MINUTES FROM ANNUAL HOA MEETING
MINUTES OF THE MEETING OF THE 2017 HOA ANNUAL MEETING OF THE
COVINGTON PLACE HOMEOWNERS ASSOCIATON, INC.

The meeting of the Covington Place Homeowner Association, Inc. 2017 Annual Meeting was held on the 15th day of Feb. 2017.
. Present in person were Ed Winnicki, Perri Futo, Faye Brown-Stone, Chris Branan, Pat Showalter, Susie Keck and Brooke Woodall, constituting a quorum of the Board.
. Pat Showalter chaired the meeting and Faye Brown-Stone served as Secretary for the meeting.
There were 27 homeowners represented at the meeting.

The meeting was called to order by the chair.
· Welcome Guests – Pat Showalter
o Homeowners were asked to sign-in.
.
· Introduction of the current Board of Directors – Pat Showalter
.
· State of the HOA and Year in Review – Pat Showalter
.
o Playground improvements – replaced swings, repair and painting
o Diseased tree project – treatment of diseased trees and removal of dead trees
o Mailbox project – thank Bart Toole for doing all the leg work to put the project together and for overseeing the project with Chris Branan
o Conduct of Reserve Audit – results to be included in Ed’s current finances presentation
o Revisions to Community Wide Standards

· Modifications Committee – Review of guidelines, requirements and forms. – Perri Futo
o Approval required for lighting if installed less than 2 years ago
o Approval required for basketball goals if installed less than 2 years ago
.
· Social Committee. – Introduce Social Committee Members. Review the 2016 Social Committee events. Announce the 2017 Social Calendar. – Brooke Woodall

· Financials – A review of our current finances. – Ed Winnicki
o Everyone received a copy of the Income Statement and Balance sheet that Ed reported.

· Ashton Hills Golf Course. – Discuss the golf course’s amenities, and importance to the HOA. Brian Raines
a. Improvements to golf course
b. Golf rounds up 14%
c. Upcoming ‘Get Golf Ready’ program for beginners (ladies & children)
d. Facility need support of those who love to play golf and open to the public
e. Course is ranked #8
.
· Village Grille. – Discuss menu, services, and future events. – Brian Raines
a. Menu and bar to be scaled back
b. Add functions on Saturday night
c. Wine tasting on Feb 25, 2017 at 7:00pm to determine the house wine
d. Movies
e. Newsletter
f. Wi-fi available
g. Ashton Hills has a new insurance policy. It allows residents to drive their personal golf cart to and from their homes to the facility. The only requirement is that the golfers are respected during the golf play on the course.
h. Membership options
i. Will be put on CP Facebook page

· Sentry Management – Discuss Sentry Management’s Role in managing HOA. – Kelley Lyons
a. Financial side include payments, invoices, legal, insurance, etc.
b. Operations side include covenants, enforcements, ARB, etc.

· Open Discussion. –
1. Questions and comments from HOA members in attendance.
o House being built questioned and addressed
o Cable and utility box issue project will be taken by Duane Ford
o Recycling center will take large items
2. Homeowners were encouraged to attend meetings.

OVERNIGHT VISITORS & CAMPERS/RVs PARKED IN THE STREET or AT POOL PARKING LOT - VISITOR PARKING PASS REQUIRED - NO EXCEPTIONS
Leaving unmarked cars parked in the Pool Parking Lot during the day or overnight is not allowed. If vehicles do not have a Green Vehicle Sticker on them then they MUST have a Visitor Parking Pass on them to keep from being towed. NOTE: If you see a non-resident vehicle parked at the Pool Parking Lot during the day or night, please call the Covington Police to come and check it out.

If you need a Visitor Parking Pass Template, please sign in to HOA Butler and print it from Community Documents and Information.
GREEN VEHICLE STICKERS - IT'S ALL ABOUT NEIGHBORHOOD SAFETY!
If you do not have a Green Vehicle Sticker on each of your vehicles, please send an email to l_seabolt@hotmail.com providing your Name, Street Address, and the Number of Vehicles you have and they will be delivered to your mailbox.
If you would like a sticker for your golf cart too, please make that request as this is a great idea since many residents drive their golf carts to the pool.

Mailbox Repair/Replacement - For any repair work or replacement of your mailbox, contact Bart Toole at 678-525-7305 (Cell) or 770-788-0104 (home). He is the only approved mailbox repair person for Covington Place.
Clubhouse Rental - Kaye Plitt, the clubhouse is available to all residents to rent for private parties; no corporate events or non-resident parties allowed; $75 fee during Pool Season, $50 fee during remainder of year; Rules & Regulations available from Kaye; some restrictions on dates/times of availability; 404-606-8062, kayep1030@gmail.com
Green Vehicle Stickers - Send email to l_seabolt@hotmail.com and provide street address and number of vehicles; place them on the rear window of each vehicle; they are available for golf carts too and should be placed on the windshield

Collins Pool Services - 770-389-9999 - to report any problems with the pool during Pool Season (ex. chemicals, cleanliness, fecal matter, etc.)
Tennis Courts are accessed via the same Pool Card that opens the pool gate. The tennis courts are available for residents and their guests only. Guests must be accompanied by a resident at all times. Leagues or Teams are not allowed. Rules of etiquette were included in the HANDBOOK so please refer to them if you have any questions.

Street Light Outage - City of Covington, 770-385-2000, use Option '0' and speak to a Customer Service Agent to report the outage and have a repair ticket created.
FREE ADS FOR RESIDENTS WHO OWN A BUSINESS
Our HOA offers residents who own a business the opportunity to reach over 340+ resident email addresses via our Newsletter and our Facebook Page. Our average weekly reach is over 425 views.

Here's how it works:

For Residents who own a business:
- No charge to run an Ad
- A print-ready Ad in JPEG format is required
- We'll run it several times if requested
.
For Non-Residents to place an Ad:
- $25 to run 4 times
- A print-ready Ad in JPEG format is required
- Payable in cash or check payable to CPHOA. Payment sent c/o Susie Keck, 8110 Crestview Drive, Covington 30014

All Ad JPEGS must be emailed prior to any Saturday to tp81854@yahoo.com in order to be placed in the next issue of the Newsletter. Please make sure that your Ad is clear and legible before sending your JPEG.

Paid for Ads will be posted to our FB Page by someone on our Communications Team only. If an Ad appears on our FB Page that doesn't belong to a resident and hasn't been pre-paid for, it will be deleted.
