Hello sisters,
April will be here before we know it, so I have decided to send out an additional newsletter this month. It is almost time for a new biennium to begin for Arkansas Alpha Delta Kappa. My leadership is coming to an end and a new slate of officers will begin theirs on May 30th. Congratulations to the new 2020-2022 officers and committee chairs.
I can’t believe that it has been almost two years since my initiation as your state president. I have enjoyed getting to know many of my sisters and visiting chapters in the state. I look forward to seeing many of you at the state convention, May 30th at Immanuel Baptist Church in Little Rock. I recently completed the program for the conference and am adjusting the time of the convention from ending at one o’clock to three o’clock, there is business that needs to be address that I was not aware of initially. Beginning at three o’clock an executive board meeting will be held for outgoing and incoming officers and committee chairs, please plan to attend.
Updated information:
The AR leadership team just received an email from International Headquarters. The CDC posted a new announcement recommending that no gatherings with 50 people or more take place for the next eight weeks, in an effort to slow the spread of the Coronavirus (cdc.gov). The eight week moratorium puts us into mid-May. That being the case, the Arkansas State Convention will be held on May 30. This puts our date at the end of that time frame. This morning, Patty Snipes contacted Immanuel Baptist Church for the event space, their staff agreed to hold the space for May 29th and 30th. So, this is our plan: Board meeting the evening of May 29 and the Arkansas State Convention May 30th.
I know there is much apprehension about the virus within the United States. All organizations I am a member of are cancelling their meetings and their upcoming special events. Please take care and know you are in my thoughts and prayers.

- Select a member who meets the criteria for the Violet Award (look for details and form in the newsletter) I still have not received any.
- Please encourage all sisters to attend the State Convention April 4th in Little Rock. Each chapter will need to bring one item costing approximately 20 dollars for the silent auction (example it could be to a gift card to Sonic or an item).
- Review the proposed amendments changes to the by-laws with your members, we will vote on them at the state convention.
- Share the state newsletter with all your members.

ATTENTION HISTORIANS by Patty Snipes, State Historian
As Historians I hope you’ve been taking lots of pictures of your chapter. I am working on the archives for our State President, Chanetta Case. She would like to have a page or two representing your chapter. I have given you a sample of a design. I used PowerPoint which would be fine for you to use unless you have another program you are comfortable with.
Be sure to include: list of officers, picture of your group, picture of your officers, pictures of some of your meetings or pictures of doing Altruistic projects.
3 options to send them:
- If you are not comfortable with PowerPoint or using a computer and would rather create a page on scrapbook paper you can mail it to me. 8 ½ x 11.

Membership Campaign Ends - In order for Alpha Delta Kappa to remain a vibrant organization, the challenge is to initiate new members or reinstate former members.
July 24-27, 2020 South Central Regional Conference, Hyatt Regency Wichita in Wichita, Kansas. Go the SCR Website on the Alpha Delta Kappa Website and you can book your room now! Cindy White, South Central Region International Vice-president wants to remind all chapters in Arkansas to send $20 dollars or more to the South Central Region Altruistic project. Contribution should be sent to Chanetta Case, SCR Treasurer at 45 Linda Circle, Greenbrier AR.
July 8-11, 2021 International Convention in Austin, Texas
Arkansas Violet Award
The Arkansas Violet Award will be awarded at the 2020 State Convention. It is an award for an individual in our state that is an exceptional member.
Here is the criteria for a member to be considered for this award.
1) Has been a member for a minimum of two years
2) Has served or is currently serving in a leadership position on the chapter level
3) Has sponsored a new member in the past biennium
4) Attended at least 85% of chapter meetings in the past biennium
5) Involved in the chapter and participates in altruistic and service projects
The winner will be chosen by a committee in March preceding the state convention each biennium. The winner will be awarded a $100 gift card and their Regional Conference registration for the following summer will be paid. If the winner chooses not to attend the Regional Conference, money equal to the registration fee, will be donated in honor of that person to the present state altruistic project.

Proposed Amendments to the 2020 Arkansas Alpha Delta Kappa Bylaws

Proposed Amendments
#1- Change the name in Articles I – XXI and in the footer of each bylaws page to delete The and Sorority when referring to Alpha Delta Kappa, Incorporated.
Rationale: This required change will bring the document in compliance with the amendment adopted at the 2019 International Convention.
Proposed amendments #2, #3, and #4 are offered as solutions to persistent problems that occur at the S/P/N (State, Provence or National) level.
#2- Addition to Article VII-Officers, Section 1 a. New (1)
- The elected candidate qualifications committee shall present to the convention a slate of candidates whose eligibility requirements have been met.
(1) In the event an eligible candidate cannot attend the convention at which she is nominated to be elected and installed, the delegates will vote to accept the candidate for election by a two-thirds (2/3) vote. If elected, the absent officer will have her name read in the Officer Installation Ceremony.
Rationale: Sometimes a candidate is unable to attend the convention for legitimate reasons (for example, a family event conflict, illness, preplanned travel, etc.) and yet she is still eligible for nomination as an officer. This would allow the candidate to be on the election ballot while in absence at the convention. This proposed amendment provides a solution rather than the alternative of suspending the bylaws.
#3-Addition in Article VII-Officers, Section 1 New b. (1) & (2)
- In the event the candidate qualifications committee presents an incomplete slate of candidates, a candidate, without eligibility, willing to be nominated for a vacant office may be accepted by the following process:
(1) The delegates will vote, by ballot, to accept the nomination of the candidate by a two-thirds (2/3) vote. If adopted, The name of the candidate shall be added to the slate of candidates.
(2) Previous notice shall be provided
Rationale: Some S/P/Ns have difficulty finding candidates eligible to fill a slate of officers. This amendment will provide the opportunity for a willing candidate, without all the eligibility requirements, to provide leadership service. Although only nomination of eligible candidates is strongly encouraged, this proposed amendment offers a solution, without suspension of bylaws, when eligible candidates are not willing to be nominated for a vacant office. Other officers or experienced members may mentor this novice officer.
#4-Addition to Article VII, Section 1. Election New e.
e. If the slate of candidates has only one person nominated for each office, the state president declares the election effective by unanimous consent or acclamation.
Rationale: While Robert’s Rules of Order Newly Revised suggests elections by ballot generally appropriate, S/P/Ns sometimes only have one candidate per office. This will save time and paper resources at convention. This proposed amendment prevents the alternative of suspending the bylaws.
