Effective communication

General communication

When you are communicating with other people you need to bear in mind a few simple things. Is what you're talking about appropriate? You need to make sure that if you are talking to a business executive then the chances are he doesn't want to hear about the weekend that you had fishing he wants to hear about the business plans that you have. You also need to consider language barriers or cultural barriers. These can be slightly harder to deal with than some of the other issues that i will cover due to the fact you may not know. The best thing that you can do if you are meeting with someone from another country is to take a look into if there are any things that offend people at all that are normal in our day to day life. For example the Japanese find it quite offensive if you talk loudly as they consider that you are shouting at them. The other issue that you need to consider when you are talking to someone from another country is the language barrier. Nowadays this is not that much of an issue due to things like Google translate and multiple apps that are available for free to download. If you are looking at a high level business meeting though, you may wish to consider hiring a translator to help yourselves as it is a lot more professional.

Interpersonal communication

Interpersonal communication is when you are talking to someone face to face and how you communicate when you are doing so. There are many factors that you need to take into account when you do this. One of the most important factor of this is who you are talking to and what they are talking about. If you are talking to your manager you will need to make sure that you give him or her your full attention at all times, that you talking to them professionally without using slang and make sure that you stand up straight and you do not look bored or dis interested. when you are talking to someone face to face the best way of letting them know that they have your attention is by looking at them and making eye contact. Now I do know that a lot of people struggle with this and the best thing that you can do if you do struggle with this is to look at their forehead as it looks like you are engaging eye contact whilst you are not. When you are talking to someone that is in a lower position to yourself you need to make sure that you do not talk down to them and you need to talk to them as if they are the same as you. This way you will help build relationships with the people that you work with and you will be able to do more in the workplace and be more relaxed around who you work with.

If you are giving a presentation then you need to make sure that you are stood up straight, making eye contact with your audience and using appropriate hand gestures. All of these things will make your audience feel like you are engaging them and by doing this you will have their attention a lot quicker. You need toi make surte that you are presented smart aswell as people will often make assumptions on yourself on their first look at yourself. So if you go to do a presentation trying to sell a company something then who would you buy off, the man dressed in a tracksuit or the person in a suit?

Written Communication

Written communication can come in many different forms. Some of the most popular forms of written communication are through texting, emailing and letters. Each one of these you will have to communicate differently as they all get there at different times. For example when you send a text it can be a short message as it is normally sent to a friend or a close acquaintance and whoever you have sent the text to will usually reply quickly. With an email you need to bear in mind that it may take them some time until they have access to the internet and therefore may not be able to reply to the message as quickly as you would like. If this does happen do not be disheartened by this thinking that they do not want to reply to you as they may not have seen it yet and may reply later. With a letter you will have to talk in a completely different way to all of the others as this will only reach the person in about 3 days or so. Because of this you will need to change the way that you speak to people to suit. With all of these different forms of written communication you will need to take into account who it is that you are talking to and what it is that you are talking about. If you are just talking to a friend of yours about what you have done over the weekend then the chances are that you will be using slang, text speech and emojis and that sort of thing. That is not a problem at all if you are talking to a friend of yours but if you are talking to someone that you work with about what needs to be done at work you will need to make it sound professional. when you are sending emails out to people that you work with such as your boss you need to make sure that you check all of your spelling to make sure that everything is correct as otherwise it looks very unprofessional.

Barriers Of Communication

General Communication

One of the most common forms of barriers for general communication is a lack of knowledge. This will often come up in your day today life if you start talking about a subject that you are passionate about and the person that you are talking to doesn't know much about what you are talking about this would be a lack of knowledge. It does not mean that they are lacking in overall knowledge, it just means that they have a lack of knowledge on the subject that you are discussing.

One way that you can look at overcoming this barrier is by toning down the use of jargon and slang for the subject. For example if you are talking about cars then you could be trying to talk to them about a bi turbo F32 coupe, but if you want the other person to understand then you need to just call it a BMW. All that you need to do is use less technical terms and if you start going into detail then watch their facial expressions and try and figure out if they are losing interest and if they do start to lose interest then you know that you need to tone down the terminology that you are using. One thing that you need to make sure when you do this is not to make it sound patronising as that will often anger the other person. You should be able to tell by their level of interest as to what they do and what they don't understand.

You need to bear in mind that this could happen to you just as much as it could happen to someone else. The best thing that you can do if this happens to you is to let the other person know what you are not one hundred percent sure about what it is that they are talking about. And more often than not you they will let you know what it is that they are talking about but in a manner that you will likely find easier to understand.

Interpersonal Communication

When you are talking to someone face to face one of the more common barriers that you will face is an emotional barrier. This is when someone doesn't really want to talk to you for whatever reason. It can be out of anger, sadness and a multitude of other emotions. In many cases when they are upset they have likely had something bad happen to them to make them like that and it sometimes can help asking what is wrong but you should be wary when doing this as it can make the situation worse.

When you need to overcome a barrier like this you need to try and talk to the person and get a good response from them. If they are upset then you should try to make happier than they are so that they can think about something that isn't what they are upset about. As soon as you have done this the chances are that you will be able to have a much easier conversation with them. If their issue is that they are angry for whatever reason then the best thing that you can do is give them some room for some time. As soon as you have done that you should talk to them to try and figure out why they are angry. Once you have found out and sorted why they are angry you will be able to have a proper conversation whether it’s at work or in your personal life.

If you are upset or angry at work. The best thing is just to let someone know. It happens to all of us at some point but if you let someone know that means that they will be able to cater for yourself in a much better manner if they know what it is that you are angry/upset by. It also fills an employers confidence that you are being honest with them.

Written Communication

One barrier for written communication is dyslexia. It is a common issue with people and it can come in multiple levels or stages. Dyslexia means that you have issues absorbing and processing information that you have read. It will often appear that the letters or the numbers are muddled up. You need to make sure that when they write to you that you disregard any spelling or grammar errors as they will find it harder to learn to spell compared to people without the disorder.

One of the best ways that you can overcome this issue is by sending them another text, email, letter, just to make sure that they have got everything okay and then make sure that they understand everything. If they have any issues understanding what you have sent them then there are a few ways that you can go about sorting it. One thing that you can do is you can send it over to them again and go through with them exactly what it is in person or if you are not at the same place that they are then you can call them. Another great thing that you can do is if this person will be working with you often, you could look into getting them a screen reader which will read the information off the screen. This way they can sort everything themselves without any additional help from yourself. What needs to be remembered is that people with this disorder may need help and you need to make sure that you understand their issue and are willing to help them.

If you suffer from dyslexia the best thing that you can do is let your employer know as soon as possible as it means that they will be able to have a sit down and a chat with yourself about how they can make life easier for you at work and it means that they will know if you have any special requirements that need catering for.
