Parking Lot Designations & Drop Off/Pick Up Changes
Changes Effective After Christmas Break:
Starting from our return, we will be implementing a new traffic flow system. The flow will no longer be directed by staff but will be guided by traffic cones. It's crucial to note that these cones are not to be moved by anyone, as they are strategically placed to optimize the flow and efficiency of traffic.
Drop-Off and Pick-Up Guidelines:
Please be aware of the changes in the traffic flow system. The transition will involve adapting to a system where traffic cones guide the flow instead of staff direction.
Parking Designations: The South parking lot remains designated for staff. The lot between the North and South parking lots will be designated for parent parking during student drop-off before school and student pick-up after school.
Duty Stations for the Week
It is the staff members' responsibility to find a replacement for their duty location on scheduled days off. Please notify Jackson of the coverage plan when necessary.

Club Meeting Dates and Times
Jaguar Access
Dubiski has an identifier for the students needing to leave class without waiting in line for the pass. It is called "Jaguar Access". The students with this sticker are served under 504 or special education and require quick access to the nurse, restroom, breakout area for cool down, or counselor/social worker. They are still required to let you know where they are going, but they do not need a standard hall pass. If you ask a student for their pass and they show you the "jaguar access", please allow them to go where needed. If the student begins to abuse the privileges of having the pass, please contact Deedie Jones.
If you have a student that requires "jaguar access" due to the accommodations listed in their plan, please send me a text or email and Mrs. Jones will make sure they get one.
Absence Procedures (Scheduled and Emergency)
Below are the steps for requesting time off, please review all updated steps.

Professional Staff - Sub Needed Steps:
- Go to your Skyward Employee Account
- Link:

- Click "time off"
- Click "my requests"
- Click "add"
- Fill out the all the required information correctly.
- - For number of days, you will either enter 1.0, 0.5 OR use a date range.
- When asked if you need a substitute, click YES.
- If you selected yes, you will be redirected to AESOP to request a sub. I recommend contacting a sub to improve that chances of approval.
- - Under "Notes to Administrator" you will need to enter the reason for the absence again.

School Business Requests:
- If you are requesting a School Business Request, you will need to indicate that on Skyward. On AESOP select local, it will be changed to School Business upon approval.
- If you require a sub, you will also need to complete the Laserfiche form titled "EMP-HR-Pre-Approval for Budget School Business Substitutes".
Call Ins:
- First, Notify your designated administrators and team.
- Add the absence into Skyward/ AESOP. If you're unable to add the absence into AESOP due to time restrictions (7:30am), email Francisco Lopez.
Request for Late Arrival/ Leave Early:
- You will also be required to notify your team if you will be out. (Group Text, Email, Call, Etc.)
- Lastly, you will need to create a calendar invite and send it to Francisco Lopez, Francisco.LopezLucio@gpisd.org
All requests are pending until you are notified of approval. You can monitor your absence requests on Skyward/ Aesop via computer or Mobile Apps.
- You will receive an automated message from AESOP/ Skyward that your request has been Approved or Denied.
- For Late Arrive/ Leave Early, you will receive a reply from Francisco Lopez.
Mr. Lopez strongly recommends downloading the AESOP & Skyward Mobile apps, this way you can enter and monitor your absences from anywhere.
Notes From the Nurse
Field Trips/Overnight Trips
Notify Nurses at least 1-2 weeks prior to the event.
Day Trips:
- Send nurses email or calendar invite with DATE, LOCATION, STUDENT ID and or NAME.
- Nurses will contact you to schedule training for health conditions or medication administration training.
- Pick up Medication bag from nurses the day of event.
- Return the Medication bag to nurses immediately upon returning to campus.
Overnight Trips:
- Send nurses email or calendar invite with DATE, LOCATION, STUDENT ID and or NAME, and NAME OF THE DESIGNATED MEDICATION ADMINISTRATOR.
- Give students the appropriate medication forms. Do not wait until the last minute. The parents have to have enough time to have a doctor complete the forms.
They will not need to complete a new one for every overnight trip within this school year, unless there has been a change in the medication they will be taking on the trip.
- Provide the nurses with the completed medication forms at least 3-4 days before the event. This will allow the nurses to review the forms and receive medication from the parent.
- Schedule training with nurses for health conditions and medication administration training.
- Pick up Medication bag from nurses the day of the event.
- Return the Medications to the student's parents upon pick up from the event.
Return the clinic student medications to the school nurses immediately upon returning from the event.

Here's a quick reminder about safety as we kick off this week:
1. Stay Vigilant: Just as our dedication to education never wavers, our commitment to safety remains constant. Always be watchful and proactive in ensuring the security of our students and colleagues. Ensuring that exterior doors are properly locked when not in use is a fundamental element of maintaining a secure campus. Please be diligent in this regard.
2. Emergency Preparedness: Last week our emergency drills continued, and y'all, we crushed it! Active participation is crucial for honing our readiness. Encourage students to engage wholeheartedly in these exercises.
3. Visitor Protocol: The visitor badge policy remains in place. Each badge worn is a symbol of a safer campus. Kindly direct any visitors without badges to the main office for proper sign-in.
