Welcome to the Fall edition of the EduTech Essay! This digital newsletter will focus on EduTech services and what they are providing to the region. Expect to see the Essay delivered to your mailbox in the months of September, December, March and June.

Drone Video Service Available

EduTech now has a certified Drone and Pilot that districts can now utilize!

Districts in need of raw video footage for video production classes, student projects, video etc. can now make a request. Please contact your Project Coordinator for pricing and details.

Multi Year Purchase Agreement Change

If your district uses a Multi Purchase Agreement (MYPA) for your technology purchases, SED has now asked that each district who uses this service have the local Board of Education approve the MYPA. Questions about this change may be directed to your district's project coordinator

Managed Print Services - New!

For 2019-2020, EduTech is now able to offer districts two options in regards to purchasing managed print services. Please contact your project coordinator for information and details.

Remote Back Up Service for 19-20

EduTech’s managed backup and recovery service provides data protection for applications, files and virtual or physical servers. Managed backup and recovery are a fully managed solution that is configured, administered, monitored and supported by EduTech. This service allows component districts to backup “in district servers” to the Private LAKENet Cloud. This is a cost-effective way to backup data and eliminate the need for tape backup servers, tapes and the maintenance of these systems.

This service will offer:

  • Backups performed, stored and maintained in one of EduTech’s data centers.
  • This service will run once a day, usually at night while computers aren't in use.
  • This service will collect, compress, encrypt, and transfer the data.
  • These backups will be copied to servers in both Newark and Leroy Hubs to ensure redundancy of the data
  • Data will be available for restores as needed.
  • Data will be stored in a climate controlled, secure, fire suppression space.
  • Compliant with Education Law 2D, data privacy and security.

Phishing Email Targeting School District Administration

It has been brought to our attention that there is a new phishing email that is directed at school district administration. The email appears to be from the Federal SAM site (System for Award Management) stating that the district needs to renew their account. The email includes a link that takes the recipient to a site requesting credit card information. It appears that the email is well designed and appears to be from a legitimate Federal government resource. If you received this type of email, please do not click on the link but do delete the email.


EduTech tends to many phishing emails daily, but as the technology gets more sophisticated our staff need to be more aware of suspicious emails.

AccelerateU, a service of EduTech, is currently enrolling high school and middle school students in our online courses.

We offer 200+ courses in all areas, including many new electives.

E-Rate Update

The E-Rate team will begin reaching out to districts to begin gathering information for any Category 2 (internal connections) projects for the 2020-2021 funding year. They are presenting at the next JTG meeting to review eligibility and the E-Rate application calendar.

Instructional Technology Plans 2019

Any interim technology plans are considered ad-hoc and will be sent directly to the SED reviewers. EduTech reviewers will not be involved in the process until the next required technology plan process.

If you would like to update your plans, the SED portal will be open beginning on Monday, March 11th, 2019 and will close on October 31st, 2019.

Please note the following:


  • The questions will remain the same as in 2018. The guidance will be enhanced, and you will be notified when the updated guidance has been published.
  • Districts with an approved plan are not required to make updates to that plan in 2019, but may do so if they wish. All data from districts that have an approved plan from 2018 will be pre-loaded into the 2019 template.
  • We have attempted to make the optional nature of the 2019 collection clear by describing the plan as Ad-Hoc rather than Annually, and labeling it as “Optional Tech Plan Update”.
  • The districts that submit an update will be submitting it directly to NYSED. They will be responsible for reviewing and approving the updated plans with no involvement by EduTech. SED will notify EduTech when a district submits an update, and would be happy to provide you with a PDF of the updated plan should you so desire. The EduTech reviewers will not have direct access to the plans for these districts, as the workflow will change - going directly to NYSED - blocks access during plan update years.
  • Additionally, the SED continues to recommend that districts publish, on their website, policies regarding: Cyberbullying, Internet safety, the Parent’s Bill of Rights for Data Privacy and Security, and the districts Information Breach Response Plan. If you provided links to those policies in your technology plan, please be sure that they are still accessible as you update your district websites.

NVision Maintenance Reminder

On the third Thursday of each month, we will be shutting down access to the nVision servers between the hours of 7 am and 9 am. This will allow us to take care of any necessary system and software updates.

We will send out a reminder e-mail on the afternoon prior to our scheduled maintenance window, followed up by another e-mail notifying you that the maintenance has been completed.

If, for any reason, the maintenance is taking longer than planned, we will notify you via e-mail.

The Wayne-Finger Lakes BOCES Courier Service is located in the EduTech Warehouse at our Regional Support Center in Newark.


The W-FL BOCES Courier Service delivers mail and small packages to our 25 component school districts as well as all of the BOCES work sites in the 8 county Genesee Valley and Wayne-Finger Lakes BOCES region. Additional districts and organizations are also supported per specific W-FL programs, e.g. Science (ESTEC), Media Library, CBO, etc.

Courier Service Starts Back Up

The first day for courier mail service from WFL BOCES to all GVEP locations will be on Wednesday, September 11, 2019.

SchoolTool Maintenance Reminder

We will be scheduling a monthly maintenance window regarding the SchoolTool servers and application. Every third (3rd) Thursday of the month from 4-5 PM SchoolTool will be unavailable while maintenance is being performed. Please let your staff know of this maintenance window.

APPR

2018-19 APPR

  • Districts should begin working on their APPR data if they haven’t already started.
  • We are providing 18-19 APPR reporting updates at the Data Coordinator Series I Trainings as well as the Fall Data Coordinator Meetings.
  • I don’t have any information on when state provided growth scores but with the new reporting rules they will have less significance.
  • Attached is the presentation from SED on the new changes along with the memo describing these changes.
  • Summaries of what should be reported for APPR are on districts’ IRS Portal.
  • Deadline to lock data in Level 0 is October 16th.
  • Deadline to submit the certification is October 25th.

2019-20

  • Our anticipated first load of data into Level 0 is Monday, September 9th
  • August Grads need to be entered into student systems as quickly as possible.
  • Deadline to lock August Grad data is October 9th

  • Will expect to send results labels for NYSESLAT, ELA, and Math, along with Student Score Reports (SSR’s) by Monday September 9th.
  • Will expect to send June and August Regents Answer Sheets, and ELA and Math Answer sheets back by October 1st.
