Request for Sub
ALL EMPLOYEES must log into your staff skyward account to request time off (with the exception of bus drivers and monitors)
Enter the date you will be absent and submit for Administrative approval
Teachers / Paraprofessionals: You need to check the box “sub needed” and Skyward will prompt you to Frontline to request a sub.
Log into Frontline and enter your absence
*If you have a position that doesn’t require a substitute, you will not need to use Frontline
Frontline facts:
You can enter dates in advance for the whole year. Please enter all dates that you have pre-planned as soon as possible. (Please note: all requests must be entered into Skyward 1st)
You can choose a “top 5” preferred substitute list. Frontline will notify them 1st when you enter an absence and they will have a “10%” window of time to accept the job. For example, if you put in your request 10 days from the date of absence, your preferred list will have exclusive rights for the 1st Day. If a sub from your list doesn’t accept within that “10%” window, the job will become open to all available subs.
All “long term” leaves must be approved by a building administrator. Enter the request into skyward for approval and email your building principal. The leave will be entered into Frontline by building office staff and sub position will be assigned by the building administrator.
You can enter an absence into Frontline as late as 6:10 am on the date of the absence. If you have an emergency after 6:10am, you must call or text Jen Berg at 224-715-4139. You must still enter your request into skyward.
If you need to leave during the workday, you will need to contact Jen Berg ext 3003 / 4004 to get a sub. You will also need to enter your request into skyward but NOT Frontline.
You are discouraged from “assigning” a particular substitute to an absence. If you want a specific sub, you should choose them as your top 5 and you may let a particular sub know that you will post an absence at a certain time / date for them to accept.
We are not authorized to give substitute contact information. (phone or email). If you would like to obtain this information, you will need to ask a substitute when you see them at school.
Lamination
Sight Word Lists
The district has committed to adopting Fry's Sight Word Lists this year.
Lists of words were placed in your mailboxes Monday.
There are 100 words per grade level. I would suggest breaking the 100 words down by trimester (about 33 words per trimester) so that you have more of a focus and aren't trying to teach or assess them at all once.
Lists will be used as follows:
Second grade will use the list labeled "Second 100 Words #101-200"
Third grade will use the list labeled "Third 100 Words #201-300"
Fourth grade will use the list labeled "Fourth 100 Words #301-400"
We will be using this as one more universal screener to identify students in need of additional assistance for reading instruction. This means that a parent volunteer could come into your room to play sight word games or practice flashcards with these words, or you could provide direct instruction during guided reading times for those who need it.
I would suggest making copies of your grade level list for each student and assessing their ability to identify the words during guided reading times. Please remember, sight words are not to be sounded out. They are words students should be able to identify within three seconds of seeing them. If a student cannot identify the word within three seconds, they have not memorized it and cannot read it upon sight, and therefore will need more practice.
Please make sure to have a word wall somewhere in your room. Your word walls in your classrooms should be reflective of your grade level list. Word walls should be large enough and visible for all students to see easily and for use as a reference in their writing as well. As a grade level, you can break the list down into weeks after breaking them down by trimester so that all teachers in each grade are covering the same words on the same week. Fun games and activities can be used to reinforce the words.
Here is a great resource to use: https://sightwords.com/sight-words/fry/
There are flashcards, lessons, and games available.

School and Student Attendance Goal
1.) Each child will receive a monthly attendance punch card from the office. I'd like to ask for your help in ensuring these cards are put somewhere safe each day. My thought is that one responsible student in your class could be given the classroom job of "punching" each of your students' attendance cards for each day they come to school. That way, your students can see their progress as the month goes on. I will make sure each month's punch card reflects the actual number of student attendance days each month to reduce confusion due to days off, institute days, etc. Each month, students who have perfect attendance will receive a special plastic reward tag to add to a chain for their backpack.
2.) The office will be calculating each classroom's monthly attendance. The goal will be set at 95% or more. Each class that reaches this goal will receive a special bulletin board piece to put on the bulletin board by the music room where each classroom will be represented. I will be rewarding each class that reaches or exceeds the 95% attendance goal each month. By the end of the year, the graph will show the class(es) that have met this goal most consistently, and those classes will also be rewarded in May.

- On your computer, open Google Calendar.
- Go to the date(s) you would like to schedule your meetings/observations. Hit the plus sign in the top right corner.
- Enter in your name and purpose of meeting in the title, (i.e. "Dawn Smith, pre-observation meeting")
- Make sure to set the time the event will start and end.
- Make sure the correct calendar is chosen.
- Scroll down and go to Invitees.
- Enter my email address: michellehetrovicz@bighollow.us
- Hit Add in the top right corner. The event should appear in your calendar and I will get an invite.
Tenured staff on the evaluation cycle will be observed formally at least once this year. Tenured teachers may request an additional formal observation if it is desired. At least one formal observation needs to be complete by March 1st. Summative evaluations for tenured staff need to be complete by May 1st.
Nontenured staff will be observed formally at least twice this year. If additional observations are necessary or desired, they may be conducted. The first formal observation needs to be completed by December 1st. The second formal observation needs to be completed by February 1st. Summative evaluations for nontenured staff will be complete by March 1st.
Informal observations will continue as well and will be used to complete the end of the year summative evaluation for all staff on the evaluation cycle.
Here is a document you could use to help plan your observations and lessons. **Make sure to create a copy before editing!!
Safety Inspection Guidelines
1. We can no longer use door stops for any reason. It is against fire code. Please remove and discard all door stops and wedges.
2. We need to make sure every office/classroom has at least one window that is uncovered, allowing for viewing inside the room. Please do not completely cover your windows.
3. In addition, please make sure that any items stored above cabinets do not come within 18 inches of the ceiling. The fire department and safety inspectors will yell at us! :)
Thanks!

ELA Curriculum/Resource Adoption & Balanced Literacy/Thinking Maps Roll Out
We know that many of you get together and plan over the summer and we wanted you to have these documents which include the Thinking Map roll-out as well as the Balanced Literacy time-frame. These documents will also be reviewed with you in August. Click here for the balanced literacy plan and click here for the Thinking Maps plan.
In addition, Schoolwide materials for reading and writing have been ordered. As much as we tried, we were not able to get all materials here before school ended. Once the supplies come in over the summer and we have logged them in, we will contact you to either come pick them up or possibly deliver them to your house.
The Open Court Phonics program has been chosen for adoption for 2nd grade. Materials have already begun arriving. More to come! :)
Professional development will be held at the beginning of the year to support you and get you started. PD for Schoolwide (reading and writing) will be held on Tuesday, August 21st and Open Court Phonics training for PreK-2 will be scheduled for early release on September 7th from 1:40-3:40 pm.
We hope that this will help you as you start to plan for our district-wide ELA and Thinking Maps roll-out.
Curriculum resources for next year
Although we will be using a balanced literacy model, I wanted to communicate clearly the required resources for next year.
ELA - Schoolwide Units (2nd grade to supplement with Open Court Phonics)
Social Studies- Schoolwide Units used to support Illinois Social Science State Standards
Math- Eureka Math resources
Science- Mystery Science, amongst others, as a resource to support Disciplinary Core Ideas (Illinois Science State Standards)
SOCIAL EMOTIONAL LEARNING- Second STEP and Calm Classroom -
(Please review the SEL standards and performance descriptors here.) Each of you will have one day per week when you will only have PE as a special. I suggest scheduling your SEL lessons during those open days/times that you don't have a second special. Lessons for Second Step are 30-40 minutes and should be conducted once per week. You MAY group up with another class and conduct the lessons together. Materials are on order and the lessons are very easy to conduct! If you require assistance from Donna or Sarah, please schedule the lesson(s) with them in advance.
More information will be shared soon regarding required word work & word wall expectations/resources for next year.
