job description:This Executive Assistant role will report directly to the SVP, Chief Strategy and Administrative Officer. Communicates verbally and through written correspondence using the designated word processing software (Microsoft Word). This includes some knowledge of software features such as: mail merge, import and export, tables, columns, etc.

Knowledge of SAP applications including finance and HR, especially TRIP system, as well as MyAccess. Knowledge of Works (procurement card) system, and Disbursements processes. Familiarity with and ability to maneuver within intranet HR Manager and Employee Services.

Using other software packages outside of word processing (Excel, PowerPoint) may perform data entry, manipulation of data, column set-up, design and entry of formulas and verification of calculations, etc. Also included is the performing of work in graphics' packages and presentation packages for designing reports and presentations. Develops spreadsheets for various reports. Uses manuals for non-routine applications. For reports and/or presentation materials, may use a combination of several software packages to create finished product.

Makes appointments and meeting arrangements and keeps calendar updated. Meeting arrangements may include coordination of scheduling with all attendees, room reservations, meal and/or beverage service arrangements, etc. May also arrange for regularly scheduled off-site meetings/conferences. Makes both domestic and international travel arrangements for the SVP. Responsible for tracking and completing expense reports on behalf of SVP, and for pre-approving direct reports’ expense reports using TRIP.

Assure that SVP has relevant files and is prepared for meetings and travel.

Key point of contact for the SVP. Screens and redirects calls, and takes messages to ensure customer service focus. Responsible for answering various questions related to the activities of the CAO organization, SVP schedule, status of projects, and procedure and policy inquiries. Regularly handles sensitive information via the phone and must take detailed messages and/or verbally relay this information to principal. As experience and knowledge of department permit, independently responds to more complex inquiries by seeking answers with appropriate sources and responds to party. Will act as the liaison between the executive and his staff concerning schedules, projects, etc.

In cooperation with finance representative, assists in building, monitoring and making any needed adjustments to CAO’s annual plan.

Drafts correspondence on own initiative or based upon SVP’s needs. This composing may be in the form of agendas, detailed itineraries, variance reports, monthly reports, portions of reports, and critical electronic and/or written correspondence.

Receives and scans mail assessing that which is germane to the SVP and forwarding irrelevant correspondence to most appropriate person or discarding irrelevant documents. Highlights and/or attaches relevant files as appropriate. On own initiative and as requested by the SVP, drafts responses to mail requests/inquiries which requires knowledge of the work, procedures or policies of the organization. Tracks incoming email requests for to-do’s and delivery deadlines and incorporates work activities into SVP Schedule.
