MINUTES OF JUNE QUARTERLY HOA MEETING
MINUTES OF THE MEETING OF THE BOARD OF DIRECTORS OF THE
COVINGTON PLACE HOMEOWNERS ASSOCIATION, INC.

An open meeting of the Board of Directors (the “Board”) of the Covington Place Homeowner Association, Inc. was held on the 6th day of June, 2017. Present in person were Brian Dean, Perri Futo, Faye Brown-Stone, Chris Branan, Pat Showalter, Susie Keck and Brooke Woodall, constituting a quorum of the Board. Pat Showalter chaired the meeting and Faye Brown-Stone served as Secretary for the meeting.

There were 23 homeowners represented at the meeting.

The meeting was called to order by the chair.
.
· Welcome of homeowners
o Homeowners were asked to sign-in and provide email address for the newsletter
· Summation of Audit Report on Reserve Account – Brian Dean
o $117K in reserve
o Dues have been $480 since 1995, 22 years
o Dues for 2018 will go to $720, ($480 due on Jan 1, 2018, then $240 will be due on April 1, 2018)
o The presentation is attached below which outlines the details.
o Audit report summary attached
· Discussion of replacement of pool furniture – Susie Keck
o Replacing 60 chaise lounge chairs, approximately $12,977
o Replace table and chairs next year
o Board is looking to see if anyone has other options to get a better price. It will be put on Facebook until Sunday. If no, response, then the lounge chairs will be ordered on Monday, June 12, 2017. This was motioned and seconded. Motion carried.
· Report on repair of the tennis courts – Chris Branan
o Getting bids from Sentry
o People are going under the fence to get in
o Formation of a tennis court committee: Bill SanFelice, John Keck, Amanda Norton, Lisa Baker
· Discussion of landscape company proposals – Pat Showalter
o Landscape committee
o Jon Wilber volunteered to lead committee
· Discussion of pool clubhouse rentals
o Kaye Plitt will continue to be over this effort
· Discussion of Community Wide Standards and relevant Covenants – Perri Futo
o The covenant statements were read concerning basketball goals
o The standards are a snapshot of the covenant
o Basketball goals have to be approved
o A few owners are out of compliance
o Fines will start soon

· Open Discussion.
o History on how the board was established
o Comments on various subjects.

Friday December 22nd will be the Annual Golf Cart Parade & Holiday Party!
NO UNDERAGE DRIVERS BEHIND THE WHEEL OF A GOLF CART
.
Golf carts operated on the streets of Covington must be registered with the Covington Police Department; applications can be obtained from the Covington Police Department website
.
Golf carts are permitted on and around the city square
.
All traffic laws apply, including DUI and reckless driving
.
No one can drive a golf cart unless they possess a valid driver's license or instructional permit (those possessing an instructional permit must have an adult present just as required for driving a vehicle). Children without either of these documents are not allowed to drive a golf cart on the streets under any circumstance.

PARENTS - We have had a serious accident in our neighborhood in the recent past which involved underage children driving a golf cart. PLEASE do not allow your children to drive without a valid Driver's License under any circumstances. This includes allowing children to sit in your lap behind the driver's seat and steer the cart. This also includes driving the cart to the pool at any time.

Golf carts are prohibited on a number of streets (however, you can cross them at intersections provided you stay on an approved street). To view the full list of prohibited streets, refer to your CP HOA HANDBOOK May 2017 Edition.

Remember, ALL Covington Place streets are within the City Limits of Covington and fall under the City Ordinance. This includes driving from your home to the Pool. Don't do it!

Every resident should have received one via email during May 2017. If you did not receive one, please send a message to tp81854@yahoo.com and you will receive one.

Be sure to SAVE the email containing the HOA HANDBOOK as it's your responsibility to keep up with HOA information.
OVERNIGHT VISITORS & CAMPERS/RVs PARKED IN THE STREET or AT POOL PARKING LOT - VISITOR PARKING PASS REQUIRED - NO EXCEPTIONS
Leaving unmarked cars parked in the Pool Parking Lot during the day or overnight is not allowed. If vehicles do not have a Green Vehicle Sticker on them then they MUST have a Visitor Parking Pass on them to keep from being towed. NOTE: If you see a non-resident vehicle parked at the Pool Parking Lot during the day or night, please call the Covington Police to come and check it out.

If you need a Visitor Parking Pass Template, please sign in to HOA Butler and print it from Community Documents and Information.
GREEN VEHICLE STICKERS - IT'S ALL ABOUT NEIGHBORHOOD SAFETY!
If you do not have a Green Vehicle Sticker on each of your vehicles, please send an email to l_seabolt@hotmail.com providing your Name, Street Address, and the Number of Vehicles you have and they will be delivered to your mailbox.
If you would like a sticker for your golf cart too, please make that request as this is a great idea since many residents drive their golf carts to the pool.

Mailbox Repair/Replacement - The HOA has approved one style mailbox for our neighborhood and this is the only mailbox that can be installed and maintained. To order a new mailbox or obtain repair service, go to this website and place your order:

Clubhouse Rental - the clubhouse is available to all residents to rent for private parties; no corporate events or non-resident parties allowed; $75 fee during Pool Season, $50 fee during remainder of year; Rules & Regulations available; some restrictions on dates/times of availability; Contact Kaye Plitt at Kayep1030@gmail.com

Green Vehicle Stickers - Send email to l_seabolt@hotmail.com and provide street address and number of vehicles; place them on the rear window of each vehicle; they are available for golf carts too and should be placed on the windshield

REEF Pool Management - 770-389-9999 - to report any problems with the pool during Pool Season (ex. chemicals, cleanliness, fecal matter, etc.)
Tennis Courts are accessed via the same Pool Card that opens the pool gate. The tennis courts are available for residents and their guests only. Guests must be accompanied by a resident at all times. Leagues or Teams are not allowed. Rules of etiquette were included in the HANDBOOK so please refer to them if you have any questions.

Street Light Outage - City of Covington, 770-385-2000, use Option '0' and speak to a Customer Service Agent to report the outage and have a repair ticket created.

Our HOA offers residents who own a business the opportunity to reach over 340+ resident email addresses via our Newsletter and our Facebook Page. Our average weekly reach is over 425 views.

For Residents who own a business:
- No charge to run an Ad
- A print-ready Ad in JPEG format is required
- We'll run it several times if requested

For Non-Residents to place an Ad:
- $25 to run 4 times
- A print-ready Ad in JPEG format is required
- Payable in cash or check payable to CPHOA. Payment sent c/o Susie Keck, 8110 Crestview Drive, Covington 30014

All Ad JPEGS must be emailed prior to any Saturday to tp81854@yahoo.com in order to be placed in the next issue of the Newsletter. Please make sure that your Ad is clear and legible before sending your JPEG.

Paid for Ads will be posted to our FB Page by someone on our Communications Team only. If an Ad appears on our FB Page that doesn't belong to a resident and hasn't been pre-paid for, it will be deleted.
