Dear Parent/Guardian:
We are quickly approaching another school year at Hopkins Middle School! While the exact start date is still being determined, I wanted to take a moment to share information about our orientation schedule and our plans for instruction this school year.
Virtual Orientation
Orientation will be a blend of virtual and in-person this year. All students and parents should plan to complete the Virtual Orientation before their respective in-person date. The link to the Virtual Orientation will be emailed out via school messenger and live on our website www.hpsvikings.org on Wednesday, August 4, 2021 at 12:00 PM.
Please plan on talking about an hour with your student to look over the procedures and expectations. There will be a spot for digital signatures from both parent and student. If you have multiple students, they may all sign on the one "student e-signature" line provided. These signatures will take the place of many of the paper forms we require each year. Students who do not complete the orientation MUST attend an orientation makeup session held in the cafeteria during the first day of school.
The following information will be included during Virtual Orientation:
- Application Form for Free or Reduced Lunch - Please visit the link provided during orientation. All information is kept confidential. Only one application is needed per family! Foster households need one for each foster child as they are considered a family of one.
- Immunization Requirements - All students must be up-to-date with immunizations to begin the school year. Click HERE for the up-to date list of required immunizations. Note: COVID-19 Vaccination is not required.
- Hopkins Public Schools Acceptable Use Policy for Technology - Please read this through with your student. Both the parent and the student must sign this form in order to use computer technology at HPS. All Chromebooks will be passed out the first day of class. Please sign the digital form during Virtual Orientation.
- Student/Athletic Handbook Acknowledgement Form - A copy of the Hopkins Middle School Student/Athletic Handbook is available online at www.hpsvikings.org under the middle school link. Both the parent and student should read this handbook and sign the digital form during Virtual Orientation.
- Hand2Hand Information - There will be information on how to sign up for Hand Hand during virtual orientation.
- Your Student's 2020-2021 School Planner - Your student's planner will be ready for them on the first day of school.
- SRC Information - This is a copy of the HMS Student Responsibility Center rules and guidelines. Please read over this information and sign the digital form during Virtual Orientation.
In-Person Orientation Schedule
In addition to the Virtual Orientation, there will be two dates for us to host an in-person experience.
Incoming 6th Graders and all New Students to the District
- Wednesday, August 18" 6:00 PM - 7:00 PM in the HMS cafeteria o Traditional Orientation with a presentation and an opportunity to walk through the building
- Students will receive their schedule and locker assignment after the presentation
Returning 7 and 8th Graders
- Thursday, August 19h 11:00 AM - 7:00 PM o "Open House" style, come and go as you please
- Pick up schedule and locker assignment with the completion of the Virtual Orientation
Method of Instruction
We are planning a return to the traditional 5-day in-person learning week for all students. We will not be offering an online or remote option for students.
Picture Day
We are tentatively planning the first Friday of school being our picture day for all students. All students will need their picture taken for their school ID and the yearbook. We will not be taking pictures at orientations. We are hoping to release a calendar for the year soon. A link to the picture ordering website will be provided in the Virtual Orientation.
Student Contact and Emergency Medical Authorization Form (receive at in-person orientation)
Finally, we will need an updated paper copy of this form for each student. This is an annual update to the information we have on file for your student. Please fill it out and return it to the MS office while at orientation or sometime before the start of the school year. Our office is open Wednesdays 7:30 -3:00. We will return to full time hours the week of August 16.

Orientation
Incoming 6th Graders and all New Students to the District:
Wednesday, August 18th 6:00 PM - 7:00 PM.
This will be the traditional orientation with presentations and an opportunity to walk through the student schedule and open lockers.
We are planning on this being in-person in our cafeteria.
Returning 7th and 8th Graders:
Thursday, August 19th 11:00 AM - 7:00 PM
This will be in an “open house” style (come and go during the posted hours).
Students are welcome to come in and pick up schedules as soon as all forms have been completed online. For those who need the internet, we will provide access for parents to complete the forms on this date (forms will be sent out later this summer).

Cell phones are to be turned off and kept in their lockers during the school day. Cell phones that are used during the school day will be confiscated and must be picked up by a parent.
If a student needs to contact a parent/guardian, they can go to the office to either use their cell phone or call from the office phone. If a parent needs to reach a student, they can leave a message for their student with the office.

Office Business
ATTENDANCE
Please call the Middle School office at (269) 793-7407 within 24 hours of your students' absence. You may leave a message on our voicemail system day or night. When reporting illness, please inform the secretary of the type of symptoms your child is experiencing (fever, sore throat, ect.). If your child is absent 2 days or more, you may request homework. If your student is absent only 1 day, homework may be picked up from their teachers the following day. You may also email absences to jennhitc@hpsvikings.org.

Telephones in the office are to be used for illness and emergencies only.
IMMUNIZATIONS
Please report all immunizations that your child has had so we are able to keep our school records up to date. All new students and all 6th graders must be completely up to date on all immunizations. Contact the HMS office if you have any questions.
MEDICATION
ALL medications needing to be dispensed to students must be supplied from home. The school does not provide any type of medication. All prescription medication must be provided in a pharmacy labeled bottle. Tylenol/Aspirin must be brought to the office in an unopened bottle. All students requiring any type of medication must have a medication form completed by their parents and on file in the office.
CHANGES in Phone Numbers, Home Address & E-Mail
Please inform the office any time there are changes in your address or phone numbers. We need to have this information so we can update our records and successfully contact you if needed.
