Requesting a Read Receipt for Emails
Some staff have asked for this confirmation of receipt. Administratively, this would be most appropriate for special education team members to use should they have to document receipt of documentation.
It has to be done through the actual Outlook program itself.
However, you can always request a read receipt in the online app: https://techhelp.mcla.edu/index.php/Read_Receipts_in_Outlook_Web_App

MSDE Survey
A Message from MSDE- Comprehensive Literacy Grant Survey:
The link below is a survey to act as a needs assessment for the Comprehensive Literacy State Development Grant for which MSDE is applying from US Ed. This grant is the next generation of the Striving Readers Grant. The needs assessment is a requirement of the grant application. Below is a link to the survey/needs assessment. MSDE asked that we please forward it to schools and ask that it be forwarded to all school-based staff. Central staff will complete this as well. In order to give us a comprehensive picture of needs across the state, it is important to get as much information as possible from all stakeholders. In addition, this information will help us to determine focus areas for the new grant. The survey is short and all multiple choice. It shouldn't take more than 5 minutes to complete.

Leave During DL
In the event you’ll need to use leave, an electronic leave form will need to be completed. Directions on how to sign it and the form itself are linked here as well as on our portal under the forms tab. When submitting your form, please be sure to put leave form in the subject line. This way it will go directly into a folder Renee has created specifically for these forms. Once you’ve submitted the form, please send Renee an email letting her know you’ve done so. An electronic timesheet is also linked here and placed on the portal in case someone may need it. All benefitted employees that normally use Frontline should enter their leave in Frontline during the school shutdown. This will be teachers, SEIA’s and IA’s. Non-benefitted employees will not enter absences during this time period.
Administrative Office Hours
Administrative Office Hours Meet Link 12:00-1:00; Mondays & Fridays
4th Quarter Grades
***Please note that the Leadership Team determined last Friday that regardless if a student completes work exceptionally or just completes it where improvement was needed, either state of completion indicate a passing grade. ***
Below went out in the Parent Newsletter:
Students in Grades 2-5:
All students are expected to participate in Continuity of Learning by completing the assignments teachers provide and following the course guidance.
Students who participate in the FCPS Continuity of Learning plan will receive a term 4 grade of Pass (P) for each class, while students who do not participate or are unable to access classwork will receive an Incomplete (ICOL).
Pass indicates that there is evidence that the student has met the learning expectations during COL.
Incomplete indicates that there is not enough evidence that the student has met the learning expectations during COL. If a student earns an Incomplete in term 4, school staff will evaluate the need for providing additional learning opportunities in subsequent semesters.
Students in Grades PK-1:
All students are expected to participate in Continuity of Learning by completing the assignments teachers provide and following the course guidance.
Students will continue to earn the grades of Exceeds Expectations (EE), Meets Expectations (ME), Approaches Expectations (AE), Developing Expectations (DE), or Not Evaluated (NE) for term 4.
**FCPS will not provide personal and social development ratings during Continuity of Learning at the elementary level.
Parents/students can request that a child receive a traditional letter grade no later than 5 days prior to the last day of school. We request that if you are requesting this in grades 2-5 that you e-mail the classroom teacher and Ms. Coley as soon as possible.
Lollipop Moments
Has someone really helped you out this past month? Does someone need a little pick me up? Add to the SRES Lollipop Moments board and spread some positivity about one of our SRES staff members! Send a thank you! Send a shout out! Let's spread some cheer from afar this weekend!
Marking Attendance
Fill a box with yellow color and no X if there is no activity noted.
New addition based on Leadership Team discussion:
Some concerns have been noted with regard to students logging in with no work completion. To flag this for action, please fill a box with red color if a student is not completing work fully and/or on a regular basis.
If students logged in but did not complete work there would be a red box with an X in it.
If a student completes the missing work during the week, the red box can be removed.
Red Boxes alert us to students who are not completing work.

These times can be used for you to reach out with questions or concerns for Mrs. Trombatore, Mr. Moore, or Mrs. McGarvey.
Daily Virtual Office Hours:
Mrs. Trombatore, school counselor: 10:00 am-11:00 am
Mr. Moore, school support teacher: 11:00 am-12:00 pm

Please feel free to call Mrs. McGarvey at the number indicated above during her office hours to reach her. You can sign-up in advance with the confidential form below and Mrs. Trombatore or Mr. Moore will be in contact with you during your given time slot.
SRES Counseling Department Sign-Up
We are willing to do either a phone conference or a video conference. FCPS does require parental consent to speak with students either via live-video or telephone. Please see the attached letter from FCPS to understand that in more detail. You can easily send consent through this google form or email Jessica Trombatore, the school counselor, with your consent.
Google Voice Guidance
If you have to make parent phone calls, one tool you can use is Google Voice! You MUST use a personal gmail account. You cannot use an FCPS Google Account. Click the link for directions!
Uploading Assignments to Schoology
When adding an assignment to Schoology, please be sure to upload the document straight from the Google Drive folder if you want each student to receive his/her own copy. You do not want to do assignments through the Resources tab because each student will not receive their own copy. A step by step guide is linked here!

Read Aloud Guidance
Due to most states closing schools and moving to online learning, many publishers have changed their policies about book read-alouds! To keep within copyright, please make sure that you are following these guidelines. If you need help figuring out the publisher or have further questions, please let Tatiana know! It's really important that we continue to follow proper copyright laws.
Additional guidance from Media Services:
An Update From Media Services-Mary Jo:
Here’s updated information about copyright, fair use and read alouds that was presented nationally and summarized by and for our staff. The Slide Deck and Hot Sheet are from the same webinar. Please share with staff who want to read aloud picture books, chapter books, poetry, etc.
BrainPop: Schools that would like to use BrainPop may now do so. Please check the updated Teacher Requirements on the FCPS Digital Tools list for the instructions.
Google Read Write Extension with EquateIO
Google Read Write Extension:
Beginning April 1, Google Read Write Extension (with EquatIO) will be available for all school-based staff and students. While this Google extension will be readily available for school-based staff and students on the Chrome menu bar when they log in with their FCPS credentials, central office staff can download these extensions to have access to them.
What are these?
Read Write Extension
Read/Write Extension supports students with distance learning in reading and writing. Using the extension, students can:
- Listen to any document and/or web pages being read aloud to improve reading comprehension
- Understand unfamiliar words with text and picture dictionaries
- Complete writing activities using word prediction with speech to text tools
- Utilize highlighting features to assist with studying
- Promote independence in completing distance learning activities assigned by teachers
EquatIO Extension
EquatIO can help students become independent with distance learning in mathematics and science.
- Input via keyboard, handwriting recognition (via touchscreen or touchpad) and voice dictation
- Guesses what you’re typing or writing - like predictive text on your smartphone
- Hear your math expressions read out loud
- Create interactive digital math quizzes and input student responses directly into digital quizzes
- Chemistry formula prediction
For additional information on these tools, staff and students can go to this link: https://docs.google.com/document/d/1RJetylr534_5Z71PdiUUpQA8uBCfQJvCPWaQSS36l9w/edit?usp=sharing

Contact Logs and Attendance Logs
Please use the attendance log to indicate with an X students who are active in Schoology based on the analytic report Tatiana shared with us. If you have questions about accessing this, please contact Tatiana. If a student is not logging in or active on a certain day, please highlight the box for that day. Please do not type absent in the log as we cannot determine if a student is truly absent at this time. Our support staff will use this document to reach out to students for check-ins for both praise/encouragement as well as concern.
We have had many questions related to attendance. We are taking "attendance" right now so that we know who needs paper copies and who may need a little "nudge" to get on and started with distance learning. Students do not need to complete work every day. We are hoping that students will have completed their work within the week.
Please work with families. There are some difficult situations that families are navigating. If people do not get work done during the week--that is ok. Use your professional judgment and lead with your heart. Remember, this is different than our regular classroom. We will talk about this today at our team leader meeting. Please let them know specific questions and we will discuss today.
Please push out this google form on Monday. (Link to come Monday) Please do not push out before that as we will be making adjustments today during our team leader meeting.

A Message from the EL Office
During the current school closure, the Language Line service is not available. Staff are not permitted to call the Language Line via Skype for business, from a personal phone number, or via any other method. As an alternative, we recommend that staff use the approved TalkingPoints app to contact families. The app is free for families and educators, and provides two-way translations of messages. TalkingPoints can be used from a computer or a phone to protect teachers’ private phone numbers. For more information, visit the TalkingPoints website or contact a member of our team. Click HERE for step by step directions on how to access and use Talking Points. This information is also housed in our attendance contact log folder and on our portal.
Like with any of our students, teachers are able to contact families using additional tools like Google Voice or a phone call without an interpreter if families have some English proficiency.
We understand that there are many special circumstances regarding our students and their families’ needs during this extraordinary time. Please know that we are available to support your teams’ unique needs as we work to communicate with teachers and support families during continuity of learning.

Thursday Work Sessions
Flexible with Families: Err on the side of students
As we are hearing from families, please have some flexibility and work with them through their individual situations. When we plan for upcoming weeks, please be sure that you have reviewed skills that they may not have mastered and have taken in account that students may not have gotten on technology the first week.
For families who did not get on last week, please help them prioritize what to complete for their graded assignments. If students are struggling with submitting assignments, offer alternative ways to do this and, if needed, consider changing to other assignments. We are here administratively to work with you as we all transition to this new way of learning. Grades are not as important as ensuring that students are getting practice with skills. If you have enough grades for third quarter, I would highly suggest not grading assignments from this first week as many students did not have access. The message from our county is to err on the side of students.
Please do not hesitate to contact administration if you have any individual concerns or questions.
The county is having conversations about grading and will be giving us guidance soon for the last quarter.
Spring Break!!
Since we will miss our Monday content meetings with specialists, we will hold them on Tuesday April 14, at the same time as Monday meetings, to allow for continued planning and uninterrupted instruction for our students. This will be a one time change and Monday meetings will resume the following Monday, April 20.

Weekly Plans
Device Distribution
As you know the first wave of deployment distribution occurred on Friday. Many families have notified staff as well as administration that their child was unable to obtain a device as the high schools ran out of those they had on hand. We are anticipating more direction later this afternoon about a second wave of device deployment. When we learn more information, we will be certain to share it with you and our community. Until that time, please encourage families to be patient as we work through this as a system. Please ask any families who contact you to call the office and leave a message on the voicemail with their name, their child's name, and their teacher should they need a device. We are also working to get the paper copies out to our families for those who have chosen this method of delivery.
