Open Enrollment - Coming Soon

The Benefits Department would like to remind everyone that Open Enrollment is October 21 - November 8.

In preparation for Open Enrollment, employees should reset their passwords for the ADP Portal prior to scheduling a benefits meeting. Resetting your password will ensure that you have enrollment access. Here is the link to ADP:

*All benefits eligible employees should participate in Open Enrollment. Employees with Flexible Spending Accounts MUST re-enroll to continue contributions.

TKES/LKES Implementation

Upcoming Deadlines:

HR runs TKES/LKES implementation reports the Monday before each VIP meeting. The goal is to have 100% completion on all steps. You can find a complete list of evaluation guidelines on the HR Webpage under Forms & Documents. Click the link below to view these guidelines.

The Importance Of Documentation

Good documentation is essential in making sound decisions involving employee discipline. Documentation becomes critical when the need to recommend an employee for non-renewal or termination arises. Documentation should be clear, comprehensive, detailed and up-to-date. It can include, but is not limited to, notes from meetings, letters of directive, evaluations and employee statements. Be specific when taking notes and always include names, witnesses, time of day, location and what action was taken. The documentation process can protect you and the district from potential legal actions.

Remember....If It Is Not Documented, Then It Did Not Happen!

Looking For Sample PLGs?

If you are working to help an employee develop Professional Learning Goals (PLGs) and would like to view samples, visit the HR Procedures Manual in OneNote. Sample PLGs are located under the Evaluation's Tab.

Remember, the Professional Learning Goal should answer the following questions:

  1. What do I want to learn or change about my practice that will effectively impact student learning?
  2. How can I develop a plan of action to address my professional learning?
  3. How will I know if I accomplished my objective?

Volunteers: Fingerprinting & Background Checks

We have recently had an influx of volunteers, interns and consultants coming to HR for fingerprinting. Please remember you must contact HR prior to sending individuals in for fingerprinting if they have not been recommended for a position with the district. You should send their name, the school/department they are working with and a contact person's information to Emily May at Any one working in our schools and/or around students (other than school volunteers), must be fingerprinted.

Fingerprinting vs Background Checks (Name Check):

  • All Volunteers affiliated with a school, must complete a background check (these forms Must be initiated at the school and forwarded to HR, they will not be given out in HR - no charge)
  • All Consultants/Vendors working in the schools or around students, must be fingerprinted ($50 fee applies)
  • All Mentors must be fingerprinted ($50 fee applies)
  • All Interns must be fingerprinted (no charge)
  • All Student Teachers must be fingerprinted (no charge)

Items Needed for Fingerprinting:

  • Drivers License or Picture ID
  • Social Security Card
  • $50 (cash or money order)

Resignations & Retirement

When an employee informs you that they wish to resign or retire from their position, please contact HR immediately. Certified employees are bound by contract and their requests for separation are reviewed on a case by case basis. Classified employees are at-will and may resign at any time.

Both Certified and Classified employees MUST submit a resignation form in PowerSchool. If the employee resigns over the phone or abandons their position, the supervisor is responsible for completing the resignation form on the employee's behalf.

It is imperative that all employees (part-time, full-time and retirees) complete the on-line resignation process in order to prevent over-payment and inaccurate record keeping. Instructions for resigning and retirement can be found on the HR Webpage. Click on the link below to view these instructions.

Need To Report An Employee Injury?

As soon as you are made aware that an employee has been injured on the job, remember to follow the Workers' Compensation Procedures. You must complete a First Report of Injury and contact Marqueta Harden immediately. If medical attention is required, the employee must choose a facility from our approved Panel of Physicians. You can find a list of these physicians on the back of the injury report and in each school/department with the safety and compliance information.

*Remember: Emergency Room Visits are for Emergency Situations and After Hours Injuries ONLY.

Please review the WC Procedures Packet that is attached. This packet includes the newest First Report of Injury Form. Please use this form and discard all other forms.

Employee Referral Bonus Program

Help Us Build A Great Team!

Employees who refer a "Teacher" candidate will receive a $1000 Referral Bonus if that candidate is hired and works in the district for a full year. Reach out to friends and family interested in teaching and tell them about the great things happening in Bibb! Please see the attached flyer for guidelines.
