CV-19 Staff Update, March 13, 2020
Here is what I know.....
Thank you for your patience and flexibility as we work through this unprecedented event. Earlier you received an email from Superintendent Ahmadi with information about the next few weeks. This email is meant to provide more detail. Please see the following employee guidelines during the time we are on suspension of in-classroom instruction. We will discuss more on Monday morning. All Certificated and Classified staff, please plan on arriving at your regularly scheduled time. We will have a staff meeting in Room 15, at 8:30 once we ensure that no students have shown up to school. I will be in the lower parking lot at 7:40 to ensure parents are not dropping off students if anyone would like to join me.....
Families are anxious for information and will most likely be reaching out to you for more information. It is important to ensure our communication is clear, consistent, and fully informed. I will share a letter with you tomorrow that I will be sending to families. It will include more information on how parents will be receiving materials and how teachers will be providing remote learning; however, please plan on writing your own letters on Monday to give families the specific details for how you will be delivering instruction over the next couple of weeks. We will discuss this in further detail on Monday’s staff meeting.

Employee Guidelines During Suspension of In-school Instruction March 16-March 27
School will be open for staff March 16-17 and we are suspending “on site instruction” March 16 through March 31st. Students should stay home on March 16th so that staff can prepare for this 2 week suspension of on-site instruction. Tuesday, March 17th, students need to pick up materials and assignments from their teachers. Schedules will be developed, and published, for the secondary schools to manage the flow of students throughout the morning.
March 16th and March 17 are intended for staff to be on site to work with their administrators to develop the process for instruction to continue through March 27th. March 30 is a professional development day, and March 31st is Cesar Chavez Holiday (non-duty day).
We are developing opportunities for all employees to work on site or from home. Sick Leave, PN and for classified only, vacation is still an option based on each employee’s personal circumstance. For example-if an employee is sick and unable to work, they can use sick leave. As with any work day, staff would put their absence in the sub system, indicating “no sub required”.
March 18 through March 27 instruction will be provided via “distance learning”
School will resume April 1, unless we have new directions from the CDC, ACPHD or our board.
Teacher Expectations:
Provide daily and weekly instructions/lessons to students. This can be done in a variety of ways:
Virtual learning
Posting of daily assignments
Provide work in a daily/weekly packet
Provide instruction for students from home or at school as long as they have a method for providing students with daily and weekly instruction.
Develop a weekly process to verify work completion.
Check in and out with their administrator each day via google form or some other method.
Be available to check in with the administrator at a specified time (determined by each site) each day to check in on issues, concerns, questions, etc.
Counselors are expected to be on site or available to address students in crises. Counselors will be available to provide support to students in need via “Tele-health”, etc. Marianne Meadows will provide a number for families and students to call. 510-537-5910 x 3450
Elementary Science Specialists will provide a lesson for 4th and 5th grade each week
PE teachers will provide lessons for students to complete at home
March 23-24 - Elementary Conferences will happen via phone or in person.
Administrator Expectations:
Must be on site each day to support staff, parents and students that may need assistance.
Develop a process with staff to check in daily
Develop and process to insure that all students that do not have access to the technology needed to complete their teacher’s assignments, receive the device that they need. Greg will share a google doc with you to assist in this process. Use your older Chromebook as loaners in the event that they do not return. Greg can assist with this.
Classified Employee Expectations:
All Classified Employees are expected to work their regular days and hours.
Expectations and duties will vary between each department/classification. Your supervisor will provide specific directions.
District Office and Site Clerical, Campus Security, Custodial, Warehouse, and Maintenance staff will be expected to be on site.
Child Nutrition will continue to provide a grab and go lunch to students in need. Specific sites will remain open to provide this grab and go lunch. Suzy will provide further details on specific sites. CVE, Marshall, Creekside, CVHS and Redwood.
Para Professionals must be available, unless sick and unable to work, to provide assistance to their supervisor/teacher. This may include professional development/training, grading papers, making copies, assembling packets, and organizing work/classrooms. Your supervisor will provide specific directions.
Special Education
IEP Meetings can be done telephonically. Pre-scheduled IEP’s should continue.
To the greatest extent possible we will provide services to students in special education. All students will be given “prior written notice”. A letter will go to staff explaining the process. Teachers will be given a template to complete. All timelines are tolled during this time of on-site instruction suspension.
Suzy Williams will get back to everyone regarding special ed transportation.
Transportation:
Morning routes will be the same on Tuesday. The secondary schools will work with their principals to determine the schedule for the day, and a second route will be established to get kids home.

Please remember that all employees are “disaster services workers” per Government Code 3100
