waiting on approval from Michigan PTA are considered in compliance for bylaws until otherwise notified.

Budget
Each year, an approved budget should be updated in MemberHub. We do not need every amended budget or excess paperwork.

Audit
Each year, an audit of the previous year’s finances should be updated in MemberHub.
New units starting this year will not have an audit from last year.
Units that had even one member last year are responsible for submitting an audit.
Unless a Unit has a budget of over $50,000, an internal audit by members who are not signers on the bank account is sufficient.

990
Each year, Units must submit to the IRS the 990 and then should update a copy in MemberHub. Most Units only have to submit the 990N postcard which is about 8 questions on the IRS website. This should be done immediately!
Failure to submit this documentation to the IRS will put a unit’s tax exempt status in jeopardy—even if you fulfill everything else required by Michigan PTA.
This is an IRS requirement and, therefore, a Michigan PTA requirement and should be fulfilled by December 1st.

Insurance
Recently, the convention delegates voted to add insurance as a standard of affiliation.
Units only need a basic amount of insurance that covers assists and liability. Officers may compare companies to get the best coverage for the Unit.
This is a Michigan PTA requirement and should be fulfilled by December 1st.
New Units and Units struggling to obtain coverage should contact president@michiganpta.org immediately for options.

The LPS Education Foundation Needs Your Help!

At Council's last meeting, Superintendent Andrea Oquist discussed the importance and need of funds for the LPS Education Foundation.

What is the LPS Education Foundation?

"The LPS Education Foundation is a nonprofit 501(c)3 organization chartered by the State of Michigan in 2004. Our goal is to provide additional financial support to the district for innovative programs and services, so the school system can continue to be a “beacon of excellence” to all those it serves." - LPS Education Foundation

Why is this Foundation so Important?

The mission of the LPS Education Foundation is to enlarge the resources available to the school district which will foster and expand educational opportunities and programs for students. Through generous contributions by community organizations and businesses, the Foundation has been able to support real world learning at the middle school level, job shadowing opportunities for teachers (K-12), a mathematics tutoring program (H.O.S.T.S.), school supplies and teaching materials, the Competitive Edge Program, and district-wide professional teacher training in reading, mathematics, writing, and more.

This is Where You Come In...

In recent years the LPS Education Foundation Grant Program for classrooms has decreased from $40,000 to $29,000. These funds are immensely important to help provide our classrooms with educational tools that benefit our students and teaching staff. If your unit is interested in donating or if you would like to receive more information about the LPS Education Foundation, please contact President Kellie Dummer, kellie.dummer@livoniaptsacouncil.org. We also suggest speaking briefly about the Foundation at your next PTA meeting.

If every unit were to donate even $100, how amazing would that be? We hope you will consider helping the Foundation continue to provide programs and more for our schools! Thank you for your support!

Franklin PTSA Welcome Back Breakfast!

The Franklin PTSA wanted to make sure the staff had a great start to the year so a Welcome Back Staff Breakfast was provided on August 29. Parents donated breakfast casseroles, pastries, fruit and drink. Student Congress helped with set-up, clean-up and chalk messages. It was a wonderful event showing the staff how important they are to the Franklin community!

Along with the breakfast, staff who joined the PTSA were put into a raffle to win one of three awesome baskets full of custom Franklin items and school supplies.

Another staff incentive to joining the Franklin PTSA is the weekly drawing for a free smoothie from Smoothie King!

The year has started off great and Franklin is looking forward to all the fun community events yet to come!

Reflections 2019 -2020

Reflections projects are underway, and we can't wait to see the creativity of our LPS students! The deadline for students to turn in their projects is November 15th, unless a unit chair has set an earlier date for their school.

We have identified a Reflections chairperson for almost every LPS school, and those volunteers are hard at work trying to encourage participation at their schools. Students are working on projects related to this year's theme, "Look Within".

If anyone would like to see more information about the program and how to participate, we have all of that information on the council website at https://livoniaptsacouncil.org/work/reflections-arts-awards-competition/. There are downloadable documents there that explain the process. The entry form is also available on that page as part of the student package.

If you haven't already, mark your calendar for the district Reflections celebration on January 30th at Stevenson High School. It is a great night of celebrating and viewing some amazing projects!

We look forward to seeing the students' projects soon!

Reflections Council Chairperson
