It is never to soon to start preparing for the county fair
Summer and the Hubbard County fair are coming! Now is the time to start thinking about what projects your child plans to explore. The fair is the time for your child to showcase what they have learned and worked on throughout the 4H year. Maybe your child found something they are truly passionate about. Sharing their passion with a judge and the community that attends the fair is a great life skill and can be very rewarding.
This newsletter will help answer any questions you may have regarding county fair participation and 4-H! If, after reading this you still have questions, please contact the Extension Office. We are here to help you and want to make this the best possible experience for you and your family. Our contact information can be found at the bottom of this newsletter.
Click on the fair entry website found below to register for the Hubbard County fair. This registration will open on May 15th. You MUST be entered into the Fair Entry by JUNE 14. A "How To' instructions on Fair entry is also available on our Hubbard County 4-H website.

County Fair Q & A
How do I enter projects into the fair?
All of the 4-H families will receive fair information during the beginning part of May. Included with this information will be information about our Fair Entry program. Fair Entry is the program that all 4H families must use to enter projects into the fair.
Why do we have Pre-Fair and what is it?
Pre-fair takes place a week or two before our county fair begins. There are too many projects to judge to have all the general project judging take place all in one day. All of our sewing projects, food projects, demonstrations, performing arts and animal interviews are held during pre-fair. Pre-fair also offers a much quieter time to judge demonstrations and performing arts.
All pre-fair projects (or pictures of projects that can't be displayed) will be left with the staff at pre-fair. The staff will take them and put them in the exhibit hall for displaying at the fair.
We also hold all animal interviews during pre-fair. Youth bringing animals to the fair are VERY busy during the actual days of the fair. Having interviews before the fair begins gives our youth time to focus on these interviews so that they can do the best job possible.
What is a premium and when do you get it?
For each project you pre-enter you earn a specific amount of money, depending on the ribbon placing. Premiums are paid by the Shell Prairie Ag Association (fair board). 4-H premium money will be handed out during the cleanup of the fair.
How about Cloverbud judging? (cloverbuds are youth just completing grades K-2)
- Cloverbuds may bring 2 livestock exhibits and/or up to 3 general project exhibits.
- · Cloverbud Demonstrations and performing arts will be judged on Tuesday, June 25 (please refer to the schedule for times).
- ·· All other General Project judging will be on Monday, July 15th.
- · Cloverbud livestock will be judged when that species of livestock is judged.
Cloverbuds and Exhibiting Animals
The Minnesota 4-H Youth Development Cloverbud policy creates a uniform set of rules for participation to maintain developmental appropriateness and safety for our youngest 4-H members. A rule related to Cloverbuds and animals has been updated.
When Cloverbuds and animals are together at a 4-H program, families may now choose one of two acceptable ways to guide and monitor involvement in non-mounted activities:
The responsible person is in control of the animal with the Cloverbud at their side.
The Cloverbud is in control of the animal with the responsible person at their side to assist or take control of the animal when needed or as directed by staff, volunteers, or show managers.
In the horse project, the second option does not apply to mounted activities. When a Cloverbud is mounted on a horse, the horse must always have a lead line and be under the control of the responsible person.
Cloverbud families may choose either option. Either way, Cloverbud exhibitions will continue to be non-competitive.
Who is eligible for a State Fair trip?
- 4-H members who have met the requirements of enrollment deadlines, appropriate animal ID deadlines, LQA&E training and fair registration deadlines and receive a blue ribbon, and are placed on the state fair line-up by the judge.
- 4-H members who have accepted the state fair trip by the required time (Friday of the fair by 5:00p.m.) and are within the quota allowed.
- 4-H members who have completed 6th grade, except for dog (completed 4th grade and in blue ribbon classes only)
- All 4-Her’s who have logged the required shooting and wildlife hours are eligible for the state shoot.
How do I win or take a State Fair Trip?
- When judging of a specific project area or animal show is completed the judge will make a state fair lineup sheet.
- There are predetermined quotas or number of youth who can go in any given project area.
- Youth are limited to one animal science and one general exhibit along with a demonstration and/or activity such as Share the Fun.
- The State Fair lineup will contain more names then the quota allows, accounting for youth who are too young, or choose to take a different opportunity, or don’t wish to go.
- The state fair lineup will be posted for ALL EXHIBITS on the information screen at the back of the general project exhibit hall
- All state fair line-ups must be ACCEPTED or DECLINED by 5:00 on Friday of the Fair.
It is the 4-H member’s responsibility to check that list if they are interested in a specific trip and to accept or decline that trip by 5:00 p.m. on Friday of the Fair. Please also decline any trip you are not taking at this time (this will allow other 4-Hers listed below you to accept a trip in that project area.
- Once you have accepted your trip and you are eligible in the quota system you may come to the 4-H office and pick up your state fair paperwork. The office can help you if you have questions about filling out the state fair paperwork or about the scholarships offered.
- All paperwork and payments must be turned in by the time of the State Fair Meetings. There will be a state fair meeting held at the Extension Office beginning on Monday, July 29th at 6:00 p.m. for general exhibits, livestock and horse state fair attendees. All paperwork and payments are due at the conclusion of this meeting.
Do I leave my animal or exhibit at the fair the whole time?
All animals except for dogs are to stay at the fair. Livestock check in is Tuesday of the fair from 8-2. Horse check in on Wednesday of the fair at 8:30. General projects come to the fair when the 4-Her comes to get them judged. All projects (animals and general) are to remain at the fair until 8:00 a.m. Sunday morning. Premium money may be picked up in the general hall between 9:00 and 10:30 a.m..
What do I do when I come to get my general project exhibits judged?
When you come to the fair with your general projects, come to the registration desk in the Warmbold Exhibit Hall (attached to the Extension Office building). You will then receive your exhibit cards. Take your exhibits to the appropriate judge and wait your turn to be conference judged. Follow the signs for the appropriate areas. If you have questions, please ask at the registration table. General project judging will take place on Monday, July 15th. Clubs will have assigned judging times. Please see the fair schedule in this newsletter for your clubs judging time.
What do I do when I come with my livestock?
Check in for all livestock takes place on Tuesday, July 16th at the livestock barn. All livestock must be at the fairgrounds and checked in by 2:00 on Tuesday, July 16th. You must check your animal in at the table before putting them in their pens. All animals coming to the county fair MUST be ID'd properly according to 4-H policy and MUST HAVE THEIR TAGS IN BEFORE ENTERING THE FAIR GROUDS. Failure to follow these rules will result in non eligibility of receiving Grand and Reserve Placing and No State Fair Trips can be awarded.
Poultry & rabbit check in takes place in the livestock building on Tuesday, July 16th. All poultry/rabbits must be checked in by 2:00 p.m. Poultry must have all paperwork uploaded into 4Honline or turned into the 4-H office. Poultry will receive the required leg bands when they check in.
Horses must be checked in by 8:30 a.m. Wednesday morning, July 17th at the check-in table in the horse barn. All horses must be ID'd on 4honline and have a copy of their negative coggins test.
What will the judge ask me?
The judge is excited to learn about your exhibit and wants to find out more about it. They will ask questions like:
- Tell me about your exhibit?
- What did you learn by doing this exhibit?
- What might you do differently?
- Did you share your exhibit with others?
- What didn’t work?
- What do you hope to improve upon next year?
They might also ask some basic questions like
- What did it cost?
- How do you take care of it
- Where did you get your information?

- Cloverbuds (4-Hers in grades K-2) may bring 2 animals that they may show at the fair.
- Cloverbuds need to enter the above information on their fair entry registration form so the 4-H Office knows how to prepare.
- If Cloverbuds bring their own animals, they must be ID’d. This is a county requirement not a state requirement. The reason behind this is to know how many pens we need for our livestock.
- Cloverbuds will receive a premium for showing an animal and will receive a participation ribbon.
- Cloverbuds may enter up to 3 exhibits during general 4-H project judging. Please check the pre-fair judging schedule to see which projects are judged during pre-fair.
- Cloverbuds should participate in pre-fair judging for demonstrations, performing arts and animal interviews. All other cloverbud judging will take place during general project judging.
- Cloverbud judging is a learning experience, not a competing experience.
- Cloverbuds may choose one of the following exhibit options:
- Option 1: 1 or 2 Animal Exhibits and 1,2 or 3 General Exhibits
- Option 2: 1,2 or 3 general exhibits and no animal exhibits.
- Option 3: 1 or 2 animal exhibits and no general exhibits.
- Cloverbuds cannot show dogs at our county dog show.
- PRE-FAIR JUDGING EXHIBITS count as a general exhibit.
- Cloverbud animals MUST meet the same animal health requirements as animals of the same species shown in 4-H shows.

Pre-Fair Judging - Judging Takes Place Tuesday, June 25th
Purchased Clothing, Constructed Clothing, Upcycled Clothing, Sewn Non-Garment, Quilts, and Fashion Revue
Tuesday, June 25 (Faithbridge Church)
All 4-Her’s enrolled in Purchased Clothing, Constructed Clothing, Sewn Non-garment, Quilting and Fashion Revue should plan on having their project evaluated by 4-H judges during pre-fair judging. This will take place at Faithbridge Church in Park Rapids. See fair schedule for times.
Cloverbud judging will take place on July 15th during regular static project judging, NOT at Pre-fair.
Food Revue, Food & Nutrition & Food Preservation
Tuesday, June 27 (Faithbridge Church) See fair schedule for times
Food revue, food & nutrition and food preservation and cake decorating will be judged during pre-fair. Judging will take place at Faithbridge Church in Park Rapids. Participants will need to have their food ready upon arrival. You will not have kitchen space available at the church. You WILL NOT leave perishable food to be displayed at the fair. If using perishable food for food & nutrition, please provide a 4x6 photo of the food. This will be used to display at the fair. All food revue projects must have their food ready upon arrival also. No kitchen is available for prepping food.
Cloverbud judging will take place on July 15 during static regular static project judging.
Demonstrations/Performing Arts
Demonstrations take place on Tuesday, June 25
Performing Arts takes place on Tuesday, June 25th immediately following demonstrations. See the fair schedule for times.
Judging of demonstrations and performing arts will take place at Faithbridge Church in Park Rapids. Again, there will not be a kitchen area to prep food items for demonstrations. We will have some microphones available for the 4-Hers to use. We are also encouraging our 4-Hers to use computerized software for their visuals rather than tag board posters. This is more in line with the expectations at the state fair. A laptop and projector and screen will be available. The 4-Hers must bring their presentations on a jump drive. Cloverbuds will be judged at pre-fair.
There will be some microphones and a piano available for the performing arts youth. Cloverbuds will be judged during pre-fair.
REMEMBER:
Participants in Performing Arts may have ONE
individual entry and/or ONE group entry.
Demonstration projects may present ONE
individual demo and ONE team demo.
Livestock, Dog and Horse Interviews - PART OF PRE-FAIR
Livestock, Dog and Horse interviews take place at pre-fair on Tuesday, June 25 at 10:00
Premiums will be given for this class.
***Horse interviews will be awarded points that will go towards a state trip.***
***Livestock interviews will have the points earned count for the Round Robin Showmanship Competition. ***
Youth may only participate in two animal interviews. You may choose which two species you would like to interview for. Sign up for animal interviews on fair entry.
General Project Judging
The schedule for general project judging will be as follows:
9:30-11:00 - Stony Lake Beavers, Laporte Comets and Independent members
11:00-12:30 - Green Valley Livewires and Targets and Trails
1:00 - 3:00 - Hubbard Prairie Dogs, 4H Riders and anyone who could not make their scheduled judging time.
4-H Parade of Champions and Awards Ceremony
All 4-H youth who receive a champion or reserve champion placing in any project, are invited to participate in the Parade of Champions on Saturday, July 20th at 4:20 p.m. Youth may choose one project to carry/lead through the parade, but may carry ALL of the Purple and Pink ribbons they have received. The lineup for this will take place between the poultry building and the livestock barn at 4:00. At approximately 4:45 p.m., we will have the awards ceremony. Special awards are handed out to top 4-H exhibitors and others.
Following the awards ceremony everyone is invited to our 4-H ICE CREAM SOCIAL. This will take place in the grassy area north of the poultry barn.

Wednesday, July 17th - 8:30 - all horses must be checked in. There will be a check in table in the horse barn. Please bring a copy of your negative coggins.
July 18th, Thursday -8:30 Horse show will begin.
Dog Project Participants
All dog project members who are participating in the county dog show MUST register for their classes through FairEntry. Please check with your trainer so you know what classes to register for.
Fair entry needs to be completed by Friday, June 14th.
County 4-H Dog Show - Is NOT held during the county fair. This year's dog show will take place on Saturday, August 3rd.
State Dog Show - for those in 4th grade and up and eligible to participate in the state dog show, please put these dates on your calendar. September 21-22
2024 Hubbard County 4-H Livestock Blue Ribbon Auction
10:00 a.m. Saturday, July 20th
Who may Participate in the Auction?
Any 4-H’er with a Market animal in grades 3 - one year post high school
Since a leased animal cannot be a market animal, no leased animals are allowed to participate in the Blue Ribbon Auction.
Prospect calves are NOT eligible for the auction.
The 4-H market animal must have received a blue ribbon or higher at the Hubbard County Fair
Auction slips are due by 3:00 pm Friday afternoon. (Just before the Round Robin Showmanship competition.) There will be a box on the ribbon tables for these slips to be turned in to.
Auction letters inviting businesses/individuals to participate in the auction will be mailed from the office.
All youth who plan on participating in the auction MUST meet at the Extension Office at 6:00 p.m. on Wednesday, June 19th. Groups may be formed at this time and these groups will go deliver reminders to the businesses and personally invite them to attend the auction. Youth do not need to go out as a group to talk to businesses, but may join a group if this is more comfortable. Business' that each youth or group of youth are assigned must get a face to face reminder from the youth no later than June 30, 2024.
Auction Schedule
9:00 – rolls/coffee for bidder
9:00 – all youth in the auction must be at their pens to answer questions. Animals should be show ready and youth should be in show attire.
10:00- Auction begins

Livestock arena
Proceeds from the auction goes to 4-H families and Hubbard County 4-H! The counties proceeds are used to fund youth development programs.
Livestock Round Robin Showmanship - It's a BIG DEAL!
The Overall Showmanship Award has been awarded to the top Hubbard County Showman since 1988. The contest is done in a round-robin format.
Individuals who have won showmanship at the senior level (or intermediate if there are no senior level showman) in their species compete to win the title of Overall Show person after all livestock species have been shown.
To compete, the individual brings an animal of their species to a judge who is waiting in the show ring. There is a judge at each of the livestock species who will ask questions of the individuals competing for Overall Show person. When the clock starts, the individual rotates clockwise to the next species and the judges begin asking questions. There is also time for the competitor to show off their showmanship skills for each species. Livestock interview points will also count towards the over all points earned. Whoever scores the most points in all species wins the title of OVERALL SHOWPERSON.

The Round Robin Showmanship competition will take
place at 4:00 on Friday, July 19th.

State Fair Chaperones
If you love the state fair atmosphere or would just like to take in the experience that the 4-Her's have, here is your chance. Please consider helping out by volunteering to chaperone. We need screened volunteers to chaperone for State Fair general encampment and livestock encampment. If you would like to volunteer and help chaperone, please contact the Extension office. This is a fabulous time to get to know youth from our county and enjoy the MN State Fair. We pay for lodging and gas for our chaperones. (We do not pay for meals). Chaperones are selected on a first come basis. If you are not currently a screened volunteer, it is not too late to become one so that you can be a chaperone.
State Fair Paperwork
State Fair paperwork is available in the Extension Office throughout the county fair. We will post office hours on the door.
Paper work is DUE, with payment, by Monday, July 29th. All those participating in State Fair Livestock, General Encampment or Horse state events must have paperwork with payment in by this date.
We will have a state fair meeting on Monday, July 29th at 6:00 p.m. at the Extension Office for everyone bringing a static project, livestock or horse. This way we can talk about transportation, chaperones, hauling livestock etc.
All paperwork and payment are due at the end of this meeting.
The office will be open from 8:00-3:00 p.m. and reopen for the state fair meeting at 5:45 p.m. on Monday, July 29th. Staff will be available to help answer questions or to help fill out paperwork.

LQA training
This certification is required for livestock encampment at the State Fair and for the NE Livestock show for all youth 6th grade and older showing livestock.
If you wish to participate in the livestock encampment at the State Fair or the NE Livestock show, your Livestock Quality Assurance and Ethics training needs to be current, by July 5th, which is before our county fair begins. Members who are not current received an email from the office. You may check your status in your mn.4honline.com account. Hubbard County will be hosting an LQA training on Thursday, 6th. We encourage youth to register for our training on 4Honline. Youth who cannot attend this training will to find a local county that will be hosting one.
If you can’t attend a live training, you may take LQA&E on-line. This is only good for one year. Information can be found at https://extension.umn.edu/4-h-events/4-h-livestock-quality-assurance-training-lqa

Sign up to work at the Fries For 4-H Booth. Families will receive a sign-up genius email so that they can sign up to help. This fundraiser is VERY important, and we MUST fill all the timeslots for workers. You are strongly encouraged to sign up to help.

- 5:00 p.m. - ACCEPT OR DECLINE ALL STATE FAIR TRIPS. THIS IS FOUND ON THE INFORMATION SCREEN AT THE NORTH END OF THE GENERAL PROJECT EXHIBIT HALL. This is a FIRM DEANLINE.
July 20 (Saturday)
- 4-H Swag Day - Get out your 4-H SWAG and let everyone know that you are a 4-Her.
- 9:00 a.m. - Rolls/coffee for the livestock auction bidders. 4-Hers participating in the auction must be at their pens, show ready, available to meet and greet our auction bidders.
- 10:00 a.m. - Blue Ribbon Livestock Auction begins
- 1:00-3:00 p.m. - Office is open to pick up state fair paperwork
- 3:00 p.m. - Club pictures will be taken. We ask that ALL club members and volunteers meet in the bleachers of the livestock building for club pictures.
- 4:00 p.m. - Parade of Champions Line-up. Line up in the driveway east of the livestock barn.
- 4:20 p.m. - Parade of Champions
- 4:30ish - Award ceremony following the Parade of Champions (in the livestock building)
- 5:00 p.m. - All 4-H families are invited to an ice cream social following the awards program. This will take place in the green space north of the poultry building.
July 21 (Sunday)
- 8:00-11:00 a.m. - Livestock, Poultry and Horse barn clean up - all animals are release do leave the fair grounds
- 9:00-10:30 a.m. - General projects are released and Premium money is available for pick up in the general project hall. State fair paperwork is available
- 10:00-11:00 a.m. - General Hall Clean-up. Families are need to assist with this.
July 29 (Monday)
- 6:00 p.m. - State fair meetings for ALL state fair participants taking projects in general, livestock and horse. Paperwork and payment are due at the conclusion of this meeting. We will be discussing chaperones, transportation etc. at this meeting. Contact the office if you CANNOT attend this meeting and are planning on participating at the state level. Your paperwork and payment is still due by this day.
