General Guidelines
The RHS Media Tech Center is thrilled to offer this great opportunity for the staff to request color posters for long-term usage! Brief introductory period will allow for a few "free" color posters. Woo Hoo!
Please note: First, we want to give a "Big RHS Thank You" to Dr. Shaw for approving this Canon Color Poster Maker! This updated equipment has been needed for several years as I saw it featured at the Georgia Educational Technology Conference in the past several years and kept hoping we would be able to purchase the CPM. Also, another "Big RHS Thank You" goes to Mr. Roger Jones and his colleague, Mr. Ken Wilson, as it has taken multiple efforts to download the drivers and software for the CPM for several days as they were also super-busy by setting up equipment for testing as well as our Spring "Vacation." In addition, a third "Big RHS Thank You" goes to Mr. Michael Moon as he loaned me some recent posters with photos to use as "experimental" posters with the CPM. We believe you will be pleased with the results. The posters are photographs and not just clip art photos; however, you may use posters with clip art and other designs. Thanks to the four of you!
The new Color Poster Maker / CPM will have several guidelines you need to know with some restrictions. We have contacted other Media Tech Centers to see what works best to be certain we are good stewards of the equipment. Please note the following guidelines listed below.
1. The posters will be for long-term usage. This may include some posters for classrooms as well as posters that teachers and staff may want framed in their classrooms.
2. We will continue to use the black and white poster maker for short-term use, especially for signs in the hallways, schedules, advisement listings, announcements, testing schedules and other uses.
3. We have checked with other Media Tech Centers regarding the cost for each poster which will be determined by the size of the poster and the number of posters ordered. At first, we want to offer posters without charging any fees to begin this introductory service for our staff. However, we plan to begin charging fees per poster after the introduction and have not established a definite date. If numerous posters are requested, this will help us pay for the ink cartridges and the rolls of coated poster paper.
4. The CPM requires five (Yes, five!) ink cartridges. The regular sizes cost $70 for each of the five cartridges and the high-volume ink cartridges cost $139 per ink cartridge. Also, the rolls of coated poster paper cost $42 each.
5. We should be able to print at least 25 color posters per roll for the large sizes. Right now, we plan to have the large size, the medium size (22" X 17" which is half of the large size) and the small size (8 1/2 " X 11" which is the size of standard copy paper and the preview size). We will have some "demo" color posters available for the staff to check the sizes that will be available. We recommend the medium and small sizes as they will adhere to the concrete walls better than the weight of the largest color poster. If you plan to frame the color poster, please consider the poster size that will work best for you.
6. In addition, we want to offer to laminate the color posters for the staff if you prefer. The poster paper has a width of 24 inches and our hot laminator is 25 inches wide. We have laminated some of the "demo" color posters and this works very well. If you prefer to frame your color posters, you will need to provide your own poster frames.
7. Per FCS guidelines and checking with other schools, we need to adhere to the guidelines for copyright as some posters with copyright restrictions are not allowed to be reproduced. If you have any questions about copyright regarding a poster that you want printed, it is much better to check with us first before the poster is printed. So, please check first if you do have questions as we will also abide by the new RHS branding policies.

8. Please know that there will be only two of us who will be completing the color posters for you. As the posters will need to be checked first, please send the poster copy as an e-mail attachment to Ms. Swearingen for review. The poster requests need to be verified before we print them. After checking the poster for any copyright restrictions or additional questions, then Ms. Phillips or I will print the poster for you. Please let us know if you want the poster to be laminated. Also, if a person requests several copies, Ms. Swearingen needs to check each request to decide if a fee will be charged. Most schools have a fee from $2 to $5 or more for multiple posters after the introductory period.

9. It is very important that we keep accurate and thorough records of all color posters that are printed as well as any money that is collected for color posters. Plus, we need to keep a record of the number and size of the posters that are printed.

10. As it does take longer to set up and print the color posters, please send your request in plenty of time as it may be a day or more before we can complete as we supervise and assist 300 - 500 students and staff almost every day. I can assure you that we will do OUR BEST!

Please remember that we do not want anyone else to try to access the CPM as there are specific drivers and software that must be used with the equipment and it was challenging to get the drivers and software loaded on a specific computer. This is the same procedure that other Media Tech Centers use to ensure the expensive equipment is utilized carefully.

Please do not attempt to use the expensive equipment as there are specific guidelines to be followed in order to maximize the usage and not "destroy" the equipment. We definitely want the CPM to last many years so it will benefit the students, teachers, administrators and each staff person.
