*We will NOT send for students to pick up items. ex. chromebooks, shoes, books.
You must be on the student’s contact list in order to leave items.
Please print the first & last name & grade of the student.
Tape the name to the item.
Place the item on the counter
If leaving an item that does not involve flowers, food, or gifts the parent/guardian must contact the student to let him/her know that the item is in the Main Office.
ECG will not contact the student in regards to items in the Main Office.

FLOWERS, FOOD, AND GIFTS:
The delivery of flowers, food and gifts to students during the school day is not allowed because of the disruption to the school day. To leave an item such as chromebooks, shoes, books, etc, the person dropping off the item must be listed as a student’s parent/guardian/emergency contact. The Attendance Office will not send for students to pick up items such as chromebooks, shoes, books. The parent/guardian must contact the student to let him/her know the item is in the Main Office.

IMPORTANT INFORMATION FROM THE ECG CLINIC
Parent/Guardian:
If your student has a chronic health condition such as asthma, diabetes, seizure disorder, or severe allergy the school division requires him/her to have a Health Action Plan signed by a physician, or licensed provider and parent/guardian. The Health Action Plan includes permission for medication.
If your student does not have one of the above chronic illnesses, but requires medication at school, please complete a Physician/Parent-Guardian Authorization to Administer Medication form. In order to facilitate the safe and effective administration of medication, school policy mandates that any student who must receive medication during the school day have a completed authorization form signed and dated by the parent/guardian and physician, physician assistant, or nurse practitioner.
Medication:
§ Will only be administered with a completed Physician/Parent-Guardian Authorization form on file. This includes both prescription and over-the-counter medications.
§ All medication must be brought to the school by the parent/guardian, given to, and signed as received by authorized school personnel; ALL medication must be kept in the Clinic, unless otherwise authorized by the physician. This INCLUDES cough drops.
§ You may send OTC pain relief for common maladies with a completed/signed Physician/Parent-Guardian authorization form signed by the parent/guardian AND physician on file. We want your student to stay in school.
§ Over-the -counter medications must be in the original unopened package.
§ Prescription medications must be in an up to date pharmacy bottle containing the student name and prescribing information. Pharmacies are very willing to provide a separate prescription bottle for meds needed to be kept at school.
Clinic Guidelines:
§ Unless directed by the School Nurse, based on assessment, permission for early dismissal is the responsibility of the Parent/Guardian. Dismissal from the Clinic is not automatically an excused early dismissal.
Lynchburg City Schools believe that education is key to the success of our students. We also understand that education and health go hand in hand. We want to make sure that we keep the LCS students, families and staff as healthy as possible to foster a conducive, learning environment for everyone.
Lynchburg City Schools understand and can empathize with the stressors of balancing work and life as it relates to caring for your children. To help clarify any questions or misunderstandings, this document will serve as a directive and guideline to assist parents and LCS staff in knowing when to keep a child home or when to send him/her back to school.
Lice – If your student is found to have lice, he/she must receive treatment before returning to school. Upon returning to school, the school nurse MUST CHECK and CONFIRM that the student’s head is CLEARED OF ALL nits. Lynchburg City Schools has a NO NIT policy. (Please see Policy Manual (R7-53.2).
Strep Throat -If your student has signs and/or symptoms of strep throat, please make sure that he/she does not return to school until 24 hours after antibiotics have been started.
Vomiting/Diarrhea - If your student has been vomiting, please make sure that he/she stays at home until they have NOT been vomiting for 24 hours. If your student has diarrhea, please make sure he/she does not return to school until they have been DIARRHEA FREE for 24 hours.
Fever - If your student has a fever of 100.0 or greater please keep him/her at home until FEVER FREE for 24 hours.
Pink Eye - If your student has signs and/or symptoms of pink eye or bacterial conjunctivitis, please keep him/her at home for 24 hours until after receiving their first dose of antibiotics.
Chicken Pox – Chicken pox lesions MUST BE crusted and dried over before a student may return to school. The School Nurse will need to evaluate him/her in the clinic to be CLEARED for reentry into school.
Ringworm – If your student has signs and/or symptoms of ringworm please follow up with your healthcare provider to obtain the appropriate treatment. The infected area needs to be covered completely with dry gauze and secured with tape on all sides and/or put on a complete bandage to cover up and prevent the spread of ringworm to others while at school.
Hand, Foot, Mouth Disease - During the first week, students are most contagious; please follow up with your health care provider and the student is not to return until he/she is deemed no longer contagious by a health care provider.
***The School Nurse will be the one to CLEAR a student for re-entry into the school after exclusion of the following illnesses. This is NOT an all-inclusive list. So, please ask your Nurse if you have any questions about your child’s health and wellness while at school.

Attendance
Teens who attend school regularly are more likely to graduate. The practice of attending school regularly also creates a habit for success after high school. Please tell your student/child that it is only acceptable to miss school for true emergencies or illnesses. Also point out, by missing school they are creating more of a work load for themselves. They will have to make up missed assignments plus current assignments due for their classes. By getting behind in their classes this could lead to being retained or repeating a course for graduation. We encourage all parents to check their students grades and attendance often. If they are absent, make sure they bring a proper note excusing their absence. If you find out that they are skipping, work out a plan with their Assistant Principal and/or School Counselor to get them back on the pathway for success. It is a team effort!

Attendance Policy
Below are three school policies related to attendance that have recently been updated: Attendance Policy, Tardy Policy, and Early Dismissal Policy. We ask that you read and review these policies with your child and encourage them to be punctual and present to school every day.
Attendance Policy
Any student between the ages of five until they graduate or turn 18 is subject to compulsory school attendance.
Excused and unexcused absences
After each absence parent or guardians are notified via phone by our computerized dialer when a student fails to report to school without a valid excuse. All student’s absences are recorded as unexcused until the parent or guardian sends a written note or email to provide a justifiable reason for the absence, despite if the parent or guardian has contacted the school via telephone. Students have two days upon their return to school to provide a note of excuse. After that time, the absence will remain unexcused. Acceptable excuses include: illness of a student; serious illness in the family which necessitates the absence of the student; death in the family; required court appearance; special and recognized holiday; and other reasons which may be approved by the school administration.
5 unexcused absences
If a student reaches five unexcused absences during the school year a letter requesting a parent conference is mailed to the parent or guardian. If the parent or guardian is unable to attend the conference on the scheduled date they should contact the Attendance Coordinator immediately to schedule a new date. A City Attorney’s letter is also mailed to parents or guardians outlining the legal consequences of continued truancy. During the five day conference the Attendance Coordinator will discuss the absences with the student and parent/guardian and create an attendance plan. **Note: Attendance does not “reset” after the first semester. The attendance policy applies to the entire school year.
7 unexcused absences
Once a student has accumulated more than seven unexcused absences during the school year students are referred to the truancy office and parents and students are required to attend an Interagency Truancy Review Team (ITRT) meeting at the courthouse.
Continued truancy
If the truancy continues after the ITRT meeting students and parents can be referred to Juvenile and Domestic Relation Court. If a child is found to be in Need of Supervision, the Judge may order the child to attend school or order the family to participate in services to address underlying needs.
15 consecutive absences
After 15 consecutive days of unexcused absence a student will be dropped from the roster of the school. Withdrawn students are not excused from mandatory school attendance requirements and are expected to re-enroll as soon as possible. The school will notify the parent or guardian in writing that their student has been withdrawn and will need to be re-enrolled immediately.
Tardy Policy
We expect students to be on time to school everyday. If for any reason a student is late to school or 1st period they are to report to the main office to receive a pass to class and to be marked tardy.
Excused tardies
For a tardy to be considered excused, the student must turn in a note to the Attendance Office that details why the student was tardy and has a parent or guardian signature. All notes must be turned in by the following day. Excused tardies include: personal illness, family emergency, doctor appointments, and court appointments. After 10 excused tardies, the only notes that will be accepted are from a doctor or the court.
Unexcused tardies
A tardy will remain unexcused if a student fails to turn in a signed note from a parent by the following day. If the reason in the note does not meet the criteria for an excused tardy it will remain unexcused. The Attendance Office cannot take phone calls to excuse tardies.

2nd tardy: phone call home
4th tardy: AIA
5th tardy: referred to principal

PEER TUTORING
The National Honor Society and Beacon of Hope are collaborating to provide peer tutoring from high school and college students during lunch or after school. Interested students can fill out this quick request form to get connected with a peer tutor.

College Fair Information and Pass Update
We will be hosting a Mini College Fair in the Cafeteria on Wednesday, September 12 from 11:45am-12:45pm. Students will be visiting with admissions representatives during their lunch period, and any classes that would like to stop by are welcome as well! Representatives from the following institutions will be in attendance:

Additionally, we will be distributing passes to students via email for College Visits. We will send teachers a list of students who have signed up and will be receiving a pass.
