An Important Message from Loudoun County Public Schools about School Security
Loudoun County Public Schools (LCPS) is committed to school campus security and the safety of our students and staff. The following information is provided a reminder of efforts being taken to maintain our commitment to campus safety and security. District leaders, in partnership with school-based administrators and local law enforcement, are continually reviewing security protocols, systems and infrastructure.
Rest assured that we will continue to encourage and support families visiting and participating in your student’s educational experience. Our hope is that minor changes that may appear to be an inconvenience may be seen as proactive protections for the benefit of your children. This message focuses on two specific programs that may involve a different experience when visiting schools. Visitor Management Protocol and the planned capital improvements to the entrances to our buildings commonly referred to as Secure Vestibules.
Visitor Management Protocol: We are reminding all visitors, staff and students that admittance to our schools during the school day requires verification of authorization and a planned purpose for visiting. Expectations for visitors include the following:
- Have government issued photo ID ready and present when requested;
- Engage in two-way communication via the visitor management intercom system (AiPhone) located at the main entrance to all schools;
- State your name and your reason for visiting
- Requests to meet with particular staff must be preceded with an appointment;
- When the door is unlocked remotely by school staff, enter the facility as directed to the main office;
- Do not hold the door open or allow anyone else to enter – all visitors must check in individually; and
- Sign in at the greeter’s table or at the main office.
Note: School staff is authorized to deny entry to anyone that does not satisfy these requirements. Please be reminded that staff members tasked with granting access to visitors play a role in protecting your children, so we ask for your patience and understanding as we strive to provide the safest environment possible.
Secure Vestibules: Loudoun County Public Schools is continuing a three-year secure vestibules project as part of our Capital Improvements Program.
Over the past several years, LCPS facilities have been constructed with security improvements that have evolved over time to incorporate advancing features and technology. As would be expected, not all schools are constructed the same, therefore, the scope of each project will differ in terms of physical and technological improvements. The project will be very limited at some schools, but very extensive at others. School Security Vestibule Improvements will ensure that all schools have similar secure entry configurations that require all visitors to check in with administrative office staff prior to traveling to any other part of the building. For safety and security reasons, the specific details or the schedule of implementation of each project will NOT be publicly distributed.
LCPS Construction Services will be constructing Secure Vestibule and Visitor Management Improvements to implement these changes to Visitor Management procedures at Frances Hazel Reid during the period of February 2020 through May 2020. These projects are designed to improve student and staff safety at your school campuses.
During this construction period, Arrival and Dismissal at FHR will continue as currently operating.
During school hours:
The Staff and Visitors entrance will be temporarily relocated to the second front entrance of the school.
- Directional signage will be provided on the exterior of the building.
- Security staff will be at the temporary Visitors Entrance, to screen and process visitors.
- Please keep in mind that with the visitor management protocol will still be enforced.
- School Office Staff will be temporarily relocated to the second front entrance of the school.
- Security Staff will grant visitors access, one by one, to be checked in by School Staff in their temporary facilities.
We thank you for your patience and cooperation as we implement additional measures in the school to enhance the safety of the students and staff.
