MINUTES of Annual HOA Meeting
MINUTES OF THE ANNUAL MEETING
OF THE
COVINGTON PLACE HOMEOWNER’S ASSOCIATION

The annual meeting of the Covington Place Homeowner’s Association (the “HOA”) was held on February 13, 2018 at The Ashton Hills Grille. Pat Showalter chaired the meeting and Brian Dean acted as Secretary of the meeting.
.
The meeting was called to order and the attendees were welcomed.
.
As the first order of business, Pat Showalter introduced Bryan Raines, who reported as follows:
· Bryan Raines has purchased the golf course;
· Ashton Hills Golf Course is one of the top 10 golf courses in North Georgia and is ranked 14th for all of Georgia;
· Ross Miller is the new Superintendent of the course
· Golf Ready Program for ladies and young adults to be conducted this summer at the course was discussed and Mr. Raines suggested everyone see the Ashton Hills Golf Course newsletter for more details; and
· Mr. Raines gave a presentation of the PGA Junior League, which is a new approach to getting younger kids into golf, and the numerous activities for the younger crowd at the course this year.

The various Board members gave the following reports:
.
· Maintenance - Chris Branan gave a report on maintenance items from 2017, including:
o pool furniture and mats were acquired;
o repairs are ordered for bottom of pool;
o -mailboxes were painted;
o -new larger No Soliciting signs were posted; and
o -resurfacing the tennis courts discussion has officially begun;
.
· Modifications Committee – Perri Futo reviewed what homeowners should have approved and reported that it should take approximately 48 hours to hear back to receive a response;
.
· Member Management – Brooke Woodall discussed how some of the funds that were budgeted for the social committee were used for security cameras around the pool, and she asked for volunteers for upcoming Social Committee activities;
.
· Finance – Brian Dean gave a presentation of the HOA’s finances, including:
o A discussion of the upcoming 2018 budget and the differences from our past budget;
o income increase because of increased dues;
o expenses with more repairs/replacements;
o large contribution to our reserves; and
o tennis court repair or replacement.
.
Bob Wier reported on the progress to-date of the tennis court repair or replacement project.
.
Pat Showalter introduced the new Board members, being Bob Weir, Perri Futo, Brian Dean, Monique Snow, Kaye Plitt, Brooke Woodall and Bill SanFelice.
.
As there was no further business to come before the Board, the meeting was adjourned.

2018 GENERAL ASSESSMENT REMINDER
As a reminder, here is the remaining payment schedule for your HOA dues:

April 1, 2018 - $240 due
.
Total assessment for 2018 is $720.
.
If you wish to pay monthly, please go to HOA Butler at https://gm.cincweb.com/ and sign up. Monthly payments must be made in advance of the due date.

If you wish to pay it all at once or in advance, you may do so.

SPRING YARD SALE NEEDS A HOST!
.
1 - Set the date for the event - always on a Saturday; avoid holiday weekends or ones that have large school events taking place, if possible
2 - Place the Ad for the event in both the Covington News and the Newton Citizen for Ads to run the week of the event only; you'll turn in your invoice and get reimbursed
3 - Place the CP Yard Sale signs at each of the 3 entrances on the Sunday the week before the sale to help advertise it to drive-bys all week
4 - Remove the CP Yard Sale signs on the evening that the sale ends
.
It's easy to do but without a volunteer host the event will not take place!
.

MEET JAKE BRANAN!!!
.
Here's a few Fun Facts about Jake that you probably didn't know:
.
- He’s 13
- He's in the 8th grade Gifted Program at Cousins Middle School
- He’ll be doing dual enrollment when he enters Eastside in the Fall
- He was born 3 months premature, in Conyers, and spent almost 3 months in the NICU at Egleston. His parents got to bring him home when he reached 4 lbs. and beat 3 death sentences from specialists
- He has a collection of signed sports items from actual players of various teams, both locally and nationwide; he’s good friends with the actual person who portrays FredBird for the St. Louis Cardinals and they exchange memorabilia
- He’s a sports fanatic and can cite every stat of any sport (including Canadian or international leagues) you ask him. He’s even stumped some actual players and broadcasters
- He wants to participate in the Paralympics and is trying to choose a sport to start working at mastering
- He does complex math in his head and is at a first year college level in testing for most subjects
- He’s an avid reader and started reading actual basic books at 3 years old. His parents would give him all the junk mail we got and he’d read it out loud. He read Charlotte’s Web in 5 hours when he was 6.
- All his video games are sports related. Anyone who wants to come hang out and play is welcome!

So why have I told you all of this? It's because Jake and his parents just found out that he has been invited to the state level competition of the National Geographic Bee! Here's more information about that:
.
Dear Principal, Bee Coordinator, and Parent/Guardian:
Your student, Jake Branan, from Cousins Middle School has qualified to compete in the state level competition of the National Geographic Bee!
The Georgia State Bee will be held on Friday, April 6, 2018. Please visit the State Bee Homepage, and click on Georgia to access your state Bee website and review event information. If you have questions regarding the event, please contact your State Bee Coordinator, whose email address is listed on the Georgia State Bee website.
Eligible state Bee competitors must be in grades four through eight, and must have participated in and won the competition at the school level that involved at least six students. We reserve the right to disqualify a student at any time if the rules have not been followed.
The state Bee event is only for qualifying students, their families, and their teachers. The National Geographic Society does not encourage or endorse coaching for hire in connection with the National Geographic Bee. Paid coaches of persons affiliated with organizations that collect fees for coaching are not invited to attend the state Bee.
The National Geographic Bee supports the participation of students with physical disabilities such as vision or hearing impairment. The teacher or parent of a physically disabled student should notify the National Geographic Bee office at NGBee@ngs.org by March 23, so that accommodations can be made.
It is the responsibility of the student’s family and/or teacher-escort to arrange travel to the state Bee, and to report to the registration area on time.
One champion from each state and territory will advance to the National Geographic Bee Championship, which will be held May 20-23 at the National Geographic Society headquarters in Washington, D.C. Transportation and accommodations for the Washington, D.C. trip are provided for each state champion and one parent/guardian.
Many thanks to the School Bee Coordinator for organizing the school Bee. We hope you’ll register Cousins Middle School for next year's competition. We will notify you when registration opens.

PLEASE NOTE: You will be REQUIRED to answer the 3 questions which ask for your street address (including house number) so that we can verify that you are indeed a resident of CP. If you do not answer the 3 questions, your request will be automatically denied.

We receive member requests every week from people all over the place and we only allow CURRENT RESIDENTS to be a member of our Page. As residents move away, they are removed from the list. Family members and friends who don't actually live in our neighborhood are not allowed to join our FB page. Our only exception is the Covington Police who are helping to keep our neighborhood safe.
OVERNIGHT VISITORS & CAMPERS/RVs PARKED IN THE STREET or AT POOL PARKING LOT - VISITOR PARKING PASS REQUIRED - NO EXCEPTIONS

If you will be parking your car or having overnight quests park at the Pool Parking Lot at any time during the year, you MUST place a VISITOR PARKING PASS on the dashboard so that the Covington Police know that it belongs to you and will be moving shortly. Please indicate on the Visitor Pass the date you will be moving the RV. This is to be followed every time.

Leaving unmarked cars parked in the Pool Parking Lot during the day or overnight is not allowed. If vehicles do not have a Green Vehicle Sticker on them then they MUST have a Visitor Parking Pass on them to keep from being towed. NOTE: If you see a non-resident vehicle parked at the Pool Parking Lot during the day or night, please call the Covington Police to come and check it out.

If you need a Visitor Parking Pass Template, please sign in to HOA Butler and print it from Community Documents and Information.
GREEN VEHICLE STICKERS - IT'S ALL ABOUT NEIGHBORHOOD SAFETY!
If you do not have a Green Vehicle Sticker on each of your vehicles, please send an email to l_seabolt@hotmail.com providing your Name, Street Address, and the Number of Vehicles you have and they will be delivered to your mailbox.
If you would like a sticker for your golf cart too, please make that request as this is a great idea since many residents drive their golf carts to the pool.

Clubhouse Rental - the clubhouse is available to all residents to rent for private parties; no corporate events or non-resident parties allowed; $75 fee during Pool Season, $50 fee during remainder of year; Rules & Regulations available; some restrictions on dates/times of availability; Contact Kaye Plitt at Kayep1030@gmail.com

Green Vehicle Stickers - Send email to l_seabolt@hotmail.com and provide street address and number of vehicles; place them on the rear window of each vehicle; they are available for golf carts too and should be placed on the windshield

REEF Pool Management - 770-389-9999 - to report any problems with the pool during Pool Season (ex. chemicals, cleanliness, fecal matter, etc.)
Tennis Courts are accessed via the same Pool Card that opens the pool gate. The tennis courts are available for residents and their guests only. Guests must be accompanied by a resident at all times. Leagues or Teams are not allowed. Rules of etiquette were included in the HANDBOOK so please refer to them if you have any questions.

Street Light Outage - City of Covington, 770-385-2000, use Option '0' and speak to a Customer Service Agent to report the outage and have a repair ticket created.

Our HOA offers residents who own a business the opportunity to reach over 340+ resident email addresses via our Newsletter and our Facebook Page. Our average weekly reach is over 425 views.

- We'll run it several times if requested
