Big picture

Dear Band Parents,

I hope this message finds you and your family safe and healthy. We are living in surreal times and it is important that we keep ourselves and our community safe, so we can get through this and get back to ‘normal’.

This will probably be my last newsletter for the year. I just wanted to keep you informed about what the remainder of the ‘band year’ will look like.

As you probably know by now, the students will not be returning to school this school year. And thus, the following events have been canceled:

  • UIL Concert/Sight-Reading Contest

  • Local Band Trip

  • Band Gala

  • State Solo/Ensemble (for those that qualified in February)

There are a few band items that need to be taken care of, as part of the usual end of year closeout. Please stay tuned about how each of the following will be handled. An email and FB post will be sent.

  • Returning Concert Attire – We are trying to determine a date that we can do this, probably on the same date as instrument return. We are waiting for direction from McMillen admin and PISD Fine Arts for a date and approval.

  • Ordering Supplies for 2020-2021 Marching Season – We will begin this process in mid to late May. Information and instructions will be sent, once they are finalized.

  • Budget Amendments – There is a budget amendment vote at the end of the year, usually during the band gala, in order for the band to purchase supplies for the next school year and close out the previous year. Since we will not be getting together again and approval is required from all of you, we will be sending out information about the amendments and online voting, in May.

Band Trip Refunds: We will be issuing refunds for the band trip, to all those that paid.

  • Freshmen who will be returning to band next year will be given an account credit which can be applied towards next year’s supplies.

  • Sophomores and non-returning Freshmen will have a check mailed to them in mid-May. Please verify that your mailing address is correct in the Membership Toolkit.

  • If you have an outstanding balance on your band account, your refund will be applied to your balance.

Membership Toolkit Website: We are in the process of upgrading the MTK website. If you have logged in lately, you will see a new and improved look. Corey Maddux, the webmaster for next year, is moving the information from the ‘old’ band site ( to Membership Toolkit, so there will now only be a single site. You will be able to do everything you were able to do before, plus have all the information in one place. As MTK is under construction, some of the documents are out of date as Corey transitions information, so please pay attention to the dates on any documents you view until he can get everything updated.

Memory Book: Even though the school year was cut short, Chnita Hardy went ahead and created a memory book for the band students to remember the year by. Once she has it completed and we can get copies made, we will let you know how to pick one up.

We have several band booster positions opening up for next year since students (and parents) are moving on to Plano East. Please consider filling one of these positions for the 2020-2021 school year. RECRUIT YOUR FRIENDS AND INCOMING 8th GRADE PARENTS! Here is the list of openings (descriptions are at the end of this newsletter):

In closing, I would like to THANK all the board members that I had the pleasure of working with this year. They are awesome!! They haven’t missed a beat, working to close out this school year and transition to the next, even during these unprecedented times. I am blessed to be surrounded by such caring, hardworking, and unselfish people. Thank you all very much!

Band parents, we couldn’t have done this without you! You stepped up when called; you were there to support your students and the band. It was an honor to know all of you. The band wouldn’t have been successful without you.
