MINUTES OF APRIL BOARD MEETING
MINUTES OF THE MEETING OF THE BOARD OF DIRECTORS OF THE
COVINGTON PLACE HOMEOWNERS ASSOCIATON, INC.

A special meeting of the Board of Directors (the “Board”) of the Covington Place Homeowner Association, Inc. was held on the 6th day of April, 2017. Present in person were Perri Futo, Susie Keck, Faye Brown-Stone, Brian Dean and Pat Showalter constituting a quorum of the Board. Pat Showalter served as Chairman of the meeting, and Faye Brown-Stone served as Secretary of the meeting.

The meeting was called to order by Pat Showalter.

Susan Shriver gave her presentation to the Board on the estimates for trying to cool the pool. EnviroDek/CEMTECI and Mayan Pools bid were distributed. They both were around $20K
.
Perri Futo stated that the bid for the Pergola was $24K.
.
The mats were discussed as an option.
.
The Board decided that the HOA could not afford this option at this time but would seek other options. The Board is working to get thru the financial audit report on the HOA reserve to determine our status.

Chris Branan provided the estimate of $2800 to repair the work on the fencing at the entrance of the subdivision on Dearing St. It was motioned to have this work completed. It was properly seconded and motioned carried. Chris will follow up with the contractor, Top Pitch, to proceed with the work.

The Board decided to continue to use pine straw instead of mulch due to our budget constraints. Chris will follow up with the contractor to have this work completed.

Susie Keck provided the information on putting 8 cameras in and around the clubhouse. The cost would be $1500. It was motioned, properly seconded and motion carried to have the cameras installed. Susie will follow up with the company to have this completed.

Chris will work with other Board members to get estimates for procuring a new lawn care company.

The Board decided not to allow swimming instructions in the pool due to insurance issues unless an instructor is certified and has their own appropriate insurance.
.
Discussion on a compliance issue was discussed. The letter has already been sent to the homeowner, and the fines will remain.
.
Pat will provide an agenda to be included in the Newsletter, Facebook and any other form of communication prior to our next quarterly meeting so that the members of the HOA will be aware of what will be discussed, especially the budget and the audit report of HOA reserves.

There being no further business to discuss during the meeting of the Board, the meeting was adjourned.
GOLF CART RULES - NO UNDER-AGE DRIVING
With so many CP residents driving golf carts around the City, it's time for a refresher course on golf cart rules and regulations within the city limits of Covington. All streets within Covington Place are within the City Limits and are therefore subject to these rules.

These rules are covered under City Ordinance 10.18 MOTORIZED CARTS:
.
Golf carts operated on the streets of Covington must be registered with the Covington
Police Department; applications can be obtained from the Covington Police Department website
.
Golf carts are permitted on and around the City Square.
.
All traffic laws apply, including DUI and reckless driving.
.
No one can drive a golf cart unless they possess a valid driver's license or instructional permit (those possessing an instructional permit must have an adult present just as required for driving a vehicle). Children without either of these documents are not allowed to drive a golf cart on the streets under any circumstance.

PARENTS - We have had a serious accident in our neighborhood in the recent past which involved underage children driving a golf cart. PLEASE do not allow your children to drive without a valid Driver's License under any circumstances. This includes allowing children to sit in your lap behind the driver's seat and steer the cart. This also includes driving the cart to the pool this summer.
ANNUAL SPRING YARD SALE ON APRIL 29th, 8:00am to 4:00pm

1 - Place a balloon on your mailbox the morning of the event.

2 - Price your merchandise and place it either inside your garage or on your own driveway.
.
3 - Be ready to begin at 8:00am. There are usually early shoppers, so if you are ready you can open up prior to 8:00am.

SURVEILLANCE CAMERAS INSTALLED AT POOL/CLUBHOUSE AREA

Please note that the cameras are “surveillance cameras”, they are not to be confused with or considered as “security cameras”. The cameras were NOT installed as a security measure and should NOT be considered as security cameras as they will NOT be MONITORED AND WILL NOT BE reviewed unless there is a specific incidence requiring review of footage.

EVERYONE IS RESPONSIBLE FOR THEIR OWN SAFETY WHILE UTILIZING ALL COVINGTON PLACE COMMON AREAS.

SOCIAL COMMITTEE ANNOUNCES EVENTS FOR 2017
Cinco de Mayo Pool Opening Party @ 6:00pm! There will be a taco bar but we're asking residents to bring your own drinks and appetizer or dessert. [May 5th]

July ? (TBD) will be the Annual Dive-in Movie in the Pool!

Fall (TBD) will be the Annual Tunes on the Turf in the Playground!

Friday December 22nd will be the Annual Golf Cart Parade & Holiday Party!
FREE CONCERT ON APRIL 24th

The concert will feature the Newton County Community Band, the All County Honor Band, and the Alcovy Brass Choir.

The rain location is at Eastside High auditorium.
OVERNIGHT VISITORS & CAMPERS/RVs PARKED IN THE STREET or AT POOL PARKING LOT - VISITOR PARKING PASS REQUIRED - NO EXCEPTIONS
Leaving unmarked cars parked in the Pool Parking Lot during the day or overnight is not allowed. If vehicles do not have a Green Vehicle Sticker on them then they MUST have a Visitor Parking Pass on them to keep from being towed. NOTE: If you see a non-resident vehicle parked at the Pool Parking Lot during the day or night, please call the Covington Police to come and check it out.

If you need a Visitor Parking Pass Template, please sign in to HOA Butler and print it from Community Documents and Information.
GREEN VEHICLE STICKERS - IT'S ALL ABOUT NEIGHBORHOOD SAFETY!
If you do not have a Green Vehicle Sticker on each of your vehicles, please send an email to l_seabolt@hotmail.com providing your Name, Street Address, and the Number of Vehicles you have and they will be delivered to your mailbox.
If you would like a sticker for your golf cart too, please make that request as this is a great idea since many residents drive their golf carts to the pool.

Green Vehicle Stickers - Send email to l_seabolt@hotmail.com and provide street address and number of vehicles; place them on the rear window of each vehicle; they are available for golf carts too and should be placed on the windshield

REEF Pool Management - 770-389-9999 - to report any problems with the pool during Pool Season (ex. chemicals, cleanliness, fecal matter, etc.)
Tennis Courts are accessed via the same Pool Card that opens the pool gate. The tennis courts are available for residents and their guests only. Guests must be accompanied by a resident at all times. Leagues or Teams are not allowed. Rules of etiquette were included in the HANDBOOK so please refer to them if you have any questions.

Street Light Outage - City of Covington, 770-385-2000, use Option '0' and speak to a Customer Service Agent to report the outage and have a repair ticket created.

Our HOA offers residents who own a business the opportunity to reach over 340+ resident email addresses via our Newsletter and our Facebook Page. Our average weekly reach is over 425 views.

- We'll run it several times if requested

For Non-Residents to place an Ad:
- $25 to run 4 times
- A print-ready Ad in JPEG format is required

All Ad JPEGS must be emailed prior to any Saturday to tp81854@yahoo.com in order to be placed in the next issue of the Newsletter. Please make sure that your Ad is clear and legible before sending your JPEG.

Paid for Ads will be posted to our FB Page by someone on our Communications Team only. If an Ad appears on our FB Page that doesn't belong to a resident and hasn't been pre-paid for, it will be deleted.
