π OPTION 1: Get Appy: Click & Drag Between G-Drive and OneDrive Desktop Apps
β PROS: You can use the convenient "Click and Drag" method to copy all of your files.
β CONS: You will need to manually convert your Google documents (Gdocs, Gsheets, Gslides, Gforms do not import.) into Microsoft documents (.docx, .xlsx, etc.) in order to edit them in the Microsoft 365 environment. To see ATS's Converting Your Google Files into Office Files infographic. Click here
To begin:
1. Download both the Google Drive and OneDrive desktop applications for Mac or PC.*
2. Allow the applications to sync with your online content. This is not immediate and could take awhile on wi-fi. Be Patient. Consider starting this at the end of day and letting the sync process work its magic overnight! π
3. Identify the content that needs to be transferred, and to start click and drag a small batch of your folders or files from G-Drive into OneDrive so you do not overwhelm your system. Once transferred proceed to the next batch and so on...This will copy your files into the new location especially when using your wi-fi connection.
* Note: You may need administrative access to install Google Drive and OneDrive applications on New York Tech owed PC's and laptops. When you use the click and drag method to move files, OneDrive will launch an error message stating βThis operation is not supportedβ when a Google document type (Gdocs, Gsheets, Gslides, Gforms do not import) is imported. When you see this error, click βOK.β to allow the file transfer to continue.
π OPTION 2: Google Takeout: Take me out of the Google... buy me some peanuts & cracker jacks...
Try this home run! Visit Google Takeout to launch the FREE file transfer tool for removing "My Drive" content. Make sure you are logged into your New York Tech Google account before you begin! Follow the below steps or watch the below video tutorial .β΄ (β° 6:11)
β PROS: Google Takeout will automatically convert your Google file types to a file type of your choosing (e.g., Gdoc to .docx, Gsheet to .xlsx, etc.).
β CONS: Will only export your drive, not shared drives or other items shared with you. The export file will be in a .zip file. You will need to unzip the file folder prior to uploading to OneDrive. Additionally, you will need to use an external storage device if you are exporting a large amount of data.
To begin:
- Once opening the Takeout link, you will see Google products listed in alphabetical order. Under "Create a New Export", click on "De-Select All" (on the right-hand side). Next, scroll down to locate "Google Drive." Click on the checkbox to the right. Once selected, you will see a blue checkmark. By default, the "multiple formats" button (image a) on the Drive options will export your Google files as Office files .You can change Gdocs to PDF files by clicking on the downward grey arrow (image b).
- Make sure to scroll down and select "Next Step" at the bottom right-hand corner.
- A new window will open. Select the following from the dropdown menu. i) Send Download Link Via Email (DO NOT Select OneDrive), ii) Export Once, iii) .zip file type, iv) Select the 50GB option.
- Once your files are downloaded, unzip/uncompress and upload them to OneDrive (click on links for infographics).

π OPTION 3: Fail-Safe Strategies for Transferring Your Shared Files
As New York Tech's storage limit for G-Drive is being reduced to 4 GB's, you may prefer a different safety net for preserving files that have been shared with you by others. βShared with meβ files can be deleted or moved at any time by the owner. We recommend connecting with your colleagues* about shared content areas. If you would like to delete content have them review the files first and respond to you by a specific date. But... if you want to make sure you keep access to important documents, consider these fool-proof approaches to saving these files.π β΄
*Note: any alumni who graduated more than 16 months ago will no longer have a New York Tech email account as of October 1, 2022.
β Make Your Own Copy
β Download a Copy
If you like, you can download (infographic) the files you wish to preserve. Depending on the size of the download, you may want to connect an external storage device and save the files there. Once you have your own downloaded copy of the file, you can decide whether you want to host the file locally on your PC or laptop, or upload it into your cloud-based New York Tech Microsoft OneDrive account.
