ARE YOU PLANNING TO ATTEND A POST-SECONDARY INSTITUTION NEXT YEAR?
>>>>>>>>>>>>>>>>>>>>>>>>>>>>>>>>>>>>>>>>>>>>>>
STUDENT TRANSCRIPT SERVICES (STS)
Current students may access up to 25 complimentary -- please note these 25 complimentary selections are not ongoing after graduation. Additional copies accessed through this service may be available for a fee of $10 per copy so choose wisely.
Prior to graduation, you can indicate which institutions you plan to apply to and have your transcripts sent electronically to them. PLEASE NOTE THAT POST-SECONDARY INSTITUTIONS MAY STILL ASK YOU TO SEND THEM TRANSCRIPTS SEPARATELY. MAKE SURE THAT YOU CHECK YOUR ADMISSION REQUIREMENTS!
TRU (specific) Transcript Requirements
In order for a student to complete their application, we require the following:
- An official transcript mailed directly from the Ministry to TRU (we are aware that this only shows final grade 10 and 11 grades - this is what we want) or we will continue to accept transcripts provided by your school.
- Note: students have the choice to mail or email a transcript. There is a $10 fee for email, therefore, we prefer the transcripts to be mailed.
- Official interim and final grades sent electronically from the Ministry to TRU.
This is a two step process, students need to select both options above when in the Student Transcript Service.
For all open and some limited admission programs, the ministry transcript is all that is needed.
However, if a student is applying for a competitive (selective) admission program such as Nursing, Respiratory Therapy, Animal Health Technology or Engineering they may need to submit an interim grade sheet or a copy of the BC Diploma Verification to show courses in progress and interim marks. To submit these additional documents they need to be:
- in a sealed envelope sent directly from the school (note; as long as the transcript is in a sealed envelope, the student can also mail this) or
- sent through an administrator or a Counsellors' school district email account (not from the student themselves) (administrator can be an office assistant, counselling secretary, principal, vice principal, anyone at the school who is not the student who can confirm the validity of the transcript, unfortunately PDF's can be altered quite easily.
One of the biggest changes this year to our admission process is that offers of admission will not be processed until an official interim transcript has been received from the Ministry.
If you or a student has questions about this process, please feel free to call our Future Students office at 250-828-5006.
KPU (specific) Transcript Requirements
KPU’s Admissions department has noticed an issue that is impacting our high school applicants, so we’re reaching out in the hopes of clarifying the process of ordering transcripts through the BC Ministry of Education’s StudentTranscripts portal.
The issue arises at this point in the ordering process:
Many Grade 12 applicants are selecting “Send my printed transcript now”; while this option is appropriate for applicants who have already graduated from high school, it is unsuitable for applicants who are currently enrolled in high school classes. When this option is selected, a one-time transcript of completed courses is immediately printed and mailed to KPU; these transcripts do not provide us with grades for any classes that are still in progress.
Please ensure that your students are selecting “Send Interim and Final Marks when they become available”; this option allows KPU to receive interim and final grades electronically, via Ministry download in May and July.
Rest assured that our Admissions department will provide supplemental instructions to any applicants who may have made an error in submitting their transcripts. Please don’t hesitate to contact your KPU Student Recruitment Coordinator if you have any questions about this process.

UBC IMPORTANT ADMISSION DEADLINES
If you’re a Grade 12 student in BC or the Yukon, here are some important updates.
Although UBC's application deadline has passed, some programs are still accepting applications. Remaining program applications may close at any time without notice, so please encourage your students to submit their applications as soon as possible.
First round offers of admission
We have issued approximately 1500 first round offers of admission and have now concluded the process. If a student applied by our early deadline but did not receive an offer by February 15, they will be considered again with the grades we receive when they self-report in March/April. If your students have questions, please direct them to the “Update on first round offers of admission” post on our Admissions Blog. Should they wish to know more about Major Entrance Scholarships, awards will be issued on a rolling basis between March and April.
Students have applied to UBC. Now what?
If your students have already applied to UBC, they’re probably wondering what’s next and when they’ll hear from us. Depending on the degree they applied to, the quality of their application, and when their grades become available, they can expect an admissions decision between now and late April.
But there's still work to be done! Direct your students to our “I’ve applied. Now what?” webpage for important information (including a video).
Self-Reporting
Unfortunately, the Ministry of Education is unable to deliver XML transcripts to us this year, so we will rely on students to self-report their grades soon after they receive their report cards in order to render decisions in March/April. The self-reporting period will be open from March 5 to March 16. Students will receive an email from UBC outlining what information they will need to self-report.
Students in a semestered curriculum will be asked to report their grades for semester 1 as soon as possible. (This applies to JH students!)
Students in a linear curriculum will have until April 13 to report their grades, if they receive a later term 2 report card.
Offers of admission are rolling, so we encourage your students to self-report their grades as soon as they are available. We are also aware of your school report card dates and will make sure that all students following linear curriculum schools with mid-April report cards have the opportunity to submit their grades. IB Diploma students are not required to self-report. IB coordinators will submit anticipated grades directly to UBC.
UBC will be hosting online Q&A events about self-reporting – please direct your students to the self-reporting instructions page and our Admissions Blog for updates on these events to have their questions answered.
English Language Admission Standard
All applicants to UBC must meet the English Language Admission Standard (ELAS). There are a number of ways to meet this requirement, but the most common ways include:
- Completing three years of full-time English curriculum studies in Canada
- Completing four years of full-time English curriculum studies outside of Canada (in a country where English is the principal language)
- Achieving a minimum score on an English language proficiency test
Here are some important deadlines:
March 5 – April 13
The self-reporting link on your UBC Student Service Centre will be live. You need to input your courses and grades so that our office can calculate your UBC admissions average. Students should self-report by March 20.
Students in linear schools with a Term 2 report card date after March 20 will have until April 13 to self-report. Read the BC & Yukon self-reporting instructions early so you are ready to report your grades when you receive the relevant report card.
Mid-March – end of April
You will receive an admissions decision from UBC (if you haven't received one yet).
May 1
Deadline for most students to submit housing application to be eligible for priority access, and to accept UBC’s offer of admission and pay the acceptance deposit. (Some students’ deadline will be June 1. Please refer to your letter of admission or the Student Service Centre to find your assigned date.)
Mid-May
UBC receives your official grade information from the BC Ministry of Education. We will verify your self-reported grades against the information we receive from the Ministry, and will email you if anything is amiss.

UVIC UPDATES
1. Mandatory self-reporting opens February 15, 2018
We would like to remind all current grade 12 students completing a Canadian high school curriculum or a full IB diploma at a school in Canada to self-report their grades between February 15 and March 31, 2018. The link for students to self-report will be available on the application portal beginning February 15, 2018.
2. Supplementary application materials reminder
Several UVic programs require applicants to answer supplementary questions or upload specific documents (such as letters of intent, resumes and references) in addition to their regular application. Depending on the program, students may be asked to upload these materials before or after submitting their application, or to send documents directly to the department. A listing of programs that require supplemental application information is available on our website.
3. English language proficiency deadlines
All applicants to UVic (regardless of country of origin or citizenship status) are required to demonstrate English language proficiency prior to admission. Deadlines to submit proof of English language proficiency are:
· Gustavson School of Business (commerce) – March 15, 2018
· All other faculties and programs – May 1, 2018
Students are reminded that applications will not be processed until proof of language proficiency has been confirmed. They are encouraged to submit documentation as soon as possible.
4. Documentation requirements for accommodation - Centre for Accessible Learning
The transition from K-12 to post-secondary education brings with it some differences in how students are supported, as well as how psycho-educational documentation is evaluated.
A diagnosis of disability alone does not guarantee academic accommodations.
Accommodations are determined on a case-by-case basis and there are responsibilities (UVic policy: AC1205) that must be met in order to be eligible. You should be aware that your student may not receive all the accommodations requested or recommended by the assessor, nor will they necessarily receive the accommodations they had in high school or at any other educational institution.
Academic accommodations given in previous schools are not necessarily transferred to post-secondary. For more information on the differences between K-12 and University and to determine if your student/s may need another assessment or update, please visit the webpage.
An IEP is not sufficient medical documentation.
The university requires medical documentation with a formal diagnosis of disability that meets University of Victoria policy. Some students with a formally diagnosed disability may require academic accommodations to allow them equal access to classes, programs, and coursework. An accommodation is the removal of a barrier to full participation and learning. The emphasis is on access, not outcome or success. This is done by providing students with a disability equal access to the content and activities of a course. Ultimately students are responsible for achieving academic success.
Please ensure that your student’s documentation meets the university’s criteria, to help avoid delays in the registration and accommodations process.
Students are responsible for submitting medical documentation that meets the university’s criteria for comorbid disabilities. A psychoeducational assessment that refers to a previously diagnosed disability is not sufficient medical documentation.
5. Residence Living Learning Communities
UVic Residence Services, in partnership with the Faculty of Humanities, will launch a new Living Learning Community (LLC) in residence starting September, 2018. This new LLC is designed especially for students who have applied and been admitted to the Faculty of Humanities at UVic. Admitted students will enjoy the support of their peers who share their passion for the humanities while exploring and developing their love of language, reading, writing, history, philosophical debates, and diverse cultures. This community will value human dignity, creativity, justice and freedom and will be committed to making humanity better through education and social action. Students will be able to participate in study groups, writing workshops, career workshops, events to connect with humanities professors outside of the classroom, and other activities to support their transition from high school to university. Check it out at www.uvic.ca/llc.
The Engineering LLC option will be discontinued for the 2018-2019 academic year.
The Faculty of Humanities is proud to offer a new and exclusive program for first-year humanities students at UVic. 35 high-achieving students will be admitted into the program for the 2018-19 academic year, where they will share classes with a group of like-minded and dedicated classmates. Contact Dr. Lisa Surridge at for more information regarding this program.
7. Tuition waiver program – Former Youth in Care (British Columbia)
The BC Ministry of Advanced Education, Skills and Training (AEST) in conjunction with the Ministry of Children and Family Development (MCFD) have announced a tuition waiver program for former British Columbia youth in care who wish to attend any public post-secondary school in BC. Students must apply for admission at the school of their choice, self-identify as a former youth in care to that school, and complete a declaration form to be considered for the government tuition waiver program. For UVic applicants, students should contact UVic Student Awards and Financial Aid to be considered for both UVic awards and the government tuition waiver program.
8. UVic events for high school students
We encourage all students to attend one of these informative sessions – it’s a great way to learn if UVic is the right choice.

<<<<<<<<<<<<<<<<<<<<<<<<<<<<<<<<<<<<<<<<<<<<<<<
GORDON SMITH YOUTH ENVIRONMENTAL STEWARDSHIP FUND
Gordon Smith was dedicated to serving people and the environment and was one of the finest people many of us ever met. He was passionate about stream and wetland stewardship and very active in conservation projects in Aldergrove and Delta.
To continue Gordon’s legacy, a group of his colleagues and friends came together after his death to create the Gordon Smith Environmental Youth Endowment Fund. Supported by Metro Vancouver Regional Parks, the Parks Partnership and private donors the fund is administered through the Pacific Parklands Foundation.
The fund allows a modest bursary in Gordon’s name to be awarded each year at the annual Metro Vancouver Regional Parks’ Celebrating Partnerships event which is normally held in March. The award is open to any youth in the Region who has shown a passion for involvement in the environment and who intends to pursue post-secondary education in an environmental field.
Each year nominations are invited for the Gordon Smith Youth Environmental Stewardship Fund which provides a $500 bursary for a student 19 years of age or under who has contributed to environmental stewardship through their volunteer efforts. The recipient will have shown leadership in conservation inspiring other youth and intends to pursue a related field of study. Two letters of reference/support should be submitted with the nomination form.
Please submit this nomination by Friday, February 23rd, 2018.

THE STACEY LEVITT MEMORIAL AWARD
The Stacey Levitt Memorial Award was created in memory and celebration of her life. On August 30, 1995, Stacey was struck and killed by a car while jogging in North Toronto. She was only 18 years old.
Stacey loved life, and this annual student award encourages Canadian youth to embody Stacey’s qualities and ideals, and Parachute’s overarching goal of a long life lived to the fullest, while maintaining an approach that is rooted in risk management and injury prevention. The selected recipient will receive $2,500 to do just that.
The award is open to anyone currently attending a Canadian secondary school. The deadline to apply is March 02, 2018. The successful recipient will be selected by the Levitt family and announced on April 30, 2018.
Application Process:
The application consists of three parts, all which must be submitted to Parachute to be considered for the award. Please ensure all three parts are included in the submission package.
- A completed application form.
- A letter of recommendation from an individual with first-hand knowledge of the applicant’s involvement in their school or community.
- A short essay (maximum 2 pages, double-spaced, font size 12) addressing the following questions:
