HR Chat & Chew

HR held its first Chat & Chew on December 5th and it was a great success! We want to send a special THANK YOU to everyone that participated. These informational sessions are designed to give you an opportunity to collaborate and discuss topics of interest and/or concern with your peers, in a relaxed environment.


You will receive a brief survey prior to each session which will allow you to give us topics of interest in advance, so that we can research the topics and be prepared for discussion. We have two remaining Chat & Chews scheduled. Please plan to join us on February 27th and April 30th at 4:00 at Central Office. We look forward to seeing you there!

Deadline to Hire Permanent Classified Staff

The deadline to hire permanent classified employees that work less than 225 contract days is January 1, 2020. After this date, you should utilize substitute teachers until FY21 hiring begins. This process helps to ensure that late hired employees have regular earning potentials and are not subject to pro-rated salaries.

Re-election Packets FY21

Re-election Packets will be distributed to Principals on January 6, 2020. Packets will include:


  • System Transfer Flyer
  • Employee Roster for Verification
  • Letter of Intent to Return
  • At-Risk Form
  • PT TRS Form


Verified Employee Rosters, Resignation/Retirement Forms and PT TRS Forms will be due in HR by January 24, 2020. Remember: Resignation/Retirement forms must be completed in PowerSchool.

At-Risk Employees

Principals: Please begin submitting names and documentation for At-Risk employees to HR. Remember, documentation is an essential part of the At-Risk process. If it is not documented, it did not happen.


You should begin documenting performance concerns at the beginning of the year and continue documenting through-out the year. At-Risk meetings for Non-Renewal decisions will take place in January and February. If an employee's performance improves, you may remove them from the At-Risk list at any time.


The deadline to submit At-Risk forms is January 31, 2020. (Form is attached below and will also be included in your re-election packets in January).

Re-certification Packets

If your certificate is expiring in 2020, you will receive a certification renewal packets in the pony soon. Packets are going out a little later this year because the PSC pushed the window back to submit applications. Packets will be due in HR on February 14, 2020.

Classified Mid-year Evaluations

Classified Mid-year evaluations should be completed by January 17, 2020. You must upload each employees evaluation in his/her PowerSchool Records folder. The Classified Evaluation form and instructions for uploading documents are located in SharePoint and are attached below.

FMLA Start/End Leave of Absence Form

It is imperative that supervisors complete the FMLA Start/End Leave of Absence form and submit it to Human Resources on the first day the employee is absent and the first day the employee physically returns to work. This form will help prevent errors in payroll and record keeping. Please submit this form to Christi Mimbs, FMLA Administrator. (Form is attached below.)

Time to Verify Your Payroll Deductions for Benefits

Employees must go online to https://bibbcountyschools.munisselfservice.com/default.aspx to review December payroll check(s) and verify all benefits deductions are correct by Monday, January 6, 2020.


Employees who added a spouse or dependent to health coverage may not see an update to health deductions. These deduction adjustments will be taken when the update is received from State Health.


Changes made during open enrollment will be reflected on December payroll(s), with the exception of Flexible Spending deductions. Any changes to Flexible Spending Accounts (medical and daycare) will be reflected on January payroll(s). By viewing the payroll check, employees are verifying that payroll deductions are correct – no further action is needed. Please contact the Benefits Office if any benefit deduction discrepancies are found.

New Teacher Orientation Take II

We will host "New Teacher Orientation Take II" on January 29, 2020 from 8:00-4:00 at the PLC. This will be a mandatory one day training for all new teachers hired after July 20, 2019. Registration is available in PD Express @ https://pdexpress.bcsdk12.net/pdexpress/login.aspx. Please remind all teachers hired after July 20 to register for this training.

Planning to Retire in 2020?

If you are planning to retire in 2020, please contact Regina Stokes, Retirement Administrator, at mailto:Regina.Stokes@bcsdk12.net or 478.765.8563 to schedule a retirement meeting. You must also submit a Resignation/Retirement Form in PowerSchool. (See link below for instructions on submitting the Resignation/Retirement form)


Employees who are members of the Teachers Retirement System of Georgia (TRS) should utilize the website at http://www.trsga.com or call 1-800-352-0650 to request an Estimate of Benefits with their anticipated retirement date. Please be advised that due to the large volume of retirements at the end of each school year, the deadlines for summer retirements with TRS are:

  • June Retirement: March 31
  • July Retirement: April 30
  • August Retirement: May 31

*TRS recommends submitting your application as early as six (6) months, no later than two (2) months, prior to your date of retirement to avoid any delays of monthly retirement checks and possible interruption of health coverage.


Employees who are members of Public School Employees Retirement System (PSERS) are encouraged to apply for retirement as early as three (3) months prior to their retirement date to avoid any delays of monthly retirement checks and possible interruption of health coverage. PSERS employees should call 1.800.805.4609 or visit http://www.ers.ga.gov to request an Estimate of Benefits with their anticipated retirement date.

Employee Referral Bonus Program

Employees who refer a "Teacher" candidate will receive a $1000 Referral Bonus if that candidate is hired and works in the district for a full year.
