The mission of the Student Support Services Department is to engage the student and family system by providing individualized support to empower holistic growth.

ECC notes for SSS Dept.
Use the ECC call template when you note a call or relationship building two-way communication. Just use a new ECC template for each note. For attempted relationship building two-way communication contacts that are not successful, use the Student Connection Call – contact unsuccessful after 5+ noted attempts template. Use this for each unsuccessful attempt and not just after 5 attempts, please. (Please note that K12 is intending to update the name of this template in the future.)
If you used the Student connection call template for your welcome calls, that is fine. Going forward, let’s make this simpler for everyone and just use the Enduring Connection Call template for all relationship building two-way communications. Please note that “sent an email with XXX info” is not a relationship building two-way communication, so the ECC template should not be used for those types of notes. Additionally, please, do not use the ECC template if you attempt a two-way communication but have to leave a phone message or have no response. You would use the Student Connection Call – contact unsuccessful after 5+ noted attempts template for these. **Please note that if you do receive a call back/returned email, you can edit the “unsuccessful attempt” note to the ECC template. When changing a note template
- select and copy the body of the original note
- select the ECC template from the drop down
- paste your original note, and
- add your new info.
Once you change the template of an existing note, the information in the body is deleted, so you’ll want to make sure to follow these steps so you don’t lose your original information
Additional clarity: you can keep themed contacts together. You can update a note and have it be a pseudo-running note if a certain situation covers a few days.
Student Support Services Dept. Withdrawal Request Procedure
For grades K-5
Parent/Guardian requests withdrawal via email or message
- MUST attempt a phone call (be sure to document in TVS)
- If not possible, then email
2) Ask the family for the reason for the withdrawal
3) Depending on the reason, discuss potential opportunities to help the family.
- Example: if the family notes they are withdrawing due to needing socialization, have they been attending (and are they aware of) the monthly outings?
- Example: if the family notes the pace is too slow/too fast, are there modifications that could be made to help meet the student’s expectation?
4) If the family still wants to withdraw, ask where the student will be attending next.
5) Note withdrawal request in TVS, including the reason and the next school.
- Please put details of the conversation and any potential ideas offered (e.g. invitation to events for lack of socialization reason)
6) Send email to K5 student’s Homeroom Teacher to process the WD – do not complete the survey
For grades 6-12
1) Parent/Guardian or Adult Student (18+) requests withdrawal via email or message
- MUST attempt a phone call (be sure to document in TVS)
- If not possible, then email
2) Ask the family for the reason for the withdrawal
3) Depending on the reason, discuss potential opportunities to help the family.
- Example: if the family notes they are withdrawing due to needing socialization, have they been attending (and are they aware of) the monthly outings?
- Example: if the family notes the pace is too slow/too fast, are there modifications that could be made to help meet the student’s expectation?
4) If the family still wants to withdraw, ask where the student will be attending next.
- Crucial for high school student withdrawals.
5) Note withdrawal in TVS, including the reason and the next school.
- Please put details of the conversation and any potential ideas offered (e.g. invitation to events for lack of socialization reason)
6) HS only: if the student’s ‘next school’ will be Homeschooling or self-study, send the family the “Homeschool/Self-Study” form (send this link: http://tinyurl.com/HS-SS-Form032017)
7) Inform Parent or Adult Student that they will receive a parent withdrawal survey from you. Please send this right away. http://tinyurl.com/Parent-Withdrawal-052516
8) SSS Dept staff fills out the Withdrawal Survey
- Be sure you mark the last day of attendance on the withdrawal survey as the actual last day the student attended, not necessarily the day we are notified of the withdrawal.

10) SSS Dept, send and email to student’s teachers noting the WD.

Important Reminder: TVS account changes
Fill out this survey (bookmark it for future use) for TVS phone, email, or in-state address changes.
Be sure to fill out the survey completely. To make the correct changes, Leigh Ann needs to know whose addresses and phone numbers need to be changed (e.g. which parent or both or is it the LC; whose phone # and is it the home or cell). She also needs to know the student first and last name along with their student ID# and if they have siblings.
