Projector and Screen

The projector and screen will be available to those of you who requested it. It is too late at this time to request these items as we had to rent the equipment in advance. You did receive individualized email notification reminding you if you did or did not request these items. Please see email for more information.

External Speakers

If you need additional speakers, you will need to bring your own. We only provide external speakers for those presenters in the large rooms. If you are unsure, please bring your own speakers just to be safe.

We look forward to your participation in Harris County Department of Education’s 30th Annual R. T. Garcia Early Childhood Winter Conference, to be held on Saturday, January 30, 2016, at the Kingdom Builders’ Center, 6011 West Orem, Houston, TX 77054. Check-in for participants begins at 7:00AM. The Keynote Address begins at 8:30AM and breakout sessions are from 10:15AM until 3:00PM (see enclosed schedule).

Set Up:

Presenters may set up on Saturday morning, January 30th, beginning at 7:00AM. Rooms are also available for set up on Friday, January 29th, between 2:00PM and 6:00PM (**for presenters who are presenting in the first morning session only.)


Please be aware that neither HCDE nor the Kingdom Builders’ Center can be responsible for any items you choose to leave in a session room overnight. For that reason, we strongly encourage presenters to set up on Saturday. If you are presenting during Breakout Session I (at 10:15AM) you can set up during or before the keynote session.


If you are presenting later in the day, you may leave materials in the Presenter Hospitality Room which is next to the presenter check-in desk


Each breakout session is an hour. Please plan accordingly. There are only fifteen minutes between each session. This is all the time you will have for setup unless you are scheduled for the first morning breakout session at 10:15 AM. This time is also when the presenter before you will be cleaning up.


Everyone needs to limit the amount of setup needed.

Check-In:

All presenters must check in prior to set-up. Check-in will be outside the Presenters’ Hospitality Room. This is labeled Party Room on the KBC map and is near the West Orem Street entrance.


We recommend that presenters arrive at least thirty minutes before your first session time. You will receive directions to your presentation room, conference materials and presenter gifts.


If you set up Friday afternoon, you must also check-in Saturday morning. Conference staff will be available for check-in at 7:00AM.


Presenters who are also Exhibitors must check-in at the Exhibitor Check-in table in the Exhibit Hall as well!

Parking:

The Kingdom Builders’ Center has plenty of free parking and parking attendants will be on site to direct traffic.


*SEE BELOW LINK for a permit for each presenter to place in your windshield (and show the attendant who will try to direct you around to the side of the building) allowing you to park in the front parking lots (just off West Orem St) and enter the front doors. This will keep you out of the crowded participant registration area.


If you are also an Exhibitor and are arriving before 7:30am, parking in the back of the building and using that entrance will be more convenient for unloading items for the Exhibit Hall.

Loading and Unloading:

Be prepared to transport your materials to your location without assistance and with your own equipment. Presenters with large amounts of materials to unload may pull into the curved driveway in the front of the building to unload before parking. Just show the attendant your presenter parking pass.

Continental Breakfast/Boxed Lunch:

Presenters are invited to eat breakfast and lunch in the Hospitality Room. You must wear your name badge for admittance. Water, coffee and tea will be available for you throughout the day. You may eat lunch between 11:30AM and 2:00PM, when you are not presenting. You must present your name badge to receive a boxed lunch. You may also eat in the general area with conference participants.

Session Arrangements

Please do not dismiss your session early. This causes problems for other presenters.


It is unavoidable that we will experience sessions that are both overcrowded and under attended. A “Session Full” sign will be included in your packet on Conference Day to place on the door but you should feel free to be assertive in asking participants to find another session. If someone attempts to “save” a large number of seats in your session room, please discourage them by telling the person they are not allowed to save more than one seat.


If one of your sessions has fewer attendees than you hoped for, we are sorry and hope you will understand that there are 25 excellent sessions during each time slot making the choice very difficult. Please remind participants at the end of each of your sessions to complete the evaluation forms. This year we are again having a Closing Session at 3:15PM in the Gymnatorium at which participants will turn in evaluations and have the opportunity to win door prizes!

Miscellaneous

Possible Cancellations: In the past, we have experienced some last minute cancellations by presenters. Because of the smaller size of session rooms at KBC, we MUST have a substitution for any cancelled sessions. You might be asked to present your session again in place of a last minute cancellation. If you WOULD be willing to do this, please let me know by emailing: asegraves@hcde-texas.org as soon as possible.


If you find you must cancel your own presentation, please inform us as early as possible.


Selling Material/Products: We do not allow selling of materials in sessions. If you wish to sell a product, you must pay for exhibitor space. Please contact us immediately if you need more information.


For Assistance: Conference staff will be available at the Presenter Check In and Registration Area throughout the day. Volunteers will be in the halls around all session areas to assist if you need help. If no one is available and you need assistance, contact me (409) 370-0299 or Diane (832) 492-7075.

2016 R.T. Garcia Early Childhood Winter Conference HANDOUT REQUIREMENTS

In an effort to keep registration fees low and to move toward a more environmentally-friendly conference, presentation handouts will be posted on our website instead of printed.


Participants will be able to print the handouts from all conference presentations after the conclusion of the conference. If you feel it is necessary for your audience to have the handout during the session OR if you do not wish it to be available on the website, you will need to inform HCDE and bring your own copies.


Your Presenter’s Information letter (Diane will be sending this out no later than Friday) will include the capacity of your session room and how many times you are presenting.


For the continued success of our conference, we encourage presenters to provide handouts for the website.

Handouts must:

  • Be related to your presentation.


  • Be your original work (no material copyrighted by others) and include appropriate credits when citing work by others.


  • Include session title, presenter name(s), and affiliation on the front page or cover sheet.


  • Be submitted electronically as a .pdf file no later than Jan. 25th, 2016.
