What we are doing to protect our team and community.
Our NON-EMPLOYEE newsletter:
Madison Wood has been engaged with our preparations for battling the Coronavirus. We take this virus very seriously. Our primary concern is the health and well-being of our team members, our families, and YOU! I want you to be aware that Madison Wood is doing all we can to fight the spread of Coronavirus while we go about our daily duty to take care of the material needs of our customers. Here is what you need to know.
NON-EMPLOYEE RESTRICTIONS:
We work very closely with many outside entities in order to perform our routine business operations. This includes (but isn’t limited to): third party inspection agencies, truckers, vending machine suppliers, Cintas, marketing material suppliers, and consumers of our products.
1. We have placed a temporary restriction on the use of our building to employees only. This includes the restrooms and vending machines. If you need to speak to someone inside the office, please call our main line 540-948-6801. DO NOT enter any of our buildings without direct permission from our staff. There are outdoor restrooms in three locations around our facility: shipping, receiving and the post plant.
2. Business Process changes: We are no longer following the same protocol for incoming and outbound paperwork. Our team members will be wearing gloves and have been asked to stay at least 3 ft away from non-employees at all times. We strongly believe in maintaining relationships with our customers, and business associates, but we consider this to be an extraordinary time that requires extraordinary response.
Thank you for your partnership and patience. Coronavirus has the potential to be a big disruption to our business and our nation’s economy. We are watching all of these events closely. If we all take prudent measures to care for our teams, we can continue to work, and stay healthy.

If you are sick, stay home:
- Employees who have symptoms of acute respiratory illness are recommended to stay home and not come to work until they are free of fever (100.4° F [37.8° C] or greater using an oral thermometer), signs of a fever, and any other symptoms for at least 24 hours, without the use of fever-reducing or other symptom-altering medicines (e.g. cough suppressants). Employees should notify their supervisor and stay home if they are sick.
- As of March 13th 2020, we will be temporarily modifying our sick leave policy to help prevent the spread of COVID-19. Due to overwhelmed healthcare provider offices and medical facilities, we will not require a Doctor’s note if respiratory symptoms exist (including but not limited to): fever, chills, nasal congestion, runny nose, sore throat, persistent cough, body aches, or shortness of breath.
- If someone in your immediate family becomes ill with suspected COVID-19, with or without a confirmed diagnosis, please let your manager know immediately so that we can instill the proper precautions.
Be mindful of others:
- We will quarantine and send employees home immediately who appear to have acute respiratory illness symptoms (i.e. cough, shortness of breath) upon arrival to work or become sick during the day in efforts to protect our other team members.
- Please be mindful of our other team members that may be at a higher risk or share a home with family members that fall into this category. Cover your nose and mouths with a tissue when coughing or sneezing (or an elbow or shoulder if no tissue is available).
- Clean your hands often with an alcohol-based hand sanitizer that contains at least 60-95% alcohol, or wash your hands with soap and water for at least 20 seconds. Soap and water should be used preferentially if hands are visibly dirty.
Perform routine environmental cleaning:
- We have stepped up our routine cleaning on all frequently touched surfaces in the workplace, such as workstations, countertops, bathrooms and doorknobs. Please help us in our efforts to maintain a clean working environment.
Inbound and outbound travel restrictions:
- Our inside and outside sales team are on a strict travel suspension. All tours, account visits and meetings have been postponed.
- We are doing our best to limit non-employees from entering our building(s). Please help us to direct all non-employees to the three outdoor restrooms located on-site at receiving, shipping and the post plant. We will provide free water to non-employees as a courtesy for not allowing them to access the vending machines.
- The break room near the post plant will be locked at all times. Ask your manager for a key if you need to use the restroom. Lock the door behind you when finished. Do not let non-employees in the building. Instead, direct them to the nearest outdoor restroom.
Additional measures in response to COVID-19:
- If an employee is confirmed to have COVID-19, we will inform employees of their possible exposure in the workplace but please note that we have to maintain confidentiality as required by the Americans with Disabilities Act (ADA). Employees exposed to a co-worker with confirmed COVID-19 should refer to CDC guidance for how to conduct a risk assessment of their potential exposure.
