Directors - important communication and calendar information

Meet your new SR (and learn how best to communicate with her).

So, by now, you all know that I (Cindy Clendenen) am a new Support Representative, for the Federal Way, Edgewood, Buckley, and Graham CC Communities. (Support Managers are now called Support Representatives.) If you are a director in those communities, please know that you have my ear whenever you need it. My contact information is as follows: clendenenlogic@gmail.com. 360-865-0149. I will be setting up a communication tool for directors in my area, which will be your best communication option for routine questions. Otherwise, I prefer email or phone calls to texts, unless you are asking me a very simple question, with a simple factual answer. (More on that tool later in this newsletter.) If you need to talk on the phone, and you don't want to make an appointment, a very good time to call is on Thursday during the day. That will always be dedicated office hours time for me. Of course, I will be available at other times too, but if your concern is not of a pressing nature, Thursdays are best. My community day is Tuesday, and I tutor Challenge B, so I will not be available on Tuesday during the day.

But WAIT! I'm not a part of those communities! Why did I get this newsletter?

I am creating an online communication tool that will help planning practicum go more smoothly. Practicum in our area is always handled by communities that are officially in 3 different "territories" with 3 different SR's. That makes communications challenging. Also, these communities are closer to each other than they are to the territories that they are in, so they are more likely to collaborate together within their geographies than within their CC territory. So, I have (with the permission of the SR's that serve them) invited Maple Valley and Tacoma communities to join in to our communications tool (see below) so that they can fully participate in practicum and in other regional opportunities. If that's you, you are not here by accident! Welcome!

Introducing Wiggio

I have started a Wiggio group for director communication. I know, I know, introducing another "group" page comes with a learning curve, but there are 3 very good reasons for doing so! First, I noticed last year, when we were all trying to work together on practicum, that there wasn't a good way to get practicum information out to everybody. Emails were being sent and (hopefully) forwarded to and from multiple people to multiple locations. It was very easy, through nobody's fault, for balls to drop. Hopefully, if we all start and end at the same place, practicum planning can be streamlined, less stressful, and more effective. The second reason for adding a new communications tool is to foster a sense of community for our area at large. This tool gives us a great space for working together to accomplish things. Some examples of the types of things I mean include joint science fairs, geography bees, play days, mock trials, and the National Latin Exam. (Some of those things are already happening! More on that later). The third reason for adding a communications tool is so that we directors can ask each other questions, be a support to one another, and share resources locally. I have received a great deal of support, encouragement, and collaboration in my relationship with other local Challenge B directors this year because I happened to know them already. I would love for all local directors to feel they had that same local support.

Wiggio is not just a message board, it is a shared work space. When thinking about what I wanted in a communications tool, I asked my husband (a computer programmer) to find me the tool with easy collaboration abilities that had the best reviews. He found Wiggio, created at cornell U. and rated as the best online collaboration tool currently out there. Wiggio will allow us to work smarter, not harder. It allows us to create joint "to do lists" when putting together events (like Window into Challenge, for example). The list can assign specific people to each task, and even due dates. It it allows us to do free online meetings, send joint text messages to a group's phones, send video or voice messages. If functions like drop box, so we can upload and share files. You can set your personal settings to have it text you to remind you of things you need to do, or appointments that you have.

The most important reason for using Wiggio however, is the shared calendar. If we work together to put information meetings and open houses on the calendar strategically, then there is always an information meeting or open house to send someone to. We don't have to each (individually) scramble to put together an information meeting for that one person we know who is interested in joining CC, costing us valuable time!

So I encourage you to get to know wiggio. There are great tools for learning on youtube. It can really help us provide a great deal of service to our parents without burning ourselves out.

You will be receiving several invitations to join Wiggio groups (because I put you in several groups to allow you to sort your to-do lists, calendars, and messages by the group you are looking for, and save time by filtering information you don't need.) Please take the time to accept the invitation and join! This tool is completely free and will help us all help each other!

Shared events that are happening now!

Directors, I apologize for the short notice of deadlines on some of these events. Remember that I just "officially" took over this job a week and a half ago. Please get this information out to your families ASAP so that they don't miss these great opportunities!

National Latin Exam: Thursday March 10 from 3-5 PM at the Puyallup Library. There will be no study sessions this year, but study materials will be placed in the files on Wiggio, which you can provide to your interested families . Any challenge B student is encouraged to take the intro test, challenge 1 correlates with the latin 1 test, and challenge 2 correlates with the Latin 2 test. The cost of the test is $7 per person. Please have your checks to Gorette Hu by Jan 19 so she can order the tests on time! (The order has to be postmarked by the 20th, so there is NO leeway here! If you miss the deadline, your child will not take the exam.

American Mathematics Competition 10 and 12:

Wednesday Feb 25 from 4:00 to 5:00 at the Puyallup Library. There will be no study sessions this year, but study materials will be placed in the files on Wiggio which you can provide to interested families. AMC 10 is available for any interested student up to 10th grade. AMC 12 is for kids in the 11th and 12th grades. The cost of the competition is $78 per student. Please have your checks to Cindy Clendenen at 21618 78th Ave E. Graham, WA by Jan 28th.

Science Fair:

Please Join CC Challenge B students from the Graham, Edgewood, and Federal Way communities for the Science Fair on Thursday, February 18th at LifeWay Church in Auburn. 502 16th St NE, Unit C-312. in Auburn.

Window into Challenge:

There are 3 tentative dates for this event. We are just waiting to hear from Edgewood Church about which date works best for them. It will either be Mon, Jan. 18, Tues Jan 19, or Tues Jan 26. We will let you know as soon as we get confirmation of the date from the church (hopefully tomorrow!) Edgewood community church at 7 PM. Do you have families who want to know more about Challenge? send them to the window into challenge event held jointly by the Graham, Edgewood, and Maple Valley communities! Come hear challenge directors from several communities talk about what challenge is, how it works, and why you need to be a part of it! Pass the word on to your communities, to other communities, and encourage your families to pass the word on too!

It's time to start thinking about director candidates again. We have several positions we need to fill. Please send any potential director candidates my way so that we can get that ball rolling ASAP! (Look first at motivated parents in your classes!)

Director meetings and community visits:

Once you have accepted the invitation to join Wiggio. it will ask you to take a poll. The poll will allow you to vote on times and other variable so that we can know the best time to set up our monthly director meetings. If you can get that done within this week that would be helpful to the group. During our first director meeting, I will schedule community visits so that I can some get face-time with all of you wonderful people!

Information Meeting Training:

SR Nichol Strode is doing information meeting training soon! I have had several of you ask for additional training, so here it is! Begin forwarded message from Nichol: "We have an official Information Meeting training coming up! Yes! What a great time to jump on in with both feet and get equipped for sharing Classical Conversation's program with others! Even if you have already attended one of these in the past, I highly advise attending another to brush up and freshen up on your I.M. skills.

Putting together IM's and Open Houses:

Once you have accepted your Wiggo invitations, one of the first things you will see is a conversation about weeks that you can take for an information meeting. Let's try to get an information meeting every week while we are in registration season. (Directors are supposed to do a minimum of 2. If we each do our 2, we can string together 16 weeks of IM's, which will get us to the end of the school year). Remember to schedule your open houses as communities accordingly!

Practicum Hostess:

I am looking for a person to serve as practicum hostess. I have some calls out, but if there is someone who is positive, loves cc, is organized and detail oriented in your community, please send me their info!
