Open Enrollment - Coming Soon!
Open Enrollment is October 19 - November 6, 2020. Employees will have the option to enroll through the call center, on-line or in-person with a representative from our Benefits Broker, Houze and Associates. Houze will have extended call center hours during open enrollment and an on-line scheduler will be available for scheduling in-person and phone conferences.
Houze representatives will limit face-to-face meetings this year due to COVID-19. Employees MUST schedule an appointment in advance in order to have a face-to-face meeting with a representative. No drop-in appointments will be held this year. Houze will visit schools during October 19th - 30th and will visit Central Office and Transportation during November 4th - 6th.
In preparation for Open Enrollment, employees should reset their passwords for the ADP Portal prior to scheduling an appointment. Resetting your password will ensure that you have enrollment access. Here is the link to ADP: https://myshbpga.adp.com/shbp/.
*All benefits-eligible employees, including new hires, should participate in Open Enrollment. Employees with Flexible Spending Accounts MUST re-enroll to continue contributions.

Fingerprinting & Background Checks
If you have a special group of employees (ie. tutors, ASP workers) that will be working in your building and need to be fingerprinted, please send their names, the school/department they are working with and the name of the district contact person to Laquisha Burney @ mailto:Laquisha.Burney@bcsdk12.net. Ms. Burney will work with the district contact person to schedule appointments. Remember, anyone working in our schools and/or with our students must be fingerprinted.
Items Needed for Fingerprinting:
- Drivers License or Picture ID
- Social Security Card
- $50 (cash or money order)
Fingerprinting vs Background Checks (Name Check):
- All Volunteers affiliated with a school, must complete a background check form (these forms Must be initiated at the school and forwarded to HR, they will not be given out in HR - No fee applies)
- All Consultants/Vendors working in the schools or around students, must be fingerprinted ($50 fee applies)
- All Mentors must be fingerprinted ($50 fee applies)
- All Interns must be fingerprinted (No fee applies)
- All Student Teachers must be fingerprinted (No fee applies)

The Importance of Documentation
Good documentation is essential for making sound decisions involving employee discipline. Documentation becomes critical when the need to recommend an employee for non-renewal or termination arises. Documentation should be clear, comprehensive, detailed and up-to-date. It can include, but is not limited to, notes from meetings, letters of directive, evaluations and employee statements. Be specific when taking notes and always include names, witnesses, time of day, location and what action was taken. The documentation process can protect you and the district from potential legal actions.
Remember....If It Is Not Documented, Then It Did Not Happen!

If you received an Earnings Discrepancy Letter from the DOL and wish to appeal, please forward a copy of the letter to Christi Mimbs and she will provide you with an appeal template to assist wtih your response.

Coping in today's fast-paced and ever changing world can be challenging. You may feel as though you are swimming in a sea of uncharted territory. Don't let the daily stress get the best of you, the Employee Assistance Program (EAP) is available to help.
As a benefit to all BCSD employees, the District provides counseling services through the Employee Assistance Program. These services are free of charge. EAP is a work-based intervention program designed to assist employees in resolving personal and/or work related issues that may be adversely affecting the employee's performance. A broad range of assistance is available:
- Certified Employee Assistance Professionals
- Licensed Marriage and Family Therapists
- Licensed Professional Counselors
- Substance Abuse Professionals
- DUI Clinical Evaluators
- Certified Anger Management Facilitators
- Career Counseling and Testing Professionals
Southern Behavioral Services is the provider for the BCSD Employee Assistance Program. This program is available 24 hours a day, 7 days a week. These services are confidential and are also available to the employee's dependents. Employees can reach out to Southern Behavioral on their on, or be referred by a supervisor.

Contributing Professionals - Professional Learning Goals
Educators and contributing professionals who hold GA certification and are not currently evaluated on TKES and LKES, are required to prepare Professional Learning Goals or a Professional Learning Plan to be carried out during the validity period of their certification. PLG/PLP plans are due to immediate supervisors by September 30, 2020. Please see the email from Melanique Floyd on 8/24/2020 for details. Supervisors/Evaluators should upload all PLPs and PLGs for contributing professionals in PowerSchool.
Both PLGs and PLPs should address the following:
- Weaknesses identified through the TAPS process,
- Teacher’s individual professional goals,
- School or Districts Continuous Improvement Goals, or
- Any District or school identified need.

HR runs TKES/LKES implementation reports the Monday before each VIP meeting. The goal is to have 100% completion on all steps. You can find a complete list of evaluation guidelines on the HR Webpage under Forms & Documents. (Guidelines are attached)

Guidance for Addressing & Reporting COVID-19 Cases
HR previously emailed a PPT Presentation and Documents File to all principals and supervisors regarding guidance for addressing and reporting COVID-19 cases. The file contains forms from the Georgia Department of Public Heath (DPH) for returning to work/school and reporting COVID-19 cases. You can access this information in SharePoint in the "DPH COVID-19 Guidance" folder.

Employee Referral Bonus Program
Employees who refer a "Teacher" candidate will receive a $1000 Referral Bonus if that candidate is hired and works in the district for a full year. Reach out to friends and family interested in teaching and tell them about the great things happening in Bibb! Please see the attached flyer for guidelines.
