Frontline/Absence Management Reminders
During school closures due to COVID-19, please remember the following:
- All absences MUST be reconciled in Frontline/Absence Management (Aseop) daily {see schedule below}
- If the employee is teleworking, the code used should be COVID-19-School Closing
- If the employee is not teleworking but is absent due to COVID-19, the code used should be COVID-19 Related
- If the employee is absent due to something other than COVID-19, the code used should correspond with the absence reason (ie. FMLA, Sick Employee)
- If the employee does not enter their absence in Aesop, the district will code the leave as "COVID-19 School Closing" for the employee
- Employees can view leave balances in Employee Self Service (ESS) before requesting leave

FY21 Employment Contracts for Teachers Postponed
As you are aware, all contracts must be approved by the local Board of Education. Our Board was scheduled to meet March 19, 2020, and approve teacher contracts and the contracts were expected to be e-mailed to you on Friday, March 20, 2020. In the wake of the COVID-19 virus, the Bibb County School Board postponed the March Board meeting. At this time, we do not know when the meeting will be rescheduled. We ask that you be patient as we all navigate this new normal. Please know your flexibility is appreciated during these uncertain times.

State Testing Administration & Accountability Requirements Suspended
March 16, 2020 – As the COVID-19 outbreak continues and many public schools are closed to ensure the safety of students and staff, State School Superintendent Richard Woods is suspending the following until further notice:
- State assessment window/administration (including Georgia Milestones EOGs and EOCs, the Georgia Alternate Assessment/GAA 2.0, and all other required testing)
- Teacher and leader evaluation (TKES/LKES) requirements and reporting
- State-level attendance-related consequences (including CCRPI, TKES/LKES, School Climate Star Rating, and make-up day requirements)

“Right now, schools’ focus needs to be on the safety of their students and staff,” Superintendent Woods said. “The focus should be first and foremost on health and safety, then on flexible and creative ways to keep learning and growing. It’s common sense: testing and accountability requirements should not place an additional burden on students, parents, and educators during this time, and they will not in Georgia.”
Lateral System Transfers
Here are a few options for conducting interviews during school closings:

Principals: It is your responsibility to reach out to the employee's current supervisor and make them aware that you wish to recommend the employee for transfer before offering the position.

GaPSC - Affirmation Questions
Affirmation questions can now be completed by logging into your MyPSC account. This will eliminate the need to manually complete an application when requesting a number of certification transactions with the Georgia Professional Standards Commission, GaPSC.
Log into your MyPSC account or https://mypsc.gapsc.org/Home.aspx to register an account. Select “Personal Affirmations” from the menu on the left side of your screen and follow the prompts. Answers to the affirmation questions will be valid for the academic school year in which the form was completed and will expire at the end of the school year on June 30th.

Planning to Retire in 2020?
If you are planning to retire in 2020, please contact Regina Stokes, Retirement Administrator, at mailto:Regina.Stokes@bcsdk12.net or 478.765.8563 to schedule a retirement meeting. You must also submit a Resignation/Retirement Form in PowerSchool. (See link below for instructions on submitting the Resignation/Retirement form)
Employees who are members of the Teachers Retirement System of Georgia (TRS) should utilize the website at http://www.trsga.com or call 1-800-352-0650 to request an Estimate of Benefits with their anticipated retirement date. Please be advised that due to the large volume of retirements at the end of each school year, the deadlines for summer retirements with TRS are:
- June Retirement: March 31
- July Retirement: April 30
- August Retirement: May 31
*TRS recommends submitting your application as early as six (6) months, no later than two (2) months, prior to your date of retirement to avoid any delays of monthly retirement checks and possible interruption of health coverage.
Employees who are members of Public School Employees Retirement System (PSERS) are encouraged to apply for retirement as early as three (3) months prior to their retirement date to avoid any delays of monthly retirement checks and possible interruption of health coverage. PSERS employees should call 1.800.805.4609 or visit http://www.ers.ga.gov to request an Estimate of Benefits with their anticipated retirement date.
Employee Referral Bonus Program
Employees who refer a "Teacher" candidate will receive a $1000 Referral Bonus if that candidate is hired and works in the district for a full year. Reach out to friends and family interested in teaching and tell them about the great things happening in Bibb! Please see the attached flyer for guidelines.
