FSG Newsletter
Issue 2 - August 2019
Thank you
Dear Colleague,
Firstly, we would like to take this opportunity to thank all staff members for their hard work and ongoing commitment to providing a Gold Standard Level of Security to our client, the BBC.
We have just completed the first quarter of the "New Contract" and we appreciate that some adjustments had to be made to accommodate new ways of working and the expectations that have gone with this. We have been incredibly impressed with how the teams have reacted and contributed to the successes within this first quarter, and for this you should be extremely proud with the part you have played.
We still have a lot of new and exciting initiatives and improvements to be made on the contract and FSG are pleased to have your continued engagement and involvement.
Chris Jenkins
FSG Account Director
I-Care
According to Du Pont (one of the early pioneers of Behavioural Safety) 96% of all injuries are caused by unsafe acts – often unintentional and sometimes organisational rather than individual issues e.g. lack of training – but we need to address them all the same, or risk our people, and those we work with, getting hurt. In 2018 at Interserve, approximately two-thirds of our HiPOs* were ‘leadership and behaviour’ related.
I-Care is a company-wide and long-term approach to HSE Culture at Interserve where we all believe that:
- Safety is important, because we all want to go home safe and well to our families.
- Safety incidents can be prevented, because we will work together to prevent them.
- This will only happen when we all behave as safety leaders, speaking out when necessary, and adopting good safety leadership habits.
I-Care is a philosophy, a mind-set and a programme, with the following key pillars:
- A set of daily habits (the 7 Good Safety Leadership Habits)
- An e-learning module introduction for all (Video or Tool Box Talk versions for offline users)
- Interactive I-Care workshops for different job roles
- Communications campaigns, competitions and forums
- A community of trainers who deliver the training sessions and champion I-Care
- *high potential incident or near miss, with the potential to cause a serious injury or fatality
The full details of I-Care, including learning material, can be found on MyInterserve. We encourage you to take the time to read the material and understand how you could contribute to a safer workplace.
New Members of the Operations Management Team
Derek has a background in the Metropolitan Police which he joined in 1989. He subsequently spent the following 30 years serving the people of London in a variety of roles, starting as a uniformed response officer working in locations such as Elephant & Castle, Catford and Bromley. After 8 years of uniformed policing, Derek moved into the area of covert policing specialising in surveillance and counter terrorism. This is where Derek spent the majority of his remaining service, being fortunate enough to work on a number of high profile crime and counter terrorism operations.
Derek finished his police career in May 2019 as a Counter Terrorism Police Operations Room Manager, after which he joined FSG in June to take up the role of BBC Security Operations Centre Manager. Derek is happily married for over 20 years and has two teenage children. He is a Liverpool fan but holds a West Ham season ticket as this is the closest football team to where he lives. He takes the opportunity to enjoy watching football with his son.
Dan joined the business in August 2019. He previously served with the Police Service, joining with Hertfordshire Constabulary and then served with the British Transport Police. Dan's last roles were within Specialist Operations (Counter Terrorism Unit) which included Firearms, Training, National Exercising and Testing and the Specialist Response Unit.
Dan was previously involved with the planning and command of large scale Public Order events and has been actively deployed during active Terrorism attacks. He has also run previous business developments and creativity and innovation programmes.
I'm sure you will all join us in welcoming Derek and Dan into the business!
Cardiff Central Square
As with any new site, it will bring different challenges but the team will have the full support of the business to ensure everything runs smoothly. We wish the team all the very best of luck settling into the new hub!
BBC Uniforms
Please note that branded uniforms should not be worn when away from site. It has been agreed with the BBC that when staff are considered to be off of site, that the following items are removed:-
- ID cards
- Ties
- Any items of branded BBC clothing i.e. suit jackets (alternatively, please cover up the branding with a non-uniform jacket)
The rationale behind this is that wearing uniform/identifiable clothing when off site:-
- Goes against BBC policies and campaigns such as ‘Wear It In’
- Could present H&S issues – as in the past, staff have received abuse for being part of the organisation. If on your own, individuals will not have the support/access of the team
- It could potentially cause reputation damage to the BBC brand should an individual be involved in an incident or altercation outside of work
FSG and the BBC are continually improving the security culture across the organisation and therefore it is crucial that the security team leads by example.
There are exceptions to the above, such as with outside broadcasts or events where you may be off site but acting in an official capacity and operating with other members of staff. However, the rules will apply during solo travel to the location.
If any of the above information is unclear then please approach your Line Manager for full clarity.
Continuous Improvement Workshops
Continuous improvement workshops were launched by FSG in June 2019 with the vision that this will increase engagement between all staff including local management teams. The workshops are designed to allow open discussion regarding innovations, improvements or ideas which staff may have.
We would like to share some of the feedback raised within last months workshops;
- FSG were able to order new batteries and service radios which were deemed non-operational
- New ear pieces for NCCR staff were ordered as the current supply had not been working effectively
- FSG is working with the FM team to source a window tint screen for the PQ gatehouse, due to glare from the sun restricting view
FSG will be continuing with the workshops each month, therefore please bring forward any good ideas you may have as we will be interested to hear your opinions.
Staff Engagement Survey Feedback
We mentioned in previous communications that the staff engagement survey link will be a 'live' process and monitored monthly. This is so that FSG can implement any required interventions from the business to ensure continuous improvements are considered for our contract. The feedback you share is confidential and is a great opportunity for you to provide your thoughts and ideas directly with the business.
As a reminder, the link to the survey is - https://www.smartsurvey.co.uk/s/KTSDT/
Here are some examples of the feedback we have received this quarter with comments as to the actions FSG has put into place;
Positive
- Staff are pleased to see the management team being more visible on site as this helps promote better and more regular feedback
- We were informed that staff can see tangible improvements with the level of communication received from their management teams and from the business
- Special praise and recognition was received for Barry Kelly (W12 Area Manager) regarding the continuous improvements being made at W12
- Staff have expressed their satisfaction regarding the availability of courses and self development opportunities on the contract through ilearn and the World Host programme, currently being implemented
- Positive feedback was received in regards to the way in which FSG supports staff issues. In particular, the efficient way in which pay queries are resolved
Improvements
- Disparity of pay across different contract areas was highlighted as an issue
Unfortunately, with the effects of TUPE whereby many staff have different contractual terms and conditions, this is not something FSG can resolve immediately. In order to address this matter, FSG will continue to review staff pay through the annual pay review process. The business will also make other considerations in line with the contract.
- Staff would like to see a reduction in unnecessary paperwork on site.
FSG will continue to review and drive efficiencies in regards to time spent completing paperwork. The "SIRV" tool, currently being introduced, will automate some processes and procedures and will ultimately reduce the amount of paperwork and administration for sites.
- Concerns raised about bullying and harassment.
The business does not tolerate or condone bullying or harassment towards staff of any kind. If any staff member is concerned about this happening, please refer to the Company Bullying & Harassment / Grievance Policies. In addition, concerns can also be raised and documented during monthly 1-1 welfare meetings with your Line Manager.
- Concerns were raised regarding high turnover of staff at certain sites
- Staff feedback highlighted that some staff wanted opportunities to raise issues without fear of speaking up
Speak Up!
Interserves recently launched Whistleblowing procedure
We all have a voice, and a responsibility to do the right thing for ourselves and each other. This includes speaking up when we see wrongdoing that might affect people’s wellbeing or damage the reputation of the company.
Speak Up encourages you and your colleagues to report confidentially, anything you see or hear in the workplace that you have serious worries about.
This could be.....
- A dangerous activity that puts you or other people at risk
- A criminal offence
- Someone who isn’t fulfilling their legal obligations
- A miscarriage of justice
- An activity that is damaging the environment
What should I do if I suspect serious wrongdoing?
If you or a colleague have seen or heard something that you think is illegal or seriously wrong, and that affects you and others around you, then you should speak up and report it. Expolink, our independent partner, provides a confidential reporting service for you as an Interserve employee. It’s easy to report your concerns confidentially by either:
- Staying anonymous and sharing your details with Expolink so they can come back to you about your case and keep you updated
- Sharing your details with Expolink to pass on to us so we can contact you about your concerns
Use the free phone 24-hour hotline number, report online, or use the 'SpeakingUp' App. You can make your report in many different languages, and Expolink can provide a translator so you can be confident your concerns will be understood.
UK callers:
- Access Code: 46873
- Tel: 0808 169 8918
You can make a report online: https://wrs.expolink.co.uk/interserve or you can make a report using Expolink's 'SpeakingUp' mobile app which can be downloaded onto your Smartphone.
What happens next?
Once the information you have given us is logged in a report it will be passed to Interserve’s Audit and Investigation team who will investigate the matter in an appropriate way. If you’ve shared who you are with Expolink, they’ll let you know the outcome of the investigation.
What isn’t to be reported to the hotline?
Personal grievances in the workplace, e.g. bullying, harassment, discrimination, aren’t covered by the Speak Up process, unless your particular case is in the public interest. This means it must affect others, e.g. the general public. Please report grievance matters to your line manager or HR.Further information on Personal grievances can be found within the following company Policies:
- Anti-Harassment, Bullying and Victimisation Policy
- Equality & Diversity Policy
What should I report?
Bribery and Corruption
An individual giving or receiving cash, services or products to influence someone to take a certain action or decision.
Example - a supplier gives you some building supplies to use on your own house in exchange for them working on a contract.
Fraud
Deliberate deception for personal financial gain.
Example - someone setting up a fake supplier and billing the company for services that haven’t been provided or claiming overtime that hasn’t been worked.
Theft
Stealing things that belong to the business.
Example – cash, data, materials.
Employing illegal workers
Anyone you employ, whatever their role, needs to have the right documents and Right to Work in the UK, otherwise you could be prosecuted along with them.
Working conditions
There are laws governing pay, working hours, providing a clean, safe working environment. This could be described as modern slavery where people are forced to perform tasks that are underpaid, dangerous, immoral or illegal.
Example – when people borrow money they cannot repay and are required to work to pay off the debt, then lose control over the conditions of both their employment and the debt.
Health and Safety
By law, employers must protect the health and safety of their employees, anyone who is affected by their work and the general public.
Example – an employer doesn’t provide the right personal protective equipment, or routine checks and maintenance are not carried out.
Damage to the Environment
All businesses have a responsibility to look after the environment by controlling emissions, disposing of waste properly, protecting wildlife and habitats and using natural resources responsibly.
Example - putting medical waste in a normal bin or lying about the level of pollutants coming from a factory chimney.
