Personal and Sick Leave
Recently, Governor Murphy voted for an expansion of sick leave. Please click the green button below for what this means for you. Included are the expanded reasons for sick day use, the documentation that is required, and the type of absence to be recorded in Frontline.
Advanced notice
● Foreseeable sick leave usage: A staff member must provide notice seven (7) calendar days prior to the date use of sick leave days is to begin. The employee must make a reasonable effort to schedule the use of sick leave in a manner that does not unduly disrupt district operations. Failure to do so may result in limitation or denial of the use of sick leave days.
● Unforeseeable sick leave usage: A staff member must give notice of the intention to use sick days as soon as practicable.
Foreseeable Sick Leave Dates
Foreseeable sick leave absences immediately before or immediately after a long weekend, holiday, or vacation will need documentation prior to taking the day off.
A few reminders:
You receive a total of six personal leave with pay days per year
*three additional days per year for each death in the immediate family may be granted by the Superintendent
Personal leave days will not be granted immediately before or immediately after a long weekend, holiday or vacation unless the days are being used for a religious observance.
You receive paid leave for mandatory jury service summons, adoption proceedings, or for a legal proceeding not brought by or on behalf of the employee and which cannot be scheduled outside of regular work hours.
Up to three unused personal leave days will accumulate as sick leave days if unused at the end of the school year.
10-month staff: You receive 10 sick days per school year. 12-month staff: You receive 12 sick days per school year. Unused sick days roll over to the next school year. If you previously worked in another district and were able to transfer your sick leave into your 'bank', your Hopewell Valley sick leave days must be exhausted in order to begin using your sick bank of days.
If you use three consecutive sick days (regardless of reason), a doctor’s note needs to be submitted to the Office of Human Resources.
Course Approval and Reimbursement
A few tips when taking a course for credit:
Forms are located in Frontline Central under “Forms”, look for “Course Approvals” and “Tuition Reimbursements” for your building.
A course approval must be submitted in advance of a course start date, in order to be eligible for tuition reimbursement. Please do not submit on the day the course begins, or after you have already attended class.
Tuition reimbursement forms must be submitted upon course completion.
All receipts and transcripts must be official. Uploads of screenshots or snipits will not be accepted.
Reimbursement is based on the tuition rates of TCNJ.
Credit Attainment
Members of the HVEA who have taken courses and wish to increase their salary based upon the HVEA CBA should follow these steps:
1st: Complete this form for credit attainment, ensuring the upload of your official transcript
2nd: Email Veronica Bruno (veronicabruno@hvrsd.org) alerting her to your upload, and request a review of your transcripts

I Need to Make Changes to My Personal Information
If you have any updates and need to make changes to your name, address or phone - we have a form for that! Head to Frontline Central, and in the search bar type "Change of Name". Look for the form entitled "Change of Name, Address, or Phone" and fill out what is applicable to you.
I Need Substitute Coverage - What do I do?
For daily coverage, please use Frontline to enter your absences. If you have an emergency situation, Terri Nelson can help! Email Terri at terrinelson@hvrsd.org or call the Substitute line at 609-538-0756. Remember: the early bird gets the substitute!

Workers Compensation
Employee Payroll Portal - Online Pay Stub
The Employee Payroll Portal is available for you to access your pay stubs. In order for you to be able to access the portal, you will need your Employee Number. You can access this number in OnCourse. Here are the directions to access:
To access your account, go to www.doculivery.com/systems3000-hvrsd
1-Your Username ID: The first letter of your first name plus your last name plus your Employee Number(found on your pay stub or in OnCourse)
Example: Dana Jones-Smith-Username ID =djones-smith1234
Password: Employee Number (found on your pay stub or in OnCourse) 1234
Click on Login
2-Once you have logged in, follow the on-screen instructions to set up your security questions. It will prompt you to change your password.
3- Once logged in, you will see the main screen which is organized into 4 tabs. Click on the Pay Stub tab to see a list of all pay dates for which you have a pay stub. To see the entire pay stub for a particular date click on the view icon in the Click To View column on the left side of the screen.
Setting Up Notification Options (Pay Stubs and Messages)
You have the option to send notifications of your pay stubs to your email or as a text message
- Click on the Pay Stubs tab 4, or Messages tab 7. On the right side of the screen, select the appropriate bar 6 to set email or text message notifications
