GREETER PROCEDURE EXAMPLES
Visitor Greeter Procedure
1) When you hear the knock, get up and walk quietly to our door.
2) Facing visitor, hold out your hand and shake hands firmly.
3) Say, “Hello, my name is __________. Welcome to Teacher’s name (i.e. *Stupendous)
College Bound (2nd) Grade Class. How may I help you?”(*Select a high level superlative to describe class)
4) If the person wants to visit the class and you do not know them, ask,
“May I have your name so that I may introduce you?” or “How may I introduce you?”
Options:
a) Have a “Special Visitor Log” on a clip board. The greeter would askthe visitor to print his/her name on the log which would then serve as a tool to
remember the name for introduction to the class.
b) Have a signal that the visitor greeter can use to respectfully get the teacher’sattention if the teacher is teaching and unaware that there is a special visitor present who
needs to be introduced and welcomed by the class.
5) To introduce the guest, wait patiently until the teacher is ready and then say,
“ Teacher’s name and class, I would like to present visitor’s name .”
6) The teacher leads the class in acknowledging and welcoming the special visitor to their class, and together they welcome him/her. For example,
“Boys and girls, let’s stand and welcome visitor’s name to our class.”
7) The greeter then shows the guest/s to a seat.
Class Greeting of Visitors Procedure
1) When the greeter announces that there is a special visitor, look at the greeter and visitor.
2) Listen for the visitor’s name.
3) When the introduction is over, as a class we will GREET our visitor.
(Use an appropriate welcoming statement/chant/song.)
Visitor Talking to Teacher Procedure
1) When a visitor comes to our room, we will give the class greeting.
2) If the visitor needs to talk to (teacher’s name), then work quietly at your desk on your
assignment.
3) If finished with your assignment, get out your library book or your _________ and begin
working.
4) If we are in group time, then the greeter will begin the quiet game and everyone will sit quietly
until (teacher’s name) is finished.
Committees
Everyone must be on a content committee.
Beyond the content committee, you should try to have two others.
Rosters will be removed by Tuesday afternoon.

Field Trips
Field Trip Guidelines
- Request field trip packet from the secretary. Turn in your field trip packet for approval two months in advance.
- Complete field trip request form and other documentation. Submit completed folder to principal for approval BEFORE confirming with location. Buses are not scheduled and confirmed until approval has been received.
- Remember that student price of the field trip MUST include a charge for buses. The bus rate is $40 per bus per hour. If you need two buses that are leaving at 9 and returning at 2, you will have two buses for 6 hours, from the time the bus leaves the barn until the time it returns. The total will be $480. You will need to divide that by the total number of students that you have going on the trip. Remember that if all students don’t go, that could effect the price per child so round up.
- Get a quote and payment information from the location asap. Sometimes a deposit is required and check requests from the district can take 5-10 business days to get processed. A quote or invoice from the location is required in order to request a check. If after collecting money, a new invoice is needed to reflect the exact number of students going on the field trip, you must submit the new invoice within two days after the money deadline so the check can be requested in plenty of time.
- Send letter home to parents with details and cost. Please specify cash only and no refunds given. Parents must pay at the door. Give a copy to the secretary.
- Turn money in daily. All money must be turned in one month prior to the field trip. Call parents if necessary to insure that all students have paid and all forms are turned in by the deadline. We cannot take money after the deadline. You MUST use the district General Money Collection Form and the Activity Fund Deposit Ticket for all money collected. Give each student a receipt. Turn in both forms and yellow receipts each time you turn in money. Please organize your money and verify your forms before bringing them to the secretary. When you turn in your pink collection envelope, all money must be verified by both teacher and secretary. Do not send envelope with a student.
- Chaperoning parents must complete a volunteer background check with the district each year in order to chaperone. It can take several weeks to clear, so encourage your parents to take care of this asap. The office can check the Raptor system to see if your parents are clear. If no background check has been completed, the parent cannot act as a chaperone. The parent can meet their student at the location and may only supervise their own child. Parents cannot ride the bus.
- Before you leave, turn in copies of your Parent Approval and Release Forms, Chaperone Forms, Field Trip Roster and Chaperone Roster. Make sure you have taken attendance and don’t forget your meds and lunches. Have fun!

Social Emotional Learning
I hope everyone had a great first day of school and are navigating the first week successfully. I just wanted to follow up with everyone after the SEL training last week and share a few next steps.
Training Resources
Thank you to everyone that attended a session last week. I believe your staff will find the resources very user friendly and easy to implement. I sent off your Sanford Harmony kit orders and am waiting for a response on the ordering of their new Spanish Kits. All pilot campuses should receive a single set of kits immediately (within the next week) and then the remainder of the kits for your staff will be shipped out in October. In the meantime, all staff will be able to access professional development resources and the kits online in the Sanford Harmony professional learning library (www.sanfordharmony.org/pll).
Make-up Session
We will need to provide the Sanford Harmony trainer with a couple of dates to schedule the make-up sessions for campuses that were not able to attend. We can be as flexible as we need to be to accommodate you campuses for this 3-hour session now that school has started. Please let me know what dates and times work best for your campus team.
Future Information
You will be receiving more information about upcoming SEL training, meetings, and resources in the coming week, but feel free to reach out if you have any questions or needs.
