Auction Team Update (week 6)
New Auction Set Up
Auction Week will kick off November 7-12. Monday, Auction week will kick off with the opening of the online auction site. The online site is set up like ebay. All bids will close on Thursday of Auction week. In order to bid, auction patrons must register and enter a credit card number. Auction item winners from the online site will need to pick up their items from the school (timing tbd - likely Friday as there is no school)
All auction items will be included on the online site. However, only those that are part of Auction Week will be open for bidding. Those items part of the Finale Event (the best of the baskets, classroom baskets, and live auction items) will be on the site for details but a statement will note that these items will be at the Finale Event only to encourage the audience to attend the Finale Event.
The Finale Event will be held on Saturday at the Hyatt Place off of 87th and Renner. This is an adult only "mix and mingle" ticketed event. The ticket includes food, adult beverages and an evening of fun with other Mill Creek parents.
The Finale Event will also have a wine toss/pull. For a small fee, attendees can try to win a bottle of wine or other hard liquor. We also have the fun envelope game. Attendees pay $10 for an envelope. At the end of the night everyone with an envelope opens. All but one are full of gift cards worth $10 from local companies. One envelope contains the golden ticket for a big prize.
The online site will remain active during the Finale Event for back end services only. Attendees will need to have an account when they check in, or one will be created for them with a credit card on file. Bidders will still bid using the paper forms (not online at the Finale Event) Once Finale Event tables close, volunteer will enter the winning bidders and the amount into the online system. Same for live auction items. At the end of the night, the online system will close the auction and all payments will process through the system.There will be no calculating and swiping onsite. Reports will be automatically generated by the online site.
Donations
Think outside the box to come up with donations:
- Are you a frequent patron of a local restaurant, hair salon, retail store?
- Do your kids take part in gymnastics, dance, sports, karate?
- Do you have season tickets for cultural or sporting events, club memberships?
- Do you have a vacation properties to offer as a donation?
- Does your workplace provide a service or product that may be a good fit?
- Would you be willing to host a party with others? Do you know a good contact at a company (family member, friend, neighbor)
I also need your help to track the donation process. This tracking helps to ensure that companies are not contacted multiple times, majority of companies are contacted and builds our database for thank you and donation solicitation next year.
