Dear Parents/Guardians,
The annual 5th grade trip to Washington, DC is scheduled for Wednesday, April 5 through Friday, April 7th. We are currently working with Young Transportation to finalize our itinerary, and as soon as we do, we will notify you all via our 5th grade SMORE as well as a letter home. Some of the sights we are sure to visit are: U.S. Capitol, Natural and American History Museum, Smithsonian as well as take a guided illuminated night tour, which will include the Lincoln Memorial, Jefferson Memorial, FDR Memorial, Martin Luther King Memorial, World War II Memorial and the Kennedy Center.
It is our hope to have 100% participation for this trip. With that being said, we would love to have as many chaperones as possible. If you are interested in chaperoning, please fill out the reservation form titled parent reservation, in addition to the student reservation, if your child will be attending.

Price Per Person Includes:
- R/T transportation aboard a luxury coach
- Two nights’ accommodations and room taxes at the Springhill Suites Herndon- two
beds and a pullout sofa to accommodate for adult in each room
- All touring and admissions as detailed
- Guided Illuminated Night Tour with certified DC Tour Guides
- Two hot breakfasts, three lunches and three dinners as detailed
- Services of a Young Escort throughout the tour
- Services of a private security guard at the hotel each evening
QUAD Price Per Person: (based on minimum number of paying persons, triples & doubles higher
70-74 paying: $352.00
75-79 paying: $339.00
80-84 paying: $327.00
85-89 paying: $316.00
Adults would be an additional $15.00 per person above the listed student prices. This is to cover the increased meal costs and Mt. Vernon for adults on the tour.
Deposit Schedule: all payments are to be made to: Claxton Elementary School
- $75.00 per person is due on or before October 31, 2016
- $100.00 per person is due on or before November 30, 2016
- $100.00 per person is due on or before January 31, 2017 along with the ROOM LIST
- The final balance is due on or before March 3, 2017
Cancellation Policies:
- Should an individual cancel after November 30, 2016 $75.00 per person would be forfeited because of non-refundable deposits.
- Should an individual cancel after January 31, 2017, the amount of the cancellation fee would be determined by deposits Young Transportation has made to suppliers (hotels, attractions, restaurants, etc.) that are non-refundable, administrative fees and other factors that would cause an increase in price to the remaining tour participants. This amount could range from $75.00 to the full amount of the tour. Any deposits exceeding the cancellation fee would be refunded to the contracting party to be dispensed to the individual. No refunds will be issued until the completion of the tour and all refunds from suppliers and vendors are received by Young Transportation and Tours. Please note that each organization (school and or group leader) may have their own policies on refunds above and beyond those of Young Transportation; therefore the final amount of refund is ultimately at their discretion.
- After the rooming list has been received the refunds to an individual will be very minimal, if any. No refunds will be given to individuals that are canceled from the tour by the school after the rooming list has been received for attendance or behavioral issues OR for individuals that are sent home for disciplinary action during the tour.
Return the reservation form with your first deposit. The deposit will not be accepted without this form.
