New Information for the 2021-2022 Before School & Extended Day Programs
Watertown Community Education is pleased to announce that our Before School Program and Extended Day Program will run in-person for the 2021-2022 school year! In preparation, please be sure to read this important information in its entirety, perhaps with a highlighter in hand. All of this information can also be viewed in Google Doc format here.
We will hold a lottery for Before School and Extended Day Program registration this year. Registration will be done online via Google Form. Registration will open on Monday, June 21, 2021, at 9:00 AM and anyone who registers by 10:00 PM on Monday, June 28th will be entered into the program lottery. Registrations received after 10:00 PM on Monday, June 28th will automatically be placed on our program waitlist. The lottery for enrollment will take place on Tuesday, June 29, 2021. The lottery will not be held live. Full registration and lottery details can be found in the How to Register section below. Following the lottery, families will receive an email on or before Friday, July 9, 2021, notifying them that their student is being offered a space in the program or that their student is waitlisted.
Due to the fact that our programs have not run in over a year, we are anticipating we will begin the year with staff vacancies. To account for this, we will initially accept fewer students than our maximum capacity. We will reach out to families who have students that have been waitlisted by Monday, August 9, 2021, with an update regarding their status. If we are able to confirm additional staff we will confirm space with waitlist families according to their waitlist order.
Tuition rates for the 2021-2022 school year can be found here (click to open). Please note there was an increase in these rates that goes into effect in September 2021. Prior to this increase, tuition rates were last increased effective September 2018. Watertown Community Education Program tuition rates will be reviewed annually.
Program schedules for the Extended Day Program are now set schedules with three available enrollment options:
Full-time, 5-days per week
*Part-time, 3-days per week (Mondays, Wednesdays, Fridays)
*Part-time, 2-days per week (Tuesdays, Thursdays)
*Watertown Community Education can no longer accommodate part-time schedule requests for combinations of days outside of these set schedule options. No exceptions can be made.
The monthly payment schedule has changed.
The first month’s tuition is due by July 30, 2021, to confirm your student’s space.
Monthly tuition payments are due on the 10th (or the school day preceding the 10th if the 10th falls on a weekend) each month for the upcoming month.
The Before School Program will continue to have one enrollment option, 5-days per week. The daily drop-in fee has increased (as listed on the 2021-2022 chart of tuitions linked above). Drop-ins will continue to be accepted based on availability and must be pre-approved by your school's Extended Day Site Coordinator at least one school day in advance. The only way to ensure Before School Program availability for your student is to enroll them 5-days per week.

Important message for Lowell School Extended Day Program families: Lowell School families who have students with confirmed enrollment in the 2021-2022 Extended Day Program will continue to have a confirmed space in our Extended Day Program when construction begins in February 2022. Please note that at this time we cannot confirm if the Extended Day Program will run in two separate locations (Lowell West and the Phillips Building) or if some or all students will be bussed to another location for Extended Day. These details will be communicated to families by January 17, 2022. Either way, your student’s enrollment in our Extended Day Program will continue through the full 2021-2022 school year.
Important message for Lowell School Before School Program Families: At this time we cannot confirm that a Before School Program will be available at one or more locations for students when the construction begins in February 2022. We are working diligently to be able to continue to provide this program to enrolled students but the status of the Lowell Before School Program as of February 2022 is currently to be determined. The status of the Lowell School Before School Program plans and feasibility for all grade levels will be communicated with families on or before January 17, 2022.
How to Register for Watertown Community Education's 2021-2022 Before School and Extended Day Programs:
The link to register for the 2021-2022 Before School & Extended Day Programs will be available beginning Monday, June 21, 2021 at 9:00 AM. There is no option for paper or in-person registration. If you do not have access to a computer/internet, please reach out to Debi Cornelius email@example.com to make an appointment to come to the school to register using one of our computers.
You must complete an online Google Form registration form for each student you wish to register for the program. ***The registration link can be found at the bottom of this newsletter.***
Registrations for both the Before School and Extended Day Programs will be entered into a lottery for enrollment according to the schedule you are registering for and your student’s grade level. Priority is given to students registered to attend 5-days per week. Students registered to attend 3 days per week (Mondays, Wednesdays, and Fridays) are matched up with other students in their same grade level with 2 day per week schedules (Tuesdays and Thursdays) to ensure the remaining spaces in our groups are enrolled efficiently with equal enrollment on each day of the week to the extent possible.
If you are registering more than one student, all students in your family/household will be considered one lottery space when placing your students in our programs. We will place siblings at the same time to the best of our ability and to the extent possible according to their individual grade/grouping availability.
If your student attended the Before School and/or Extended Day Program during the 2019-2020 school year, you do not need to pay a registration fee. You do need to complete a new online Google Form registration form and indicate your student is a returning student to our program(s). Please note we are not offering priority enrollment to returning students this year due to limited space and staffing.
If your student is a new student to the Before School and/or Extended Day Program or a new sibling of a returning student, please note that a $100.00 non-refundable registration fee will be charged for each new student you are registering. This registration fee will be due by July 30, 2021. If your student is offered a space in our program, the registration fee can be paid along with their first month’s tuition by July 30th. If your student is waitlisted for our program, your registration fee must be paid by July 30th to maintain active waitlist status. You will only be charged one registration fee per student. If you register your student for both the Before School Program and the Extended Day Program, the single, $100.00 registration fee will cover both programs. Registration fees are non-refundable. Instructions for how to make payments are listed in the How to Make a Payment section below.
Once you submit your registration form, you will receive an email from the email address “Google Forms” that will provide you with a copy of the online registration form you submitted. Please check this form and the information you submitted thoroughly to ensure it accurately reflects the program and schedule you are registering for. **Sometimes this email from Google Forms may go to your junk mail folder.**
Once a registration form is submitted, parents are responsible for emailing any schedule corrections to their form to both Debi Cornelius firstname.lastname@example.org AND Jeff Bodner email@example.com prior to 10:00 PM on June 28, 2021. After 10:00 PM on June 28, 2021, any corrections to your initial registration form will be considered a registration change. Registration changes after the June 28th deadline will nullify your original registration. You will need to submit a new registration and your student will be placed at the end of our program waitlist.

Requests to withdraw from the program must be submitted in writing 14 days prior to the first day of school or 14 school days in advance once school begins. Parents/guardians are responsible for tuition through their 14 school day notice period.
Once you submit your registration form, you can expect to receive an email from Watertown Community Education administrators within 5 business days confirming your student has been entered into the lottery for enrollment.
The lottery for enrollment will take place on Tuesday, June 29, 2021. The lottery will not be held live as there are multiple variables. Process: Watertown Community Education will enter registered students from each family/household into a lottery according to the school and program for which they registered. Watertown Community Education will pull student/household names for each program using the random list generator on Random.org. Students will be placed according to their lottery position, schedule, then the availability in their age/grade grouping. Families will be notified via email on or before July 9th if their student(s) received a confirmed space or if they were waitlisted.
If your child is offered a space in a program, the first full month’s tuition must be paid by Friday, July 30, 2021 to indicate your acceptance of the space. If full payment is not received by Friday, July 30, 2021, it will be assumed that you have forfeited your space and your student will be placed at the end of our program waitlist.
If your student is waitlisted you can expect to receive an update on their waitlist status on or before Monday, August 9, 2021. If we are able to confirm additional staff we will confirm space with waitlist families according to their waitlist order, selected schedule, and availability in the student(s)’s grade/grouping.
Watertown Community Education does not offer sliding fee scales, financial aid, scholarships, or child care vouchers.

How to make a payment for Watertown Community Education Programs
When is tuition due?
Tuition for the Before School and Extended Day Programs is due on the 10th of the month each month for the upcoming month. If the 10th falls on a day that school is not in session, payment will be due on the school day preceding the 10th.
Tuition for the Before School and Extended Day Programs is broken down into 10- equal monthly payments with the first payment due on Friday, July 30, 2021 (or within 2 business days of being offered a space in the program if offered a space after August 1, 2021).
Tuition will not be prorated due to absences, holidays, snow days, and/or any other days school is closed or a student is unable to attend.
What is the tuition payment schedule?

Payment #1: Due July 30, 2021 or within 2 business days of being offered a space in the program (if offered a space after August 1, 2021) *registration fee is due in addition to the tuition on this date for new students

What form of payment is accepted?
Payments for the Before School and Extended Day Programs can be made via check and/or money order payable to the Town of Watertown. At this time we are not able to accept payments online or via credit/debit cards.
How do I make out my tuition payment check or money order?
Check or money order should be made payable to the Town of Watertown.
Payments for the Before School and Extended Day Programs must be made separately.
For all payments, please make sure to include your student’s full name and program code on the memo line. Program codes are as follows:
Before School Program - BSP
Cunniff Extended Day Program - CEDP

Where do I submit my first tuition payment to confirm my student’s space in the program and/or my registration fee?
Payment #1 should be dropped off in the payment box located in the Phillips Administration Building parking lot. You can find this parking lot by putting 31 Marshall Street into your gps. Where do I submit payments once the program starts?
Payment #2 - #10 should be submitted to your school program’s Site Coordinator and/or building monitor when picking up your student from the program on the payment due date. Please do not send payment in with your student.
Is it okay to submit payment for all of my students in one payment?
It is okay to pay tuition for one or more students attending the same program on one check or money order. Please make sure to include each student’s name on the memo line in addition to their program code.
What happens if I am late submitting my tuition payment?
If tuition (payment #2 - payment #10) is not paid in full by the listed due date, a late fee of $10 will be charged the next school day. A $10/week late fee will be charged the first school day of each week until payment has been received. The $10/week late fee will be charged per student, not per family. If tuition is not paid in full by 24th of the month the payment was due, your student(s)’s enrollment in the program will be cancelled and their space in the program will be offered to the next student on the waitlist. If you wish to re-enroll them in the future, the past due tuition must be paid and a new registration fee per student will be assessed. Your student will no longer have priority in the program and will be placed at the end of our program waitlist.
Will I receive a monthly bill for tuition?
Watertown Community Education does not issue monthly invoices. We will send tuition payment reminder emails.
Will I receive a receipt?
Watertown Community Education does not automatically send payment receipts. If you need a receipt you can reach out to your school’s Extended Day Site Coordinator or the Director of Community Education in writing (email is fine) to request a receipt.
Is there any financial aid, scholarships, or tuition assistance available?
Watertown Community Education does not offer sliding fee scales, financial aid, or scholarships. Child care vouchers are no longer accepted.
