What Execution Looks Like

During Fall term, LBCC will commit to supporting new students like never before!

Based on a model of execution and accountability from Broward College, LBCC will develop a similar model to serve first term students.

Staffing Requirements

  1. It staff during the Summer to build reports and build group for Regroup
  2. Learning Center staff member to coordinate batch entry to all DG students
  3. PT staff member to build Gmail groups and auto email to Instructors about attendance (Becca O.)
  4. Leslie H and Richard G for DG issues
  5. Kathy C for Advising
  6. Jane Tillman for assigning advisees
  7. One staff member from Counseling
  8. One staff member from Admissions/Registration
  9. One staff member from F Aid
  10. One staff member from the Business Office
  11. Support from VP's, Dean's, Directors to commit to finishing tasks weekly

Weekly meetings

A group will meet every Monday morning to go over the week's tasks and to close loops from the previous week. All work must be finished from the previous week in order to effectively move forward.

Pre-Term

Tasks


  • IT builds a DG group inside Regroup for communication via text and email about important dates and deadlines.
  • Financial Aid monitors how many DG students do not have their aid package complete and contacts each of them before the term starts.
  • Students all contacted about the Welcome Day first day of class and about how to buy their books.
  • Email groups setup for DG Faculty based on day teaching. DG attendance Google Doc Setup also.
  • During the Summer, IT will need to build a report that can run off of an attribute and pull out information when a student drops some or all classes.
  • Need support from Marketing to build part-of-term specific information for the website.
Your First Day at LBCC

Week 1

  • Reminders sent about attendance
  • Reminders sent about the add/drop deadline and WL courses
  • Every day at 5:00 and email goes out to that day's DG Instructors asking who did not attend class. Adm-Reg staff contact students the next day. (daily)

Week 2

  • Staff in Admissions must finish processing Major Change forms.
  • Financial Aid monitors when DG students drop a class that will negative effect their aid for their second term and calls them that week. (done weekly)
  • If DG Students totally drop out of school anytime during Term 1, they are contacted by Counseling about return options. (done weekly)
  • All DG students are entered into Tutortrac automatically. They are communicated with and told that their first term is automatic and that they sign up from then on.
  • Every day at 5:00 and email goes out to that day's DG Instructors asking who did not attend class. They fill in the name(s) of students and the students are called by Admissions/Reg staff the next day. (daily)
Conquering Week Three

Week 3

  • Advising assignments are made by Jane Tillman with a deadline of the end of week 3.
  • Financial Aid monitors when DG students drop a class that will negative effect their aid for their second term and calls them that week. (done weekly)
  • If DG Students totally drop out of school anytime during Term 1, they are contacted by Counseling about return options. (done weekly)
  • All DG students are entered into Tutortrac automatically. They are communicated with and told that their first term is automatic and that they sign up from then on.
  • Every day at 5:00 and email goes out to that day's DG Instructors asking who did not attend class. They fill in the name(s) of students and the students are called by Admissions/Reg staff the next day. (daily)

Week 4

  • Advisors are contacted by Kathy Chafin with directions on how to communicate with their advisees using Advisortrac. Needs to be done immediately by Faculty.
  • Financial Aid monitors when DG students drop a class that will negative effect their aid for their second term and calls them that week. (done weekly)
  • If DG Students totally drop out of school anytime during Term 1, they are contacted by Counseling about return options. (done weekly)

  • Students contacted about meeting with Advisor to plan Winter term courses (this would need to coincide with DG Assignment).

  • If DG Students totally drop out of school anytime during Term 1, they are contacted by Counseling about return options. (done weekly)

  • Every student that did not enroll for Winter term contacted by Counseling about making plans to come back.
