How to collect circulation data for your book displays
Step 1: Create a Copy Category for Your Book Display
- For this example, the copy category is DISP.
- You could be more specific if you want to compare the success of various displays that were up at the same time by naming each one slightly differently.
- You may also want to keep this information all year so that you know which books were on display.
- My suggestion: set up a calendar and name the displays per time frame. (Display 1 might be the first two weeks of school. Display 2 might be the last two weeks in September. You get the idea.)
Follow these steps to create a new copy category:
- After selecting the specific book to be included on the book display, choose EDIT COPY.
- Choose UPDATE in the copy category section of the edit screen.
- ADD and ASSIGN the category and click OK.
Step 2: Run a Report for the Copy Category (DISP in this example)
- Go to the reports tab, and choose to run a library report. Choose the Collection Statistics - Historical option.
- You will need to choose a time frame to report, as well as direct the report to the specifics you want to gather.
- If you only want to see which books in the display actually circulated, it is important to set the LIMIT COPIES option to show only the copies that circulated more than 0 times.
- You can choose your output as PDF or Excel; I always choose Excel so that I can manipulate the report data afterwards by uploading the report to Google Drive.
Step 3: View your Report.
- This report is for a week in July when the school is closed. I checked out the book purely as an example.
- For my report, I chose to include the title, author, call number, and barcode.
- The copy category is displayed, which makes the idea of unique display names for each display a great way to get very specific data.
Step 4: Save and Share your Data!
- Consider creating a monthly report for your principal or your student body.
- Create a data wall outside your media center so that EVERYONE can see what kind of data you are gathering and the impact you are making.
- Dedicate a portion of your media center website to data. Use this for your portfolio, teacher assessment documentation, etc.
