HCM PRIDE ACRONYM
Recent Fire Evacuation
DEC 9400NCX Floor Captains / Safety Coordinators,
I think everyone is aware of the building evacuation event that occurred app. two weeks ago. In the debrief of that event, it was decided that we should put a greater emphasis on drills for emergency preparedness. Several of you already know me, but for those that don’t, my name is Erik Ziller, I work within Dallas ISD Maintenance and Facility Services as a project manager. I am one of the current safety committee members for DEC 9400NCX.
I have attached a one page copy of our current fire drill procedures (Zoned and Full Building Evacuation) as a refresher for everyone. DEC 9400NCX will have drill’s once a month for the next six months, either Zoned or Full Building Evacuation. While this may be unpopular due to time impacts to our tenants, we all understand safety is critical.
In the last event, several tenants could have been severely injured – in particular, some of our special needs tenants evacuated the building, when the instruction is to enter the South Stairwell (note 4. Occupants who are unable to descend stairs proceed to the south stairwell with their buddy and remain on the landing of the stairwell awaiting further instructions). Let’s all take a minute to refresh ourselves with the drills for our building, in particular zoned drills as these will be the predominant drill exercised. Please note that per note 5. Occupants on the 6th floor or above descend down the stairs four (4) floors and reenter the building. It was noted in our debrief meeting that communication over the alarm system was hard to hear – some people were on cell phones having conversations, while others were determining if this event was a drill vs. a real fire and whether it was a zone vs full evacuation event - in general there was a lot of noise and confusion generated – all impacting the ability to follow directions. We have areas to improve in, and ‘lessons learned’ to train on for our mutual benefit.
I want to stress that there will be a drill for the building this month, and it will be on us sooner than you think!
We are currently planning the training sessions for our floor captains / safety coordinators. Radios will be issued next month for better communications amongst our team. Drill performance will be measured and assessed for improvement. Personally, I am excited about the opportunity to interact with each one of you to ensure we have the safest building and work environment in Dallas. Thank you for your time and efforts in advance!

Thank you for the responses you shared at the Skip-Level Meeting. FREQUENTLY ASKED QUESTIONS
Team-in response to questions I have recently received from you regarding cookie delivery, summer hours, etc., we are sharing some guidelines around time and attendance below. This is for informational purposes only and to ensure you are abreast of the parameters regarding this subject. If you have any questions feel free to ask me or your manager.
BIOCLOCK
All district employees are required to use the biometric clock for clocking in/out at an approved work location. All non-exempt employees are required to clock in and out. Exempt employees are required to clock in but are not required to clock out. The summer 4 Day Work Week (10-hour days) will have some adjustments; such as non-exempt employees signing out for lunch and signing back in when non-exempt employee returns and exempt employees having to sign out at the end of the work day.
NON-EXEMPT EMPLOYEES
Employees classified as “non-exempt” are eligible for overtime pay after 40 hours worked in a week. Employers are required to pay time and a half the employee’s regular rate of pay when they work more than 40 hours in a given pay week. Any overtime worked must be pre-approved by the appropriate administrator and the appropriate administrator should inform the employee if the time will be paid or converted to comp time. Supervisors should maintain a record of overtime approval, such as an email approval, calendar notation, a memo to the staff or some similar indication the employee was notified of the type of compensation to expect.
EXEMPT EMPLOYEES
An exempt employee is not entitled to overtime pay.
TIME REPORTING
Each department is responsible for maintaining accurate time and attendance records. For each non-exempt employee, should corrections/edits need to be made to your monthly timecard, it is preferred your Non-Exempt Attendance Report be submitted weekly and submitted by pay period.
Non-exempt employees are required to:
Report absences from duty in accordance with District procedures.
Clock out when leaving the building to conduct non-district business. If the employee returns to work that day, he must clock in upon return and out again at the end of the workday.
Overtime/comp. time should be approved by manager prior to engaging in the compensatory time
TRAVEL TIME
On occasion, non-exempt employees may be required to travel for district related purposes. The following guidelines should be used when determining when travel time is considered "work time" and therefore must be paid. To be reimbursed for mileage during this travel time please follow regular district procedures.
Travel time considered work time includes:
- Participating in any business-related activities at a conference or seminar.
Traveling between work locations during the workday.
Traveling from the office to a local airport, bus depot, or train station, or vice versa.
Travel time not considered work time includes:
Participating in social activities where attendance is not required.
Nonwork-related meal breaks.
Traveling from home to a local airport, bus depot or train station, or vice versa.
Traveling from home to an in-town conference. However, mileage may be reimbursable.
Traveling from home to a regular designated work location or vice versa.
