Passed 26 Approved to 1 Not Approved
2. Board Members- votes were unanimous, no write in ballots were received.
The following members are elected returning Board Members: Dana Sox, Kelly Walshe, and Nicole Dudley. Please welcome Carrie Anthony as the newest Board Member.
3. Bylaws-
Sadly, we did not make quorum to pass any of the measures. We needed 73 voting members and had 49. If we had enough, the sentiment was overwhelmingly in favor of passing the amendments. We will present this again at another annual or special meeting.
What does the Board do?
Every so often it's nice to have a refresher on how the HOA works. And, we have many new neighbors who may not be aware of what the process is so we thought it was a good time to review the Board and what it does!
The Maple Hills Board of Trustees is an elected group of volunteers who serve for 2 years at a time. The Board is responsible for (according to the Bylaws):
- Select and remove officers, agents, and employees of Maple Hills
- Prescribe duties of officers, agents, and employees of Maple Hills
- Conduct, manage and control the affairs and business
- Charge and/or assess the several parcels of land and the owners
- Keep a complete record of all minutes and acts
- Present a full statement to the regular annual meeting of members
- Trustees must be in good standing and may not benefit from the Board financially
What does that mean? In English please!
- The Board determines the Trustee positions once elections are complete (see below) and ensures that each trustee is doing their job.
- It maintains the assets and events in the neighborhood. Assets include the park, the pool, and the fire station clubhouse.
- The Board ensures the Covenants and Building Rules are followed.
- The Board ensures that dues are paid and used appropriately (according to the budget) and keeps a record of all of the transactions with the Condominium Management Co.
- Records in the form of meeting agendas and minutes are recorded and made available to the membership.
- Monthly and annual meetings are the responsibility of the Board.
Other responsibilities that are taken on, but not part of the Bylaws:
- Plan and execute events such as: Polar Bear Dip, Easter Egg Hunt, 4th of July, National Night Out, Santa Breakfast.
- Provide a monthly e-newsletter
- Provide a bi-annual printed and mailed newsletter (Spring/Summer and Fall/Winter)
The Trustee Positions will be determined at the next annual meeting in July.
