Creating a New Budget Transfer Rule

  1. Enter a Rule ID to name the transfer rule. It is useful to provide a name that briefly describes the function of the rule, for example Orgs Must Match (to indicate a rule requiring the org fields of both accounts in a transfer to match) or 1XX Require Approval (to indicate a rule where all transfers involving 1xx Fund accounts must be approved).
  2. Select the first Fiscal Year on which the rule will take effect.
  3. Select the Rule Type.
    • Select Approve to create a rule where approval of the transfer is required.
    • Select Deny to create a rule where denial of the transfer is automatic.
  4. Enter a Description of the rule.
  5. Select a budget change request Category for the rule. These categories are created and managed in the Maintain Budget Change Request Categories entry point.
  6. Click the Create button to create the rule. The rule appears in the Search Results panel. You must now define the rule.

7. Click the rule in the Search Results panel to expand the tables in the FROM ACCOUNT and TO ACCOUNT panels.

  1. Enter rule strings in the cells of the FROM ACCOUNT panel to set rules for the source account in a transfer.
    1. For example:
      • Enter 10 in the Sub-Object field to set the rule to apply to accounts with 10 in the Sub-Object field.
      • Enter 1.* in the Fund field to set the rule to apply to all 1XX Fund accounts.
      • Enter a value in the Amount field to set the minimum amount to which the rule will apply.
      • Enter (<?org>.*) in the Org field to set the rule to compare the Org field of this account to the Org field of the destination account. You could enter (?!\k<org>).* in the Org field of the destination account to indicate that the destination Org does not match the source Org.
  2. Enter rule strings in the cells of the TO ACCOUNT panel to set rules for the destination account in a transfer.
  3. Click the OK button to save the definition of the new rule.

Editing an Existing Budget Transfer Rule

  1. Make selections in one or more fields in the Search/Create panel and click the Search button to view results matching your search criteria in the Search Results panel.
  2. Click the rule you want to modify in the Search Results panel to expand the tables in the FROM ACCOUNT and TO ACCOUNT panels for that rule.
  3. Modify the rule strings in the cells of the FROM ACCOUNT panel to change the rules for the source account in a transfer.
  4. Modify the rule strings in the cells of the TO ACCOUNT panel to change the rules for the destination account in a transfer.
  5. Click the OK button to save the new definition of the existing rule.
