Free & Easy
January 2016
Happy New Year!
Welcome back, hope that you all have had a lovely Christmas.
In this month's Free and Easy we will be looking at collaborative functions in Office 365 and Google Apps. For a look at some other helpful tools, why not check out our Free and Easy database? Either click on the link below or on the FAE Database tab on Blackboard.
Office 365
To collaborate in Office 365 is simple. Share the file that you want people to contribute to via OneDrive, such as a Word, Excel OneNote or PowerPoint file. This file will then be available to the person it was shared with in their OneDrive under the 'Shared with me' section.
When working in a Word document that has been shared with someone, all edits update in real time. This means that several people can work on a Word document at the same time and when collaboration is taking place, you are able to see who is contributing to it.
Class Notebook works a little different to this and needs to be set up by adding relevant staff and then students. The Class Notebook is broken down into three sections;
- Collaboration space where anyone in the group can see and edit the space.
Content Library, where tutors add their resource and learners can see the resources but not edit them.
- Finally Student Notebook, which is a private space for each learner to make their notes. There is also the option for tutors to be able to access and edit student notebooks.

Google Apps
To collaborate in Google is simple. Share the file that you want people to contribute to via Google Drive, which can be Docs, Sheets, Slides and Drawing. This will then be found in that persons own Google Drive in the 'Shared with me' section.
When working in a document that has been shared with someone, the edits will update in real time. This means that several people can work on a document at the same time. When collaboration is taking place you are able to see who is working on the document
When working on a document in Google there is IM (instant message) element that can be accessed if more than one person is working on the document.
