Reflections Program
Thank you for volunteering to be the Arts in Education Chair!
My name is Celia Q. Proffitt and I am excited to be the 2014-2015 Arts in Education Chair for the Garland ISD Council PTA. I look forward to organizing a successful Reflections contest and finding other opportunities for our students to participate in. The Reflections theme for this year is, “The World Would Be a Better Place If.” I hope that the following information is useful!
Who can Participate?
Any student who attends a school with a PTA in good standing. This means that the PTA has paid their membership dues.
A student can enter as many times as they wish, in the same or multiple categories.

Grade Divisions
Primary: Preschool-2nd Grade
Intermediate: 3rd-5th Grade
Middle/Junior: 6th-8th Grade
High School: 9th-12th Grade
Special Artist-Please refer to the Special Artist Guidelines (Information can be found in the linked Dropbox)
Step-by-Step Planning
1. Set dates and announce the program at your school: school TV monitor, newsletter, posters, outdoor marquee...
2. Distribute paperwork-Consider putting the forms on your school website
3. Get your judges confirmed
4. Collect entries-Make sure that the Student Entry Form is completely filled out. The following are required: Title of Work, Artist Statement, student and parent signatures
5. Conduct the judging
6. Prepare the paperwork and entries to advance to Council and drop off at Harris Hill on Dec. 5 or 6 (More information below)
7. Present all students with certificates for participating
8. Return non-advancing entries to students
9. Invite winners to the Reflections Art Exhibit-Invitation with specific details to follow at a later time

Celebrate!
You have the opportunity to hold your own campus level exhibit/ceremony to display all of the student entries. Be creative!
National PTA Website
Celebrating student learning provides an opportunity for schools and families to connect with each other and to their community. When PTAs and schools celebrate the arts together, families feel welcomed into the school and are encouraged to take an active role in their child's learning. Research shows positive recognition and engaged families attribute to higher rates of student success.
Percentage of Entries to Advance to Council
20% of each category (visual arts, photography...)
In the event that there are 1-5 entries in a category, the school may advance up to one entry to stay within the 20% rule.
When there are 6+ entries, the percentage should be calculated and rounded up to the next whole number (Ex: 6-10 entries advance 2).
All information for the advancing entries will need to be uploaded to a specific spreadsheet that you will submit to me. You will find that spreadsheet "Reflections Local PTA Advancing Entrants Spreadsheet" in the Dropbox that I have linked under the Resources section.
You will also need to follow the link next to the highlighted section to fill out a required electronic form found in the "Reflections Local PTA Advancing Entry Checklist". It should only take you about 5 minutes to fill out. This form is located in the Dropbox below.
Submitting Your Entries to Council
You set the date for the local entry deadline. Make sure you give yourself enough time to collect all necessary paperwork.
All categories have specific submission requirements. Please become familiar with these.
You will need to use colored dots to signify age/division before dropping off advancing entries to Council:
Primary: Preschool-2nd Grade-Red Dot
Intermediate: 3rd-5th Grade-Blue Dot
Middle/Junior: 6th-8th Grade-Yellow Dot
High School: 9th-12th Grade-Green Dot
Visual Art entries: Place the dot on the back of the entry
Music/Dance Choreography/Film/Video: Place the dot on the front of the envelope (not the entry form side)
Literature entries: Place the dot on the front (outside) of the manila folder (not the entry form side)
IMPORTANT!!!
Advancing entries will have to be dropped off at Harris Hill (Annex Building) on either Friday December 5th from 3pm-7pm, or Saturday December 6th from 8am-10am. Judging will take place that Saturday from 10am-5pm, and non-advancing entries will need to be picked up between 5pm-7pm.
