Security Corner
Cybersecurity – Personal Identifiable Information (PII)
We all use PII to identify ourselves. PII includes information like a driver's license number, an address, or a birthdate. Social Security numbers and biometric records such as fingerprints are also examples of PII. PII includes any information that can be used to distinguish or trace your identity – either alone or when combined with other information that is unique to you. Personal Health Information (PHI) is a subset of PII that includes medical data.
It is extremely important that we not only protect our information, but the PII of our customers. Therefore, Malama requires employees to follow all government policies and procedures as it applies to PII and Personal Health Information (PHI). When sending documentation to Malama that includes PII and/or PHI, employees must use the SendSafely link that we provide. This uses encryption methods to safeguard the data in transit.
SendSafely Secure URL: (https://www.sendsafely.com/u/cochrand@malamallc.com)
We must assist our government clients in safeguarding PII and PHI by limiting access to it. Only those individuals with a "need to know" – that is, individuals with official authorized access to the information – may access and use a record or system of records containing PII. Additionally, PII and/or PHI must remain on the government furnished equipment (desktop, laptop, etc.) and housed in the appropriate drives (E drive, Government Cloud, etc.) on the Government network.
COVID-19 AND YOU
Your safety is our priority. Malama stays updated with policies and guidelines from the Centers for Disease Control and Prevention. Let’s all continue to do what we can to stop the spread of the virus and protect ourselves, co-workers, and our nation’s military to ensure optimal readiness and mission success.

Improving Ventilation and Spending Time Outdoors
Improving ventilation (moving air into, out of, or within a room) and filtration (trapping particles on a filter to remove them from the air) can help prevent virus particles from accumulating in indoor air. Improving ventilation and filtration can help protect you from getting infected with and spreading the virus that causes COVID-19. Spending time outside when possible instead of inside can also help: Viral particles spread between people more readily indoors than outdoors. Actions that can improve ventilation and filtration include:
- Bringing in as much outdoor air as possible—for example, opening windows.
- Increasing air filtration in your heating, ventilation, and air conditioning (HVAC) system, such as by changing filters frequently and using filters that are properly fitted and provide higher filtration.
- Using portable high-efficiency particulate air (HEPA) cleaners.
- Turning on exhaust fans and using other fans to improve air flow.
- Turning your thermostat to the “ON” position instead of “AUTO” to ensure your HVAC system provides continuous airflow and filtration.
CDC’s interactive ventilation tools can help you see how much you can improve ventilation in your home or school.
