Special Edition: 2023-2024 Re-Registration
Dear Parents,
Re-registration for St. Hilary School students currently in grades K-7 will be completed online between January 4 and February 10.
The online application system for tuition assistance is also open now through March 1.
It is important that you adhere to these deadlines to reserve your child’s place at St. Hilary School for 2023-2024, and to be considered for the largest available pool of tuition assistance funds.
Please continue reading for complete instructions about online re-registration for your child. Please note the policy on student placement and other important information.
TO RE-REGISTER YOUR CHILD:
For 2023-2024, St. Hilary School re-registration will be completed online via Digital Academy.
PLEASE BE AS ACCURATE AND THOROUGH AS POSSIBLE IN REVIEWING AND UPDATING ALL INFORMATION, AS THIS INFORMATION CONSTITUTES YOUR CHILD’S SCHOOL RECORD AND IT MUST BE CORRECT AND COMPLETE!
Please carefully FOLLOW THE STEPS BELOW to complete your child’s re-registration:
- Click here to access the 2023-2024 re-registration forms. Please also keep this newsletter open so you can see and follow the steps below.
- Login with your Digital Academy username and password. If you cannot remember your username, please contact Mary Smith, Administrative Assistant, at msmith@st-hilary.org. If you cannot remember your password, please click “Forgot Password” on the Login Page.
- To re-enroll an existing child, check “Enroll” next to his/her name. To enroll a new child, click “+Add Child” and fill out all of the required information. When done, press CONTINUE. PLEASE NOTE: NEW FAMILIES WHO DO NOT YET HAVE ANY CHILDREN IN THE SCHOOL MUST FOLLOW A DIFFERENT PROCESS - SEPARATE INFORMATION WILL BE PROVIDED TO THEM.
- Press CONTINUE on each page to move between pages. You will not be able to move to a new page until all required information is filled out on the current page. If a field is required and you do not know/have the necessary information, please type N/A or Unknown. HOWEVER, PLEASE DO NOT SIMPLY DO THIS TO SKIP AHEAD! PLEASE BE AS ACCURATE AND THOROUGH AS POSSIBLE IN REVIEWING AND UPDATING ALL INFORMATION, AS THIS INFORMATION CONSTITUTES YOUR CHILD’S SCHOOL RECORD AND IT MUST BE CORRECT AND COMPLETE!
- Some pages require a signature. Please sign by typing your name and selecting today’s date.
- Please pay the $150 per child re-registration fee via Digital Academy.
- Please go all the way to the end and press SUBMIT. You will receive an email confirmation. If you do not receive an email confirmation, please make sure that you clicked “Submit” on the final page.
You can save and come back to finish the forms at any time. Simply click Save & Close. Go to https://auth.digitalacademy.org and there will be a reminder to finish the form in the upper left corner of your home page in the section titled “Needs Attention”. Click the link to continue working on your form. HOWEVER, FORMS AND PAYMENT MUST BE SUBMITTED BY THE FEBRUARY 10 DEADLINE FOR YOUR CHILD TO BE RE-REGISTERED.

Once you have completed the online re-registration process, you will receive an email confirming your child’s enrollment for 2023-2024.
IMPORTANT INFORMATION
► Your online re-registration must be completed by February 10, 2023.
We cannot guarantee a space for your child if you do not meet this deadline.
► We cannot “hold” a space for your child. If your child will not return to school in August but you anticipate that he or she may return mid-year, your child will be considered withdrawn on his or her last date of attendance and you must enroll him or her as a new student upon his or her return.

IMPORTANT INFORMATION REGARDING STUDENT PLACEMENT
► REQUESTS NOT PERMITTED
Parents and others on their behalf may not request specific teachers. Instead, we encourage every parent to have open and ongoing dialogue with his or her child's teacher about the child's needs. Things that can and should be shared with teachers include concerns about the child's learning or social-emotional well-being, as well as changes in the family situation, illness in the family, and similar matters. We want to clarify that this dialogue should be between the teacher and the parent, not other family members or friends. In reality, children spend more time interacting with their teachers and classmates than with their own parents during the school year, so our teachers get to know your children quite well. Teachers are generally very good judges of your children's personalities, learning styles / needs, peer relationships, and more, and they work hard to make sure all of those factors are considered when placing students in classes for each subsequent year. If you have kept the lines of communication open with your child's teacher throughout the school year, there should be no doubt in the teacher's mind about which placement will be best for your child for the coming year. Teachers begin creating classes in the spring. Please do not wait until the spring to begin a conversation with your child's teacher about a situation you feel may impact your child's learning.
► MANY FACTORS AFFECT CLASS PLACEMENT
We realize how important it is to you that your child be placed in a classroom setting that will be the best fit for him or her. This is our priority as well, as it is for each of the more than 500 students we educate each year. When class lists are created, your child is one piece of a much larger puzzle with many factors that must be considered to ensure the best placement for every child. These dynamics control which students can be together, which students should not be together, and which students need to be with which teachers. There are a myriad of reasons behind each and every decision that goes into creating each class. We are blessed to have three classes in every grade level, which allows us greater leeway in creating balanced classes that aim to foster the spiritual, academic and social-emotional growth of every student. Additionally, our administration monitors the "big picture" to ensure that every angle is considered as classes are created. We need you to trust us, as educators, to do our jobs and make the best possible decisions for your children.
► EXTENUATING CIRCUMSTANCES
We understand that there may be times when extenuating circumstances create a situation for your family that you did not expect and that may significantly affect your child's learning needs. Please share that with us if it happens, and we will do our best to work with you.
TO APPLY FOR TUITION ASSISTANCE:
► Tuition assistance is available for families with financial need. We have more assistance available than ever before! Please continue reading this section for complete details. We encourage ALL families for whom affording 2023-2024 tuition is a concern to apply for assistance through FACTS. Please do not automatically assume you will not qualify. You cannot be considered for assistance if you do not complete the online FACTS application application (see below).
► Please click here for more information and click here to apply for tuition assistance through FACTS. To be considered for the largest pool of funds, please apply by March 1, 2023.
► If you are experiencing a hardship situation or other extenuating circumstance that will not be apparent in the online FACTS application, please complete the application and contact Trey Baker, Business Manager, at 330-867-1055, ext. 203 or jbaker@sthilarychurch.org. All information shared is treated confidentially. It is our mission to make a Catholic education at St. Hilary School an affordable reality for all of our families.
► ALL families will complete the application for the new Angel Scholarship as part of the re-registration process. By law, priority will be given to students with financial need. This scholarship will be awarded after May 1.
► The new Kristina N. Buehrle scholarship is available to a new kindergarten or first grade student beginning his or her education at St. Hilary School for the first time. Information about this scholarship can be found here.

GENERAL TUITION AND FEE INFORMATION
► NO TUITION PAYMENT IS DUE AT THIS TIME.
► Your school tuition and fees for 2023-2024 (excluding the re-registration fee, which is payable now) are payable between June 1, 2023 and May 31, 2024.
► We are pleased to again offer a discount to those families choosing to pay their tuition in full by May 15, 2023. The full-pay discount for 2023-2024 will be 1% of the tuition amount.
► For families who choose to pay tuition in installments, we will again use the FACTS tuition management service. Please see FACTS Information below for details.
► You will receive correspondence from our business office in May indicating the total amount of your 2023-2024 tuition and fees, the amount of the 1% full payment discount if applicable, any applicable tuition assistance, and payment instructions.

FACTS INFORMATION
► You have the option of 10 and 12 month payment plans with FACTS using automatic withdrawal from your checking or savings account, or automatic charges to your Discover, American Express or MasterCard credit card. (FACTS charges a 2.5% service fee for the credit card option.) You have the option of choosing one of several payment dates.
► Upon completion of re-registration, your total tuition and fees for 2023-2024 will be calculated and submitted to FACTS. You will receive instructions on how to begin your payments and more information with your tuition invoice in the coming months. If you are currently enrolled in FACTS, you do not need to re-enroll with FACTS, but you will be responsible for the annual $45 fee.

*An Instructional Fee of $100 per student will be charged beginning in the 2023-2024 school year. As the cost of instructional materials, services and technology has increased exponentially over the years and funding available during the pandemic has been eliminated, it is necessary to assess this fee in order to cover these expenses.
**Noted fees will be bundled with tuition and
prorated with tuition payments, beginning June 1, 2023.
