JOB DESCRIPTION
Special Education Secretary
DEPARTMENT: Special Education
REPORTS TO: Superintendent or Designee
WORK DAYS: Monday – Friday, 8 Hours per Day
Purpose of Special Education Secretary Position:
To assist in management and compliance with guidelines of Special Education.
Essential Duties and Responsibilities:
Use budget tracking system to show activity and program expenditures
Maintain fiscal documentation
Complete and place orders for supplies and materials
Arrange for registrations, hotel, reimbursements associated with staff development
Take notes at special education staff meetings
Prepare correspondence and manage the duties of the special education program
Track time and effort with back up documentation to meet monitoring requirements
Maintain and use enrollment database for programs and required data reporting
Compile and track program participation data for required reporting to OSPI
Maintain/update schedules of various personnel
Ability to maintain strict confidentiality across settings
Manage the workload and project completions for the Director
Complete data pulls for required state reports
Complete and confirm accurate student counts are maintained and submitted
Work with staff to provide supplies and materials for program needs
Maintain and administer School-Based Medicaid Reimbursement program for district
Process record transfers for students withdrawals and enrollment
Right Response Certification and Training coordination with insurance provider and administrators
Assist outside providers (teletherapy, OTPT, etc.) with student caseload, billing, and schedules
Other duties as assigned.
Qualifications:
Strict confidentiality required
Spanish bilingual and biliterate preferred
Ability to work with a variety of people using positive problem solving
Upholds the district commitment to civility
Organizational, computation, and professional office skills
Punctuality, attendance, effective time management
Competent in use of technology, OSPI website, Excel, spreadsheets, word processing, etc.
Knowledge of computer functions, printers, email, fax, copiers, and other office machines
Experience in compiling various forms of data and completing web-based applications
Experience in setting up budgets, purchase orders, and order placements, inventory, and tracking
REQUIRED EDUCATION:
High School diploma, office-related experience, or professional training relating to the secretarial field is preferred.
MANDATORY CONDITIONS OF EMPLOYMENT:
Successful clearance of the FBI and Washington State Patrol fingerprint background check.
Successful Washington State Sexual Misconduct clearance.
Completion of Federal I-9, Employment Verification Eligibility form.
