Searching for Records April 10, 2019
Locating a Record for a Book Not in our Database
Open Cataloging
Click on the drop down for Spaces
Choose Title SpacesChoose Your space
Put the ISBN of the book for which you need a record
Click +
If one is found the record will show up in your title list
Either click the title of the book or the paper with a pen Under Actions
Verify the record - make sure all information is there.
In the record - Click Items
Click Add Item and add your barcode and school information
Click Save
Click Back to Items
Click Publish
If the Record is Not found
Click the magnifying glass under Actions
Select a match window comes up
Local is selected - but no records were found
Click ITS*MARC - if still no records are found
Click Library of Congress - if still no records were found
Click Edit My Search - a new window will open
1st - Make sure you searched by ISBN - if not, put in ISBN click Update My Search

Select a Match
Check ISBN
Record is Found
Under Actions - click the paper to review the record or click the check to select the record.
It will now show up in your title space and you can review the record
Click on Items
Add your item
Tagging On - Adding a copy of a book to an already existing record. 2/22/2019
This is the same as adding a 949 field in the old cataloging.
To Tag onto a record:
1. Open Library.Solution
2. Open LS2 Cataloging
3. In the search bar, type the title of the record of the book
4. If the title is in our database - click on the Title of the book.
5. Click on the Items tab (When it opens you will only see the books at your campus, if there are any.)
6. Click +Add Item
7. Add all the information for your copy. - This is the 949 information.
8. If you want the book to be available immediately - change the check from In Processing to Available - NO check in needed. - If you are still working on the book - i.e. spine labels etc. leave In Processing checked.
8 Click Save
9. If you left In Processing checked you will need to check it in prior to shelving it.
Batch Delete 12/4/2018
1. Log into LS2 Cataloging
2. Under Spaces - select your ITEM space
3. In the window, click in the Scan or Type barcode box
4. Scan all the items you want to delete
5. Put a check in the box above the list of items to select all of them
6. If you have more than is on one page, click on select 123.... in blue in the bar above the list to select all the items you have in the space
7. Click the 3 blue dots, laying down snowman, next to the Scan or type barcode box
8. Click delete - this will remove them PERMANENTLY!
9. If there are items you put in by mistake, put a check in the box next to that item, go to the 3 dots, choose Remove from Item Space.
Adding an Award Note to a Record (when it is not in the drop down list) 10/23/2018
1. Go to the Notes section of the record.
2. Click + Add another note
3. Use the drop down menu to choose Award
4. In the contents box type the name of the award you want to add.
5. Click the blue Save as draft button at the top of the record.
Adding AR test information 9/17/2018
To add the information to a record already in the system:
2. In the top left corner, either type in the title or scan the barcode.
To add information to a record you are working with
2. Open the title from your Title space
3.In the Record section Under Notes
4. Click Add another note
5. In the drop down menu, select Study Program
6. In the contents add the following
Accelerated Reader(space)Reading level(space)Book level(space)Points(space)Quiz Number
Example - Accelerated Reader MG+ 6.9 34.0 116230
7.Click Republish at the top to save the information to the record.
PUBLISH YOUR RECORDS! 9/12/2018
Importing Records is only 1/2 the process . PUBLISH YOUR RECORDS!
1. Publish them automatically when you import
2. Select the titles and publish them.
You can not simply keep uploading records for books that don't check in! It creates the error of duplicate barcodes.
To do this:
DECIDE -
1.Do you want the records to be PUBLISHED and the BOOKS immediately available and you do not have to check them in - See Publish #1 below
2. Do you want the RECORDS to be IN PUBLISHED but BOOKS In Processing and you have to check them in? See Publish #2 below
3. Do you want the RECORDS to be DRAFT (goes to a title space to work on) BOOKS In Processing and errors go to a different space? See Publish #3 below
PUBLISHED - AVAILABLE IMMEDIATELY- NO CHECK IN
PUBLISHED BUT IN PROCESSING - MUST CHECK IN
NOT PUBLISHED - Goes to Title Space to Work on
Errors will be sent to another space.
PUBLISH #1
To IMPORT your records;
1. Open Library.Solution
2. Open LS2 Cataloging
3. In the blue bar to the let - click Import
4. Click the blue Import button - do not click the drop down arrow
5. Either drag or drop your file or click Choose File
6. Navigate out to your file and click Open in window that pops up.
7. Click Continue to Settings
*8. Click AVAILABLE The other options will go away.
*********9. Make sure it is going to the CORRECT location!*****
10. Check the box to send your errors to your error file
11. Click Continue to Locations.
12. Do NOT check anything for Groups - ONLY check the box next to your location.
13. Click Continue to Review
14. Click Start Import

6. Navigate out to your file and click Open in window that pops up.
7. Click Continue to Settings

10. Check the box to send your errors to your error file
11. Click Continue to Locations.
12. Do NOT check anything for Groups - ONLY check the box next to your location.
13. Click Continue to Review
14. Click Start Import

15. This will send all your items to your Title Space and your Errors to your Error Space
16.In the blue bar at the top click the drop down next to Spaces and select Title Space
17. Clear any Authority errors.
18. Once you have worked with all records. Click to check box at the top to select all or click the check box next to the record you want to work with.
18. At the top click the 3 dots - laying down snowman - Click Publish to publish all records
19. Check in the books.
Importing Records - 9/11/2018
Importing Records
1. Open Library.Solution
2. Open LS2 Cataloging
3. In the blue bar to the let - click Import
4. Click the blue Import button - do not click the drop down arrow
5. Either drag or drop your file or click Choose File
6. Navigate out to your file and click Open in window that pops up.
7. Click Continue to Settings
8. Decide if you want it to publish or go to draft
9. Make sure it is your location where the records are going
10. Check the box to send your errors to your error file
11. Click Continue to Locations.
12. Do NOT check anything for Groups - ONLY check the box next to your location.
13. Click Continue to Review
14. Click Start Import
To Work With Your Records Once You've Uploaded
16. Use the arrow down to go to Title Spaces
17. This will show your 2 (previous Workspaces) Spaces
18. To see your errors - Click on the tile of your Error Space
19. To find out the error - click the laying down snowman at the left of the title to download the error report.
Extract Update 8/22/2018
Updated Extract Directions
Here is the new process.
To extract your records;
1. Open Library.Solution
2. Open LS2 Cataloging
3. In the blue bar far right side click Advanced
4. On the Advanced Search Screen, click Location - Owning
5. In the Type and Select drop down choose your location
6. Click Search
7. You end up on the Items tab. - Stay here! - You will notice that Export is greyed out.
8 . Click the top box to select all items on the page
9. There is an option in the top blue bar to Select all (number) of items. Click Select All
10. Export is now an option. Click Export
11. A new window opens up that shows you the number of titles with the number of items that you are exporting. Click Export

Choose Select All for all Your Items
Click Export

12. It will sit on loading for a few seconds, and then you will see a little spinning arrow in the top right hand corner next to the bell.
13. Depending on how many people are running an extract will depend on the number in the circle.
14. If you click on the number next to the spinning arrow, you will open up a status bar.
15. Once the extract is complete, your notification bell will have a number in a circle next to it.
16. Click the number next to the notification bell, it will take you to the notification screen.
17. If multiple extracts were run they will all show up on this screen, listed by the time and date and the number of items exported.
18. Click the blue title "Exported (# of records)" or the paper clip to take you to a download button.
19. Files will download as a .mrc (Marc file). You CAN NOT open this file! It is only a file to upload to a vendor.
20. When you click on download, you will be prompted to download to your computer. You can rename your file and select where you want to download it to.
If it does not give you an option to select where to save it, check your Downloads folder.
***Important***
Once you have downloaded your records, go back to the notification screen and delete your download by clicking on the trash can.
Adding Staff Update 8/20/2018
Adding Staff in Circulation who does not show up
Search for the patron in the search bar.
Check All Locations to make sure they are not listed in another location.
If not:
Click New Borrower in the Borrower Search Screen
It opens a new window
Fill out all the information for the new patron.
SET the EXP. DATE to the LAST DAY of SCHOOL 2019.
This will remind you next year to change that if that person is on your campus again.
Click Save.

Extracting Your Records
1. Open Library.Solution
2. Open LS2 Cataloging
3. In the blue bar far right side click Advanced
4. On the Advanced Search Screen, click Location - Owning
5. In the Type and Select drop down choose your location
6. Click Search
7. You will get a results page that highlights the items you have
8. You must click TITLES tab
10. An Export screen comes up. It defaults to Titles. This is not what you want!
11. Click Titles and Items
**** Make a not of how many titles and items you are exporting. You will need it when you want to download your records.*****
